What is needed for accounting and automation of wholesale trade?
If you need to set multiple prices for goods and adjust them based on the quantity purchased, this is implemented in the additional Torgsoft option — «Wholesale pricing policy».
Software for wholesale trade
For the automation of accounting in wholesale, retail, wholesale-retail trade, and production, the Torgsoft accounting software is suitable:
- Torgsoft version Ultra or Terminal.
- Additional option «Wholesale pricing policy».
Recommended additional options for wholesale trade
- Minimum and maximum stock for each warehouse, to analyze sales and avoid shortages or excesses of key items at retail points.
- Electronic catalog with the ability to order goods — an alternative to an online store. Allows wholesale buyers to place orders online using the «Electronic catalog» application, and sellers — to provide information about stock availability and individual wholesale discounts.
- Mass mailing for working with wholesale buyers — notifications about new product arrivals, price list distribution, and drawing attention to marketing promotions and special offers.
- Production automation is suitable for those who are manufacturers — this option helps to account for the full production cycle: from purchasing raw materials to selling to wholesale buyers and retail sales at own outlets.
- Software-based ECR for selling fiscal goods.
Wholesale trade accounting
After activating the «Wholesale pricing policy» option in Torgsoft → Settings → Parameters → Accounting → Transition from retail to wholesale prices, depending on the quantity — select «Use wholesale pricing policy».
The wholesale pricing policy defines for different groups of goods the principles of price formation based on the quantity purchased. During sales, the software automatically determines the required price of the product.
For different categories of goods, you can set any number of discount conditions as a percentage. The discount is calculated from the current retail price of the product.
For example, when buying 5 similar items, small wholesale will come with a 15% discount, when buying 10 items — medium wholesale with a 30% discount, when buying 20 items — large wholesale with a 40% discount.
In the «Marketing» menu, you can set wholesale discounts for the manufacturer for each client individually. For example, if your customer frequently buys TM Halychyna products, you can set a 5% discount for that manufacturer.
The wholesale pricing policy can be applied to previously accounted goods. In this case, wholesale prices need to be formed for each product group — this action will calculate wholesale prices according to the conditions.
Wholesale prices can also be set for individual goods: select the required product in the «Warehouse condition», and in the product card, open «Wholesale prices» and «Currency price list». Wholesale prices will be calculated automatically, according to the wholesale pricing policy.
Wholesale prices for each product can be changed, partially or completely removed.
You can prohibit the wholesale pricing policy for any accounting center. However, the prices of the policy apply to the entire trading network. Even if the retail price of a product differs in various accounting centers, the wholesale price will remain unified.
How to sell goods wholesale?
In Torgsoft, you can sell wholesale in two modes:
Selling goods wholesale at the cash register
«Realization» — if the payment for the goods is made at the moment of purchase, at the cash register or warehouse. The sales cycle is simple: scanning the product into the realization → receiving payment for the goods → printing the receipt.
If the client is unable to pay immediately, from «Realization», you can generate an invoice with banking details for payment to the current account in one click.
Wholesale order
«Trade with invoice» — a classic sales scheme for wholesale trade: order formation → invoice creation and sending for payment → linking the payment → invoice shipping — debiting the goods from the warehouse and printing the product invoice.
Trade with invoice assumes balanced relationships with clients to control the status of goods shipments, and in the «Balance with partners» — to maintain a general account of settlements.
If the wholesale customer needs delivery by Nova Poshta, directly in the Torgsoft program, using the «Synchronization with Nova Poshta» option, you can generate and print a waybill, and send an SMS notification that the wholesale order has been dispatched.
If your customer also uses the Torgsoft accounting system, to avoid manual receipt of goods, they can simply import the electronic invoice with all goods, barcodes, and purchase prices.

Working with wholesale suppliers
If the stock is running out, place an order with the supplier electronically through Torgsoft.
This will allow you to:
- avoid supplier mistakes with positions and the number of goods that need to be delivered,
- allow the customer to fix purchase prices and ensure the accuracy of settlements with the supplier,
- immediately account for goods from the order during delivery, avoiding double work.
Wholesale clients
Settlements with wholesalers
Wholesale trade builds long-term relationships with clients. Depending on the history and duration of cooperation, frequency of orders — each wholesale buyer may have their own discount, which is set in the client's card in the Torgsoft program.
Payment for goods often depends on the level of trust: regular clients may place several orders and settle later, for example, once a month; new customers, as a rule, make a prepayment for the goods and then receive their order.
In wholesale trade someone always owes someone something. Keep strict financial records in the accounting program: enter each payment transaction with suppliers, payments from customers, and then in the «Balance with partners», you will see the actual state of settlements, the debt summary.
Additional sales to wholesale clients
Wholesalers are the most loyal customers. Send mass mailings to wholesale buyers, informing them about new product arrivals. The most convenient way to work with buyers is via Viber mailings — 95% of entrepreneurs use Viber, where they usually track messages from suppliers.
Mass mailing is effective since buyers do not often visit the website or request price lists. A personal message is an invitation, a reminder to make a purchase, order goods first while they are in stock.
To send mailings, activate the «Mass mailing» option for free for 30 days, and filter clients by the «Wholesalers» feature in the Marketing → Mass mailing menu.
Alternative to an online store
If you don't have an online store, but have regular customers who order in bulk — provide them with a small program for the computer «Electronic catalog with the ability to order goods». Buyers will see the stock of offered items in the warehouse and individual wholesale prices for these goods.
Loyalty system in wholesale trade
A discount card — is an attribute of brand or store membership. Its advantage is that every time the entrepreneur opens their wallet, they will see your store's logo and will be reminded to place an order with you.
From an accounting perspective, a discount card (as a plastic, tangible object) — is optional. A client can be entered into the program by phone number, which will then allow for effective mass mailings.
Don't forget to set the «Wholesale customer» feature in the Marketing → Clients menu, and the «VIP client» feature if they can be shipped goods on credit.

Wholesale price lists
Torgsoft is the ideal software for creating price lists. In Torgsoft, you can generate:
- wholesale price list — general for everyone,
- individual price list — with personalized discounts for each client for certain types of goods.
Printing wholesale prices on labels
To print the wholesale price on the label, you need to edit the label template — add a variable with the wholesale price. This can be done independently in the Settings → Label printing settings menu, or you can contact Torgsoft's technical support service.
Wholesale sales report: where to see what was sold wholesale?
In Torgsoft, the wholesale sales summary can be viewed in the Report → Product report for the period menu, selecting the relevant type — wholesale.
The total amount of wholesale purchases for the entire period can be viewed in Marketing → Clients, applying the «Wholesalers» filter. Based on this information, you can see who buys the most, filter out large customers. Apply an additional loyalty system to such clients — accrue bonuses or give them merchandise as a gift for cooperation.
Planning the further development of the wholesale trading point, considering the demand for certain categories of goods, will help with ABC XYZ analysis.
Sets: selling goods wholesale and retail
For purchasing and selling goods wholesale use sets in Torgsoft, to receive goods as sets, and if necessary — disassemble them, collect wholesale sets from goods in stock.
The set may include goods with different cost prices, based on the purchase price. The cost price of the set is formed proportionally to the quantity and retail prices of the set components.

Wholesale prices in the online store
Torgsoft transmits wholesale prices from the online store or Prom, which are filled in the product card, as well as the wholesale pricing policy — multiple prices + conditions in the form of a file. To do this, you need to check the «Synchronize wholesale pricing policy» checkbox in the object synchronization settings.
The Rozetka marketplace can only accept one wholesale price from the accounting software. To transmit the wholesale price to Rozetka, in Torgsoft, in the object synchronization settings on the «Synchronization files» tab, add the wholesale price field.
Software-based ECR and wholesale sales
For selling fiscal goods wholesale, you need Torgsoft accounting software and an activated option «Software-based ECR».
Otherwise, in terms of reporting, wholesale sales are no different from retail sales. You need to:
1. Open the cash register day.
2. Process sales through the software-based ECR.
3. Submit the Z-report at the end of the day.
If you only accept goods to a current account, do not accept cash, and do not use intermediaries — payment services like LiqPay and similar, then you do not need to use an ECR.
