Complete set in Torgsoft: description of the set composition and control of write-off of components

The «Assembly» function in the Torgsoft software is designed to create product sets that can be sold as a single whole (for example, a gift set, a furniture set) or as separate components (for example, selling diapers individually from a package).

Below is a detailed description of how to configure the composition of a set and how the write-off control of the set components works.

1. Description of the set composition (Creating a set)

There are several ways to describe the composition of a set in the program:

Method A. Through the product card

1.Through the product card

This method is convenient if you have already received the product into stock (for example, a pack of paper clips) and want to make it a component item (so that it can be sold individually).

  1. Go to the menu Merchandise Management — Full list of goods and services.

  2. Find the required product and click Edit.

  3. In the product card, click the Composition button.

  4.  Then either click the "Add to composition" button if the product that will be included in the set has not yet been added to the database. You need to create a new product card, specify the quantity and the retail price at which this product will be sold separately, outside the set.

  5. Or click the "Select to composition" button if you want to add an existing product card to the set composition, which was previously added to the Torgsoft software. You need to specify the quantity included in one set.

Method B: Through the «Document — Assembly» menu

«Document — Assembly»

This method is suitable if you want to combine several different products into a new set (for example, a barbecue set: skewers + charcoal).

  1. Open Document — Assembly — Set Description tab.

  2. Click the Create set button.

  3. Create a new product card (the set itself), specifying its name and price.

  4. Then in the "Assembly and Production" window, select the newly created set and click the Select to composition button if the product has already been added to the system, and specify the quantity of this product included in the set. Or click the "Add to composition" button if this product included in the set does not yet exist in the database, create its product card, specify the retail price and the quantity included in the set.

Method C: Set template. Used for typical builds (for example, a PC configuration), where the composition may change at the time of sale.

  1. Go to Document — Assembly — Set Template.

  2. Create a new template and add products to it.

  3. During the sale, you select the template, and all products included in its composition are added to the receipt.

2. Write-off control of the set components and set formation

In Torgsoft, the very fact of creating a set description in the "Document" - "Assembly" form does not yet create the «Set» product in stock. To do this, you need to perform the assembly operation, which will write off the components and receive the finished set into stock.

Manual assembly (Write-off of materials):

Manual assembly

  1. In the menu Document — Assembly — Set Description, select the required set and click Edit assembly.

  2. Click the "Assemble" or "Product manufacturing" button. Please note:
    - "Assemble" - clicking this button will create a receipt invoice without purchase prices and cost price. Purchase prices and cost price will be filled in for the set after recalculating the product cost price in the software (method: by product supply batches).
    - "Product manufacturing" - clicking this button will create a receipt invoice with purchase prices and cost price. There is also an option to specify the actual consumption of materials (set components).

  3. Specify the number of sets to be assembled.

  4. The program will check the availability of the components. If there are enough of them, they are written off from stock, and the finished set is added to stock. If there are not enough components, a message about insufficient quantity of set components will appear.

Automatic assembly during sale. You can configure the program so that the set is assembled automatically at the time of sale if there are no finished sets in stock.

Automatic assembly

  • In the product card (the Assembly tab) or in the assembly menu, activate the setting «Assemble the set before sale if it is insufficient in stock».

  • When adding such a product to the sales document, the program will automatically write off the necessary components and receive the set «on the fly» (provided that there are enough components).

Disassembly (Selling by parts). If you need to sell a set component from a finished set:

  1. In the set settings, the switch «Disassembly allowed» must be enabled.

  2. In the product card (Assembly tab), activate the setting «Show the disassembly form before sale».

  3. When selling this set, the "Sale of assembled product" window will appear, where the cashier can decide whether to sell this set or disassemble it for further sale of only a separate component of the set.

Disassembly upon receipt. Used for products that arrive in packages but are sold individually.

  • In the product card on the Assembly tab, in the "Disassembly upon receipt" field, you can select the following setting:

    • No — the default value.

    • Into the current document: the packaged product is replaced with a list of individual items directly in the receipt invoice.

    • By separate documents: a receipt of the package is created, then an automatic write-off act for the package and a receipt act for the individual item are created.

3. Important accounting nuances

  • Serial numbers. For sets that include products with serial numbers, a separate «Set with serial numbers» tab is used. When creating such a set, the program requires entering serial numbers for each component.

  • Write-off. The write-off of set components during assembly occurs at the moment the «Save» button is clicked in the product manufacturing window.

This functionality allows you to accurately control the stock balances of both finished sets and their components, avoiding stock discrepancies.
