Program for production
Program for production accounting
Production management requires accuracy, organization, and constant control. The entrepreneur needs to:
-
purchase materials and raw materials,
-
keep track of expenses, stock levels, and finished products, make calculations with suppliers,
-
calculate employee salaries,
-
manage wholesale or retail trade,
-
analyze production processes, etc.
The Torgsoft production accounting program allows Ukrainian manufacturers to easily and accurately automate all production stages: from planning to product sales. The production program automates routine tasks, reduces costs, saves the owner's time, and ensures transparency in production processes.
Possibilities of the program for production accounting
The additional option of the Torgsoft program “Production Process Accounting” helps organize production accounting, taking into account all stages of product manufacturing:
-
Plan batch sizes and purchase raw materials.
-
Calculate the quantity and cost of materials.
-
Track purchased and actually used materials, hardware, packaging, waste, defects, and view data on stock and expenses.
-
Create technological maps, route sheets with the recording of completed tasks and their performers.
-
Prepare production plans and monitor their implementation.
-
Print route sheets and production acts.
-
Calculate the cost of production for items and batches, determine the sale price, markup, wholesale prices and retail prices.
-
Track expenses and labor costs for each production operation and the production of specific product batches.
-
Track the deadlines for completing orders.
-
Track released products and defects, record the quantity available for sale by model and size.
-
Distribute finished products to points of sale.

Control materials reserved for production.
Let’s review the main features of the Torgsoft software for production accounting using the example of clothing manufacturing.

Technological cards
In Torgsoft, you can easily track all expenses for raw materials and supplies. You will always know what is in stock, in what quantity, and at what cost.
The program divides the materials warehouse, where purchased materials and hardware are tracked, and the finished goods warehouse, where sold goods and incoming products are recorded.
The work starts with creating a technological map. In the special “Technological Maps” menu, you can enter all the information about the operations required to manufacture the product, the necessary materials, and their cost.
For example, you plan to make sweaters. To produce one item, about 20 operations will be needed: knitting (back, collar, sleeves), overlock processing, packaging, etc.
To add a new product for creation, go to the program's menu: “Document” ⟶ “Finished Goods Production” ⟶ “Technological Maps”. Click “Add”. The “Technological Map” form will open, where you can select an already created item from the list or add a new one.

The created technological map is moved from the “Editing” status to the “Ready” status. This means that the product can go into production. Usually, the creation of technological maps is handled by the designer, technologist, or the business owner. These buttons are not shown to workshop employees.
Based on the technological map, you can place an order with the supplier for the materials.
Technological operations
Each manufacturing operation is entered separately in the “Technological Operation” window so the program can account for its cost when calculating the production cost and employee wages for completed operations. This is a list of all necessary actions for manufacturing the product.
For example, to make a sweater, you need to sort and process the yarn, prepare technical drawings, design the models, and knit the various parts of the sweater either by hand or machine. Additional operations are required, such as sewing the parts together, seam processing, pressing, or steaming, etc.
To fill out “Technological Operations,” click “Add” in the relevant tab — select from the list or add a new technological operation to the program:

You can pay the employee for each completed technological operation or for the time spent on it — select the preferred option in the “Piecework Pay” form.
Materials
In the “Materials” tab, materials and their equivalents needed for manufacturing one product are entered. Often in garment and knitting production, the material actually used is written off from stock based on the weight of the finished products. The thread consumption for knitting is indicated in grams, and the consumption of artificial items (rhinestones, buttons, tags) — in pieces.

For material accounting, a weighing operation will be useful. The employee needs to record the actual weight of the entire batch of products made. This weight is written off from the stock proportionally to the material consumption for both finished products and defects.

Route letters
Employees can register completed operations in the program mode "Route Sheet Operations". The route sheet allows you to quickly track the degree of readiness of the product batch.
In the Torgsoft program, the route sheet is created automatically — according to the technological map, specifying the number of items in the batch that need to be manufactured.
The route sheet is printed and handed over to the workshop employees.
All technological operations in the sheet are displayed in the form of a barcode. After completing an operation, the employee scans the barcode of the route sheet, the barcode of their badge (to mark themselves as the performer), and the barcode of the operation (by entering the required number of operations or scanning the operation barcode the required number of times).

The "Record" barcode saves the entered data, and the system is ready to record the next operations.

This approach in continuous production conditions speeds up and simplifies the input of information into the system. Moreover, workshop employees (seamstresses, operators) often do not have strong computer skills, and the simpler the communication with the program, the fewer mistakes will be made.
The program keeps all created route sheets with details: completed operations, names of performers, and cost of works. If necessary, the manager can edit this information.
Production acts
In the program, you can record the fact of manufacturing one product, several items, or an entire batch. Each stage of production is entered into the “Production Act.” By closing the act, you confirm the completion of that particular stage of production.

Release of products
Product release in Torgsoft is the movement of the finished batch of goods from production to the “Finished Goods Warehouse” (or any other accounting center: retail store, warehouse, sales point) and the write-off of production materials from stock.

After all the released products are shipped, the main current production act (route sheet) is closed. In Torgsoft, goods can be received by selecting the appropriate location and specifying the required quantity of goods. After this, these goods will become available for further sale.
Production cost accounting
Torgsoft can automatically calculate the cost of each unit of production, taking into account the cost of materials, production expenses, and other factors. This allows you to set competitive prices, control margins, and remain profitable.
The production cost is calculated in the “Closing the Production Act” window. To do this, you need to select the accounting center for the shipment of goods. Additional fields will open where you can enter the cost, markup, retail and wholesale prices — either manually or by setting a markup percentage.

To make it easier to assess the product, the form displays the price change history: the price at which previous batches of similar models were delivered to the warehouse.
The production cost of the finished product is calculated using the information you previously entered in the “Technological Map” of the product, considering the amount of material and operations required to produce one unit of the product.
Marking of finished products with labels
For goods transferred to the warehouse, the program generates labels used to mark the packaging. The label contains a barcode, which makes it easy to track the stock availability of sizes for each model. Scanning the barcode significantly simplifies product shipment and warehouse inventory.
Documentation
In the program, you can create a selection for any period for all route sheets — both those that are in production and those that are closed. All this data can be printed as reports:
-
Production Act — a list of operations and performers, and if necessary, the cost of the batch and the cost of one unit of the product.
-
Unclosed production acts — information on how much product has been manufactured per route sheet and how much remains to be produced.
-
Released products for the selected period.
-
Product list — batches of products that have already been transferred from production to the warehouse or stores.
Payment of labor
Torgsoft software automatically calculates the salaries for each employee based on the value of the operations they have completed. The owner can set the required time period — this is convenient if salaries are paid weekly.
In Torgsoft, the amount of money allocated for salaries is recorded. You can print payslips for employees and an overall payroll.
Also, in the program, thanks to the additional option “Salary Calculation and Employee Motivation System,” you can keep track of working hours, sales results for each employee, set different types of rates, commission percentages, etc.
Production order
Manufacturers often accept custom orders for production from clients. This is a popular service among furniture manufacturers, as well as clothing and footwear manufacturers.
In the program's special menu “Customer Order for Product,” you can select the models or products to be produced, make an advance payment for the order, create technological maps, and production acts.
After the finished products are released, the ordered items can be handed over to the client either partially or completely. An invoice and a delivery note can be immediately created for the produced goods.
Warehouse accounting and trade
Finished products are sent to retail or wholesale sales. For this, the standard functionality of the Torgsoft program is required: warehouse and financial accounting, customer accounting, discount system, inventory, etc.
In Torgsoft, you can also create a branching product category tree with many characteristics, quickly receive batches of goods, control stock levels, track movements in the warehouse, conduct inventories without closing stores, select storage locations for products, and more.
