Accounting for services: how does it work at Torgsoft?

The service sector covers a wide range of businesses — from repair workshops, translation agencies, and tutoring services to training centers and sports clubs. Without automation, administrative processes become complex and chaotic, leading to profit losses, issues with income tracking, and difficulties in communication with clients.

Keeping track of sold services, payment control, and marketing tasks consume a lot of time and resources for business owners. That is why the service sector requires well-established management, financial performance monitoring, and sales automation just as much as any retail business in Ukraine.

✅ Accounting for services provided

A service is a product in Torgsoft that cannot be quantified, and therefore, cannot be stocked in the warehouse.

However, you can add, edit, and delete services in the database just like products. This is convenient for those who combine product sales with service provision, for example:

  • electronics stores that offer product repairs,

  • copy centers that sell related products,

  • sewing workshops and ateliers that sell accessories and fabrics,

  • furniture stores that sell ready-made furniture and accept orders for assembly, manufacturing, or delivery.

Services are entered into the program through the "Merchandising" mode → "Complete list of products and services" form. The created service includes its name, article number, retail or wholesale price, discount (if applicable). When creating a service, the "Product type" is automatically set as "My Services."

When creating a service, it is possible to specify its composition: for example, for stationery stores, the "Xerox printing" service can include spare parts for repairs and paper so that consumables are deducted along with the printing.

A subordinate service can also be added in the product type directory ("My Services").

My Services

If necessary, the created service can be assigned to a specific product type and manufacturer, just like when stocking a product, which greatly simplifies searching and control. It is worth noting that a service cannot have a purchase price, and therefore, no cost price.

✅ Archiving and restoring services

If a service is temporarily unavailable, you can "deactivate" it without deleting it. It's easy to restore the service later.

✅ Individual orders for goods or services

Torgsoft allows you to accept customer orders for individual products, such as furniture assembly in a furniture store or curtain tailoring in a fabric salon. 

The seller can enter all necessary customer and product details into the special form «Customer order for a product», specifying materials and product or service characteristics. This ensures the correct deduction of materials from stock. 

The service price can include payments to contractors. An invoice and an expense document are immediately created for the manufactured product.

✅ Sales accounting and financial control

In Torgsoft, you can manage sales and full financial accounting:

  • Track the number of services provided and the total sales amount for a specific period.

  • Perform automatic cash register calculations, generate, and print receipts.

  • Record payments, issue invoices, and monitor debts.

  • Log expenses for premises rent, marketing and advertising, and staff salaries.

  • Integrate with accounting systems M.E.Doc and Art-Report for bookkeeping and tax accounting: generating primary accounting documents and submitting tax reports.

  • Synchronize online service orders with retail sales.

Thus, in the «Sales» form, both service sales, such as copying or laminating, and product sales, such as paper and folders, will be recorded.

✅ Financial reporting and integration with pECR

To comply with legal requirements and avoid issues with the tax authorities, all service sales must be fiscalized.

According to the «Law on ECR», fiscal registers must be implemented for all Sole Proprietorship groups under both the simplified and general taxation systems. Sole Proprietors in the 2nd and 3rd groups, as well as those under the general taxation system, must provide customers with a fiscal receipt when selling goods or services.

In Torgsoft, goods sales are processed both through a classic fiscal register and an Electronic Cash Register (ECR).

Integration with an ECR allows printing fiscal receipts and issuing them to customers at the cash register; generating electronic receipts and transmitting transaction data to the tax authorities; creating and printing tax invoices; and conducting cashless payments thanks to integration with banking terminals. This enhances transaction speed and service quality.

Additionally, the software enables automatic generation of primary and supporting documents required for accounting and financial reporting: acts of completed work, production acts, invoices, payment receipts, fiscal receipts, and invoices, among others.

Torgsoft generates over 50 types of reports and 30 types of analysis, helping to assess both the overall financial status of the business and the profitability of a specific service. Here are the main Torgsoft functions for service sector analytics:
