Accounting for debts of buyers

This special category of customers exists in almost every store. Typically, these people are regular customers who personally know the store owner. They are allowed to take goods without payment or with partial prepayment, on credit, or for fitting at home. Special purchase conditions, prices, or discount rates are also created for such customers. In the terminology of the accounting program Torgsoft, these customers are called VIP clients.

The Torgsoft program allows you to automatically keep track of VIP clients' debts. As a result, you will know exactly:

• which goods, when, and for what amount were taken;
• how much money was paid for these goods;
• the terms for which the goods are given on credit;
• at the customer's request, leave change in the cash register for future purchases;
• take into account advances or deposits for the goods

The Torgsoft program has 3 modes of working with VIP clients:

1. Goods and money balance. Then you will only see the amount of monetary debt.
2. Binding payment to sales allows you to more strictly control customer payments. In case of a customer's debt, you will know when sales were made without payment, how much the customer owes for each such sale, and the deadlines for payment for these sales. If payment deadlines are not met, the program will suggest reducing the discount for this purchase.
3. Payment with item breakdown. Its advantage is that it provides information about the payment of each item in the sale. So you will know not only the total amount the customer owes the store but also for each item on the receipt in particular.

You can choose any of the three modes of working with VIP clients based on your preferences or trading features. To do this, go to the "Settings" menu - "Parameters ..." - the "VIP clients" tab. In the VIP client payments window, select the required mode.

How does a seller conduct a sale to a VIP customer?

When selling, the seller scans the VIP client's card. Such customers must have a pre-issued card - this is an important security point. The "Calculate" button shows the customer's debt amount. We scan the goods for purchase. And the program offers us 3 actions:

• Receive money - in case the customer wants to pay part of the current debt;
• Repay debt - to fully repay the debt;
• Refund money - if the customer overpaid for any purchases and wants to get their money back;

Where can you see all the customers' debts?

The debts of all customers are displayed in the Payment - Balance with partners form. You can see the amount of goods issued to the customer (Goods balance), the amount of money paid for the goods (Payment balance), and the total debt for the period. If the number is negative, it means the customer owes money to the store; if the number is positive, it means the store owes money to the customer.

There is also a special Report on unpaid goods of VIP clients. Understanding which specific goods have a debt is very simple: the name of the goods is supplemented with its barcode, making it easy to identify the goods.

In the Binding payment to sales mode, the program shows a list of all previously unpaid sales when scanning the card. You can set the Maximum payment delay period for goods credit (in days). Then, when the payment is overdue, the program will inform you so that you can, for example, call or send an SMS to the customer and remind them of the payment.

Which stores successfully use this method of operation?

Children's stores. Children often fuss in the store during fitting. And sometimes parents do not want or cannot take their child to the store. Using the VIP client mode of the Torgsoft program, the customer can take the goods they like and try them on at home.

Grocery stores "near home", boutiques, lingerie stores, clothing, shoe stores, construction stores - everywhere where close trusting relationships with customers are formed near the store.
