Warehouse stock status analysis in Torgsoft

Managing inventory across multiple warehouses or different stores is one of the most challenging tasks in retail. Getting a clear, unified picture of what is happening can be difficult. Do you know the feeling when you cannot quickly answer where your stock is and how much you actually have?

The «Warehouse Stock Status Analysis» tool in Torgsoft is not just another report. It is a powerful management dashboard that turns scattered inventory data into a clear action plan to increase profit. Let’s look at its key, often overlooked capabilities that will change how you manage stock.

1. Get the full picture: view all warehouses at once

View all warehouses at once

The key feature of the analysis is the ability to see stock not only in one specific warehouse, but across the entire network. When you select a specific Accounting Center, the system automatically shows data for it and for all warehouses subordinate to it.

This is not just a report, but a strategic dashboard that gives you full control over product flows. You can make global decisions on stock redistribution and supply planning without getting stuck in the day-to-day routine of individual warehouses. It helps you see overall trends, detect excess stock in one location and shortages in another, and immediately decide on stock transfers to maximize sales.

2. Instantly find problem items

Instead of reacting when issues have already occurred (for example, running out of fast-moving products), you can work proactively. The Additional filter enables instant detection of potential weak points in your stock.

Most useful options:

  • Only with zero quantity — to analyze lost sales and identify gaps in the assortment.

  • Only with negative quantity — to immediately detect critical accounting errors (mis-sorting, theft, receiving mistakes) that directly impact your profit.

  • Only with zero and negative quantity — for a comprehensive audit of all problematic items.

  • Stock is running low — to prevent «out-of-stock» situations for fast-moving items.

  • Items that need to be ordered — to automatically generate replenishment tasks based on sales analytics.

The combined filter «Only with zero and negative quantity» is especially useful: with one click it provides a complete report of all problematic items that require immediate stocktaking and correction. Using these filters solves the lost-sales problem, helps you correct accounting inaccuracies on time, and supports an optimal assortment.

3. Filter stock by any parameter

When you need maximum detail, the Product filter helps. It allows you to narrow the analysis to very specific criteria to answer targeted questions.

You can filter products by the following parameters:

  • Season

  • Supplier

  • Manufacturer, collection, brand

  • Product type

  • Barcode

This level of granularity lets you instantly answer business questions such as: «How are the remaining units of the winter collection from a specific supplier selling?» or «What is the stock status of our key brand across all warehouses?».

But the real power of the tool appears when you combine filters. For example, you can first choose «Items that need to be ordered» (from the Additional filter) and then narrow the results by a specific «Supplier» (from the Product filter). As a result, you get not just a list of items to reorder, but a ready, prioritized order sheet for each supplier. This is an example of precise work with data.

4. Turn analysis into concrete actions

Collecting data is only half the job. The key is turning it into results. The «Warehouse Stock Status Analysis» tool completes this cycle. After applying all required filters, you can instantly print the report by clicking Print.

This is a simple but critical step. For example, after filtering «Items that need to be ordered» for a specific supplier, you immediately get a ready document. You can pass this list to the purchasing manager, turning minutes of analysis into an actionable task, reducing the risk of human error from manual data transfer and speeding up the ordering cycle.

As a result, «Warehouse Stock Status Analysis» stops being a passive stock register and becomes an active optimization tool. You move from reactive inventory management to proactive control, which is a sign of a mature and efficient business.

What key business question about your stock could you solve today using these tools?
