There is no need to spend time on preliminary inventory before automating accounting. From the moment you launch a program like Torgsoft, you automatically perform a "zero" inventory by entering data about products. By installing the program, you immediately record available products as purchases, indicating their quantity as initial stocks. This allows you to track the entire inventory without liabilities to suppliers. Data can be entered manually or by scanning barcodes, significantly simplifying the process.

Second Approach: Cautious and Recommended by Accountants

This method involves conducting a detailed inventory before entering data into the system. This approach helps avoid any confusion during receiving and selling products, as you have precise data about all products at the time of program launch. This ensures a clean start and a connection between physical stocks and their representation in the system.

If you previously managed your records in Excel, you can export information about products and clients from Excel to Torgsoft. If you use another program, you should first export the information to Excel and then import it into the Torgsoft program.

What data can be loaded into the program?

Data about clients:

• Name, barcode, discount percentage, initial amount, address, phone, comment, contact, email, card type, bonus amount.

Data about products:

• Barcode, article, description, material, color, size, product type, manufacturer, supplier code, image, quantity,

• purchase price in currency, purchase price, retail price, wholesale price, equivalent price in currency (retail, wholesale), product discount,

• additional product characteristics that can be defined in the product type.

Cell format is text. The document should be saved in *.xls format (Excel 97-2003).

If the product name includes a description, product type, color, and material and is located in one cell, you should split it into different cells for the program to correctly import the information into the required fields.

Entering data for inventory management software, especially when dealing with quantities ranging from 1000 to 2000 items, depends on several factors. Creating a new product card "from scratch" typically takes about one minute on average. In the case of adding products with size ranges, for example, if a model has 5 sizes, the time for adding such an item is significantly reduced as multiple units of the product are processed simultaneously.

Taking this information into account, it can be estimated that entering information for 1000 unique products may take anywhere from 3 to 7 working days. This variation in time is due to the different levels of complexity of the products and their descriptions.

To expedite inventory entry, it's advisable to receive and record products of one type first and then proceed to the next type.

Labeling helps easily identify and sell products. Here's how it works for different types of products:

• Products with manufacturer barcodes: Most products have a barcode on the packaging. It's scanned during sales, for example, a carton of milk or a book. The manufacturer's barcode can be saved in Torgsoft and used by default. Manufacturer barcodes simplify further inventory of identical products.
• Products without barcodes: If a product doesn't have a barcode, Torgsoft will automatically generate one. This code is then printed on a label using a label printer and attached to the product.
• Weighed products: For products sold by weight (e.g., fruits, vegetables, cheeses), the barcode is typically printed on the receipt or label after weighing. Torgsoft has a function for "Packaging weighed products and labeling them with barcodes".
• Small items: Small items like stationery or screws have labels attached to the package or set. If sold individually, small labels can be used.
• Bulky items: Items like furniture usually don't have a barcode on each unit. They are identified and sold using information from the catalog or the label on the display model.
• Products with size ranges: Clothing or footwear have separate barcodes for each size and color. This allows for accurate tracking and quick retrieval of the required item. Torgsoft creates unique barcodes for each size.

• For small items, 30x20 mm labels will be suitable.
• The classic and most common size for labels is 40x25 mm.
• Building materials and shoe boxes are often labeled with larger labels, typically 58x40 mm.

If you want to control your employees in your absence, Torgsoft provides useful features. You can:

• Hide important information. With the program, you can restrict access to confidential data such as prices, stocks, or customer information.
• Set up employee roles. You can define roles for your employees, such as a product specialist or a salesperson. Each will have an appropriate level of access.
• Limit functions for salespeople. Specify that salespeople can only perform sales and returns. Other functions can be opened or closed as needed.
