Grocery chain case study

How a grocery chain grew from 4 to 60 workstations in Torgsoft

At the end of 2015, automation started with one grocery store and several street outlets. As of May 2026, the main terminal license covers 60 workstations, and the configuration combines retail, wholesale sales, a central warehouse, in-house production, weighing equipment and fiscalization. Separate databases are used for regional chains, so the architecture separates accounting where the business requires it.

This case shows how the system changed together with the chain, which decisions made it possible to scale checkouts and warehouse operations, and which boundaries should be considered before opening a new region. The case is based on real experience of long-term use of Torgsoft. We preserved the logic of the business decisions without disclosing information about the client.

How the automation started

In December 2015, the owners came to the Torgsoft office with a specific list of tasks. They needed to organize the work of four computers, print receipts and labels, sell unit and weighted goods, and connect scanners and scales. In January 2016, the store received four Torgsoft-Ultra licenses, equipment and the function for packaging weighted products.

The next stage began in 2017, when the business launched its own production for fast food outlets. Together with production accounting, the chain switched to Torgsoft-Terminal and connected Torgsoft Hybrid. At that moment, an important requirement appeared: retail outlets had to order products, and production had to plan output. Store orders to the warehouse and production acts remained separate operations. This configuration boundary is important for entrepreneurs who need an end-to-end process from a store request to the release of finished products.

How the accounting system changed

2015–2016

Four workstations and weighted goods

The store started with four Torgsoft-Ultra licenses. The checkout area was supplemented with scanners, receipt and label printers, and scales with label printing. Packaged products received their own weighted barcodes.

Practical result: unit and weighted assortments are maintained in one product accounting system, and the cashier receives the weight from the barcode or directly from checkout scales.
2017–2018

In-house production and terminal work

A production function was connected to account for raw materials, technological cards, output and cost price. The chain switched to Torgsoft-Terminal: first five, then eight workstations were used. Torgsoft Hybrid added a local sales scenario for checkouts with unstable connection.

Practical result: employees connect to a remote database, while sales, warehouse and production are maintained within the selected accounting contour.
2021

From 23 to 29 workstations

Together with new checkouts, the chain connected software RRO, checkout scales and bank POS terminals. Each equipped workplace was configured as a separate set: user, access rights, printers, scales, fiscalization and payment method.

Practical result: the sale amount is transferred from Torgsoft to the bank terminal, the weight gets into the receipt from the scales, and fiscal documents are generated from the sales window.
2022

Forty workstations and revision of server infrastructure

The number of licensed workstations first increased to 34 and then to 40. Torgsoft Hybrid was deployed on 26 workstations, and staff notifications were connected for internal instructions. Due to the growing data volume, three working databases were moved from a limited SQL Server edition to the full edition.

Practical result: scaling covered the program, databases and routine operations. Calculations and maintenance are planned with regard to 24/7 store operation.
2023

Wholesale prices, stock levels and excise stamps

The main terminal license grew to 45 workstations. A wholesale price policy was connected for the wholesale direction, while minimum and maximum stock levels by warehouses were connected for stores. Version 2022.0.27 introduced control over the uniqueness of an excise stamp within a document, product or retail chain.

Practical result: wholesale price rules are applied according to the quantity of goods in the receipt, and the program checks repeated use of an excise stamp.
2024–2025

New region and separate database

A separate database was created for retail outlets in another region. At the same time, the main terminal license grew step by step: 47, 51, 52, 54, 57, 59 and 60 workstations. Different databases provided separate accounting contours for regions, while the movement of goods between them requires separate organization outside internal transfer in Torgsoft.

Practical result: the database boundary was defined as the boundary of a separate retail chain. This decision affects directories, prices, stock balances and the movement of goods between regions.
2026

Stock calculation and migration to a new server

In April, automatic warehouse stock calculation was connected. In May, the main license for 60 workstations and additional functions were moved to a new server. The current configuration includes 40 workstations with pRRO, 41 bank terminal connections, 39 checkout scale connections and 26 workstations with Torgsoft Hybrid.

Practical result: stock limits can be calculated based on sales and delivery times. Migration to a new server covered the program, working databases, SQL Server, users, backups and restoration of operations.

First, the workflow was described

Production accounting was connected after the launch of in-house production, wholesale prices after the appearance of the wholesale direction, and automatic stock calculation after the assortment and chain scaled.

Workstations were added together with new checkouts

The number of connections grew in small steps. Together with the license, a specific workplace was configured: user, access rights, scales, printing, pRRO, bank terminal and Torgsoft Hybrid.

What to take from the experience: calculate the budget for a new outlet as a set. Terminal license, pRRO, scale integration, POS terminal and Hybrid have different licensing rules.

The database architecture was defined before regional expansion

Within one database, stores can order goods from the central warehouse, and the warehouse can create internal transfers. A separate database was chosen for the new region, so interregional goods movement became a separate process.

What to take from the experience: before launching a region, decide whether shared products, prices, stock balances, customers and internal transfers are needed. This determines the choice between one database and several accounting contours.

The server was treated as part of the trading system

When the number of stores, data volume and simultaneous users increased, the chain reviewed the SQL Server edition, server resources and the schedule of routine operations. In 2026, the program was moved to a new server.

What to take from the experience: check simultaneous connections, database size, inventory time, cost calculation, backup and the maintenance window.

Autonomous sales were configured separately for each checkout

Torgsoft Hybrid began to be used together with the transition to terminal work. Later, it was deployed on 26 workstations where it was important to continue processing sales during a connection interruption.

What to take from the experience: before launch, check the first online sale, local cache, connection to the application server, fiscalization and synchronization of accumulated operations.

Load was tested on the real database

As data increased, the chain separately checked the duration of analytical reports, inventory, fiscal receipt processing and cost calculation. Some scenarios became the basis for optimization in later versions.

What to take from the experience: before a mass update, check critical operations on a copy of the working database and determine when all outlets can be updated.

Requests were formulated through a specific scenario

The request for excise stamp control included the required verification levels and behavior during repeated scanning. This scenario was included in Torgsoft version 2022.0.27 and became available to other users.

What to take from the experience: specify the form, user action, expected result and data example. Such a description can be checked and turned into a technical task.

Functions were connected where they were needed

The number of pRRO, bank terminal, scale and Torgsoft Hybrid connections differs. This means that the workplace configuration was determined by its tasks, instead of duplicating the same set for all users.

What to take from the experience: create a workstation matrix and mark checkout operations, equipment, fiscalization and requirements for working during a connection interruption for each one. This way, the license calculation will match the real chain configuration.

The common principle of this story is that each configuration element is tied to a real process. Licenses determine the number of workstations, the database sets the boundary of shared accounting, options automate separate operations, and the server supports the entire configuration under load.

Design the configuration before opening the next outlet

The calculation requires the number of checkouts and warehouses, chain geography, weighted and excisable assortment, production, wholesale direction and requirements for working without connection.

What Torgsoft automates in a grocery chain

Ordering and distribution of goods

A retail outlet creates an order to the central warehouse. The program shows the stock balances of the store and warehouse, minimum quantity, delivery and short delivery, and after processing creates an internal transfer invoice.

Weighted goods

Product names and prices are transferred to scales with label printing, and the label contains a weighted barcode. At the checkout, weight can be read from the label or transferred to the sale from connected scales.

Sale and fiscalization

Torgsoft creates the sale, transfers the amount to the bank terminal and registers the fiscal receipt through pRRO. For excisable goods, the program checks excise stamps according to the selected uniqueness level.

Production and cooking

The program maintains materials, technological cards, production acts, output and cost price of finished products. Store orders to the warehouse and planning of production output are organized as sequential operations.

Retail and wholesale prices

Stores can maintain the same prices within the retail chain or allow prices to differ. The wholesale price policy applies the required price depending on the quantity of goods in the receipt.

Stock limits and replenishment

The program stores minimum and maximum stock levels for goods in each warehouse. Automatic calculation uses sales statistics and delivery times to suggest relevant stock limits.

Support as part of scaling

Recording completed work

Service requests are maintained as separate works, and the client receives a report on completed settings and time spent. This makes it possible to restore the history of changes to a checkout, server or accounting process.

Launching a new outlet by checklist

During opening, connection to the server, user and rights, accounting center, printing, scales, pRRO, bank terminal and Torgsoft Hybrid are configured. Each element is checked in a working sales scenario.

A tested scenario becomes part of the product

The chain’s need for excise stamp control was described through verification levels and repeated scanning. After implementation in version 2022.0.27, this mechanism became part of the standard program.

Practical questions before automating a chain

One database or separate databases for regions

One database combines the product directory, prices, stock balances, customers and internal transfers between accounting centers. Separate databases form independent information systems. In this case, regional chains were separated, so goods movement between them is organized separately. The decision should be made before creating the second database.

How a store orders goods from the central warehouse

The «Store order to warehouse» mode works within one database. The store specifies the required quantity, the warehouse sees its own stock balance, edits the quantity to be supplied and creates an internal transfer invoice. The program records the supplied quantity and short delivery.

How to organize work with weighted goods

Packaging and labeling of weighted goods prepares data for scales with label printing and forms a weighted barcode. Integration with checkout scales transfers the actual weight into the sale. The first function is needed for packaging and self-service, the second for weighing by the cashier.

What happens to sales during a connection interruption

Torgsoft Hybrid stores local sales and transfers them to the main database after the connection is restored. Before switching offline, at least one online sale must be processed. Returns and sales of promotional goods are unavailable without connection. Separate functions are activated for working in Hybrid with pRRO, bank terminal and scales, so the entire checkout scenario is checked before launch.

How to control excise stamps

For excisable goods, Torgsoft checks the uniqueness of a stamp within a document, one product or the retail chain. During repeated scanning, the program shows the document in which the stamp has already been used.

How to calculate stock for each store

Minimum and maximum stock levels by warehouses store individual product limits for each outlet. Automatic warehouse stock calculation calculates recommended values based on sales and delivery times. The resulting limits are used in orders and control of goods that are running out.

How to conduct inventory while the store is operating

The goods being counted are temporarily blocked for sale, so the inventory sheet is created for a small product category, shelf or other area. After counting, positions are assigned the status «Counting completed» and returned to sale, while inventory continues for the next group. The accounting balance and purchase price are hidden from the employee. This procedure reduces the time of sales restrictions and preserves the independence of the physical count.
