Damaged and contaminated banknotes in the enterprise due to the war in Ukraine, what to do?
14.06.2022 08:58Many buildings with property inside are destroyed or damaged by the fighting. What to do if the money in the company's cash register has been damaged, read on.
If there was a fire at an enterprise as a result of hostilities, and an employee of this enterprise witnessed the fire and was able to call the firefighters, you are lucky, if it can be said so.
After the fire is extinguished, the rescuers must draw up a report, which indicates the results of the inspection of the accident scene. Sometimes officers of the National Police and the Expert Service of the Ministry of Internal Affairs of Ukraine may be involved.
If possible, request an act so that you can later hand over burned cash to the National Bank of Ukraine for examination.
Carry out an inventory
In the case of theft, fire or natural disaster, the inventory is a necessary item. The head of the enterprise must create an order to conduct an inventory and determine its scope.
Tax officials explain that in order to include the damaged property in the expenses, it is necessary to conduct an inventory and get the conclusion of the Chamber of Commerce of Ukraine on the occurrence of force majeure.
If the banknotes are burned
First, it is necessary to conduct an inventory of cash and draw up an Act on the results of the inventory of available funds. During the inventory, it is necessary not only to list how much money is left, but also to sort the banknotes, which means to separate unharmed banknotes from damaged and completely destroyed ones.
The National Bank of Ukraine classifies banknotes as follows:
| Genuine banknotes | ||||
| Payment (genuine banknotes which can be used for all types of payments, as well as for crediting accounts, deposits, letters of credit, transfers and exchanges) |
Doubtful banknotes (banknotes, the authenticity or payability of which is questionable until their examination and drawing up an act of examination of doubtful banknotes by the National Bank of Ukraine) |
Non-payable (genuine banknotes that cannot be used for all types of payments due to damage during money circulation or improper storage) |
||
| Banknotes in circulation (banknotes that have not acquired signs of use and damage during circulation) |
Not suitable for circulation | |||
| Damaged | Mutilated | |||
Burnt banknotes can be classified as mutilated.
If banknotes are burned, but the intact area is more than 55%, banks should accept such money without restrictions, and exchange them for banknotes suitable for circulation. No additional examinations, other than determining the undamaged area, should be carried out.
Mutilated banknotes with a surviving area of less than 55%, or which as a result of burning have created a solid briquette of damaged banknotes, should be handed over to the National Bank of Ukraine. Do not separate such banknotes by yourself. An application should be submitted to the National Bank of Ukraine together with the damaged banknotes.
Where can I apply to exchange damaged/mutilated banknotes?
To exchange damaged/mutilated banknotes, you need to contact the regional branches of the National Bank of Ukraine. Before you go to the Regional Bank of Ukraine, you should call them and find out their working schedule.
Together with the damaged banknotes and the application, a certificate of fire, disaster or other document explaining what happened to the money must be added.
After the exchange, the money will be accounted for in the bank account in full.
If there are no branches of the National Bank of Ukraine in your city, you can go to one of the authorized banks: Sberbank, PrivatBank, Pumb, Raiffeisen Bank. Banks do not examine banknotes, but carefully pack them and pass them to the National Bank of Ukraine for examination. Only after the examination and determination of the authenticity of the funds will be credited to your account. The procedure may take several months.
Only the amount of money that has been identified and authenticated will be reimbursed.
Funds that are exchanged for whole or credited to your bank account after the examination should be accounted for as before the incident. And money bills that are not exchangeable must be written off as a deficiency and loss of damaged valuables.
What if the money burned completely?
If the banknotes burned completely, it is necessary to conduct an inventory and record the shortage of funds in the enterprise. On the basis of the act, the destroyed funds must be written off as a deficiency and loss of damaged valuables.
