An employee has been issued an e-sick leave, what to do with it?

Starting September 1, Ukraine will switch to e-sick leave, which means we have two months to prepare and figure out what to do with e-sick leave. During June and August, employees can submit paper or electronic sick leave certificates. While everything is clear and straightforward with paper sick leave, it is not very clear what to do with electronic sick leave. The SPF has provided clarifications regarding the life cycle of e-sick leave at an enterprise.

Stages of e-sick leave at the enterprise

  • After an employee visits a doctor, an e-sick note is generated automatically based on an electronic medical report.
  • Information about the opening of an eHealth account appears in the employer's personal account on the website of the Pension Fund of Ukraine.

  • You will be able to view the e-sick leave on the day it is opened, but you will be able to accrue financial support only after the closure of the sick leave. However, if the e-sick leave is created due to pregnancy and childbirth, maternity benefits can be accrued from the first day of the e-sick leave creation.
  • After the sick leave is closed, the employer has 10 days to calculate the financial support and submit a claim to the Social Security Fund.
  • The employer can print the e-sick note from the website or leave it in electronic form; there are no rules regarding the storage of e-sick notes.
  • The person responsible for calculating financial support must determine the employee's insurance period and the number of days of temporary disability for which the SIF must pay.
  • The e-sick leave is then transferred to the social insurance commission or a person performing the commission's functions. The commission checks the accuracy of the sick leave certificate and decides whether to pay for the sick leave certificate or refuse it.
  • The e-sick leave is then transferred to the accounting department. Based on the information provided by the commission or an authorized employee, the accounting department calculates the amount of financial support and submits a calculation application to the Social Security Fund, if necessary.
  • An application for payment must be submitted to the Social Insurance Fund within 5 days after the decision to pay for sick leave is made. If you need to pay for both electronic and paper sick leave at the same time, you need to form and submit two applications: one for paper sick leave and one for electronic sick leave.
