12.02.2024 14:56The Vchasno service is an online platform and electronic document management service that greatly simplifies the work of entrepreneurs and accountants. Now, any documents can be drawn up, signed, and stored in the cloud, including a certificate of completion.
How do I fill out the document, sign it with an electronic key, and send it to the client?
What is a certificate of completion?
This is a document that is drawn up when services are provided. It specifies the list of work performed, its cost, and the completion date. Such an act must be signed by both parties: the contractor and the customer, who accepts the work and pays for it upon completion.
There is no standard form of the document. It is drawn up arbitrarily, but there are generally accepted rules for filling it out:

name of the document and date of its preparation

full name of the customer and the contractor, as well as bank details;

an accurate list of services/works and their cost;

units of measurement (pieces, running meters, etc.);
-
the amount of VAT, if the contractor is a VAT payer;
-
the position of a person who has the authority to perform work or services;

terms of service provision and fulfillment;
-
personal signature of the client and the contractor;
-
a column on the absence of claims between the parties;
-
name, number and date of the agreement, if any.
Since the certificate of completion is a primary document, the mandatory list of details that must be specified in it is set forth in Article 9 of Law No. 996.
How do I fill out a document and send it to a client via Vchasno yua?
The service's user-friendly interface will help you quickly deal with document management, just follow the step-by-step instructions:
1. Formation of an act on the work/services performed
You can create a document in any accounting system, download a ready-made sample, or create it in a text editor.
Save the finished copy to your device in a format that is convenient for you (pdf, xml, doc, docx, xls, jpg, png).
2. Uploading an act to Vchasno
Click the Upload Documents button. A window with settings appears on the screen. You can upload several documents to the system at the same time.
3. Customize the signature of the act
You will see the Signature order tab. Here you need to check the following options:

Next, you will be taken to the Account tab. Here, select options:

You need to check the box next to the signature of only one party.
If you are creating an act on behalf of a counterparty, you need to select the "First signature of the counterparty" tab.
If you are filling out a multilateral agreement, select the appropriate option in the Signing Procedure column.
4. Select a document to upload
Select the required document online in the list of uploads and change the status to "Counterparty indication required". Once again, check the box next to the required act and click the "Sign and send" button.
5. Entering counterparty data
Enter the counterparty's data in the window that opens: EDRPOU, TIN, and e-mail. If this person is already registered in the Vchasno system and you do not know their email, it is enough to enter their identification number and EDRPOU for the program to automatically find the necessary data.
6. Using the CEP key
The file with the key may have the following format: dat (Key-6.dat), zs2, sk, jks, pk8, pfx. You can get the key itself either from the ACSK or order it from the same service.
7. Signing and sending the act
Enter the key, click the button to have the system load it, and select the "Sign and Submit" option. If you have a stamp, you can add it to the form if necessary.
After these simple steps, the counterparty will receive a notification that the documents have been sent to them and are available on the Vchasno service.
How to get an electronic key of the QES on the service?
You can get an electronic signature key on the Vchasno Service platform. To do this, follow these steps:
1. Register on the Vchasno portal and log in from any device.
2. Go to your personal account and create a new application for a QES key.
3. Prepare the necessary documents:
for legal entities:

extract from the Unified State Register,
-
an identity document,
-
an application for registration (can be created in your personal account),
-
copies of documents confirming the authority of a particular person,
-
identification code.
for individuals:
-
identification code,
-
passport,
-
application for registration.
4. Identify yourself at customer service points (the address can be found on the website).
5. Create an invoice in your personal account.
An individual, a legal entity, and a sole proprietor can obtain a QES key. With its help, you will be able to quickly sign a certificate of completion and generate any accounting documentation.
