How do I switch from a cash register to a cash register?

Ukrainian legislation gives entrepreneurs the right to decide which type of cash register to use: hardware or software. It is also not prohibited to change a classic cash register to a software cash register and vice versa in the course of business activities. Read this article to learn how to replace a hardware cash register with a classic one.

The transition from a hardware cash register to a software cash register is quite simple and consists of two stages:

  1. Registration of software cash registers.
  2. Deregistration of a hardware cash register.

How to register a cash register?

In order to register a software ECR, you will need a qualified electronic signature (QES, formerly called EDS) of the entrepreneur. You can get it free of charge from the tax office, create it yourself on the PrivatBank website, or contact an accredited key certification center. If a seller will work with the ECR, he or she will also need to obtain a QES.

After receiving the QES, you need to log in to the taxpayer's Electronic Cabinet and submit an Application for Registration of the Software Registrar of Payment Transactions in the form 1-ECR.

Please note! When registering a cash register, the field "Fiscal number of the cash register" in section 4 "Data on the cash register" is not filled in.

Once the Application form No. 1-ECR is completed, it must be signed and sent to the tax office. After some time, if the application is filled out correctly and there are no reasons to refuse to register the ECR, you will receive a receipt No. 2, which will contain the following information: "Document accepted" "Information - ECR "Name of cash register" with a local number "Cash register number" assigned fiscal number "Fiscal number of ECR".

The next step is to register the seller - the cashier who will work with the ECR. For this purpose, it is necessary to submit a Notice on provision of information on a qualified public key certificate (for notifications on public key certificates used in the ECR).

The Notification must include the cashier's full name, TIN, Subject Key Identifier, and Signature Type.

The subject's key identifier can be viewed in the QES itself. To do this, go to the folder where the QES is saved, right-click on the certificate with the *.cer extension, and click "Open". Go to the "Composition" tab and look for the "Key usage" item in the list, its value should be "Digital signature, Irrefutability". If your certificate does not have this value, then you need to select another certificate. When you have found the certificate you need, in the "Composition" tab, look for the "Subject Key ID" item and copy the set of letters and numbers, they look like this: 88 b9 20 a1 91 b2 40 2e 86 f5 f9 cd 21 9a 7d 77 b8 34 44 8f 78 73 5b 0d 97 34 b7 26 6b 80 f1 56. Next, paste these letters and numbers into the Message and remove all the spaces.

Once the Notification is completed, you need to sign it and send it to the tax office. If you have done everything correctly, you will receive a receipt No. 2 with the message "Package Accepted" after a while.

How to deregister a hardware cash register?

The tax authorities say that entrepreneurs can choose and use any type of cash register at their own discretion. However, if an entrepreneur decides to switch from a hardware cash register to a software one, he or she must deregister the classic cash register after registering the ECR.

In order to deregister a hardware cash register, you need to:

  1. Contact the Service Center with which you have an agreement and take the documents on sealing the cash register.
  2. The CA collects the certificate of sealing, unseals the cash register, issues a certificate in the form No. 1-CSO and sends a copy of the certificate to the tax office.
  3. The entrepreneur submits an application in person or electronically through the taxpayer's electronic office in the form No. 4-ECR. As a reason for refusing to register a cash register, you can write: "Switching to a cash register". The application must be accompanied by the registration certificate of the cash register.
  4. Within five calendar days, the tax office will deregister the cash register and issue a certificate in the form No. 6-ECR.

Torgsoft software, including the software ECR, is a tool for recording payment transactions that operates on the user's devices and offers flexible settings. According to clause 11.2 of the License Agreement, the software is provided "as is," and Torgsoft does not guarantee its compliance with user expectations, equivalents, or standards not specified in the official specification. Since there are more than 25 types of fiscal receipts in Ukraine depending on the industry and payment methods, it is recommended to obtain official clarifications from tax authorities regarding receipt compliance with legal requirements before using the software ECR. Цей алгоритм вірний, якщо підприємець працює без ліцензії.А якщо РРО використовується при продажу підакцизних товарів, його потрібно до зняття з реєстрації виключити з додатка до ліцензії. Програмне РРО, наскільки я розумію, внести в додаток, інакше продаж підакцизних товарів неможлива.
