Price management in a retail chain

Torgsoft includes a flexible price management system for a retail chain, allowing you to configure either full synchronization (one set of prices) or different pricing policies for each store or region. Below is a detailed description of the configuration scenarios.

1. Single prices across the entire chain (Centralized pricing)

This scenario is used when product prices must be the same in all stores in the chain, regardless of location. A price change at one site (usually the central one) automatically updates prices at all other points.

  • Setup. To enable this mode, go to Settings — Parameters — Retail chain and turn on the switch «Maintain the same prices at all points of sale».

  • How it works. When prices are changed at the central warehouse (or any other one, if the center is not strictly defined), new prices and product discounts are automatically sent to all other stores via data transfer channels (data packets).

  • Price source:

    • If a specific store is selected in the «Central accounting object» field (for example, Warehouse), only changes made there will be propagated across the chain.

    • If this field is left blank, any store in the chain can initiate a price change, which will be propagated to all other points.

2. Different prices at points of sale (Decentralized pricing)

This scenario is suitable if prices for the same product differ between stores (for example, in different cities or districts).

  • Setup. You need to turn off the switch «Maintain the same prices at all points of sale» in the parameter settings.

  • Price formation during product transfer. When a product is moved from one store to another (Internal transfer), the price at the receiving warehouse depends on the setting «Price formation during internal transfer of goods to this accounting center» (menu Settings — Retail chain — Accounting center):

    • Take the price from the transferring accounting object. If the product is not available at the receiving warehouse, the price will be automatically taken from the transfer invoice (sender’s price). This allows prices to be transferred for new products.

    • Ask the user for the price. If the product is new for the receiving store, the program will prompt you to manually set the price when receiving the invoice.

  • Independence. A price change at one site does not affect prices at other sites.

3. Selective and mixed scenarios (Regional prices)

Torgsoft allows you to combine approaches using regional price lists or individual settings for specific stores.

Regional price lists. You can link a specific store to a particular pricing region.

  • In the settings of the accounting center (store), you can specify «Regional price list».

  • Price management is performed via Warehouse — Regional price list, where you can mass-set retail and wholesale prices for a specific region and currency.

  • When goods are transferred to a store linked to a region, the price can be formed based on this regional price list.

Individual synchronization. Even if overall price synchronization across the chain is disabled, you can configure exceptions for specific stores.

  • In the settings of a specific Accounting center there is an option «Allow price synchronization with the center». If enabled, this particular store will receive price updates from the head office even if other stores operate автономно. This is relevant if the central database is configured as a «Central» information system.

Wholesale price specifics:

  • Prices under Wholesale pricing policies are usually applied across the entire retail chain. That is, even if retail prices differ, wholesale rules can be unified.

  • However, you can enable the setting «Prohibit switching to wholesale prices depending on quantity» for a specific accounting center to exclude it from the overall wholesale policy.

Price synchronization with an online store in the chain

When there are multiple warehouses (accounting centers) with different prices, exporting prices to an online store has its specifics:

  • If multiple warehouses with different prices are selected for synchronization, the program usually determines the site price based on the accounting center with the maximum quantity of goods.

  • If quantities are the same, priority is given to the warehouse with the highest retail price.

  • You can also explicitly specify a particular warehouse («Write off goods from...»), whose prices will have priority for generating invoices for website orders.
