Accounting for ingredients, goods sold by weight, and individual items

To keep accurate records in a confectionery shop or coffee shop, all products used for preparing beverages or tea (coffee, tea, milk, sugar, cups, tea bags, etc.) are easily entered into the Torgsoft accounting system.

Ingredient accounting (auto-kits): in the program, you can keep records of coffee drinks and, during sale, write them off as goods sold by weight or as individual items. For example, when selling one portion of latte, the program writes off all drink ingredients with their specified quantities: 110 g of milk, 60 g of water, and 14 g of coffee, 1 stick, 1 paper cup.
Automatic write-off: when selling such a service, the specified quantity of ingredients (and packaging) will be automatically written off from the warehouse immediately.
Supplier and raw material accounting: the system allows you to record supplier data, purchases from specific companies, and strictly control stock balances in warehouses.

It should be noted that beverages themselves do not have a cost price. Their components do (water, coffee, syrup, cup), and from the sale of these components you will ultimately get transparent profit.

Automation of sale of ready sets

A valuable tool is the Kits with automatic assembly mode. This functionality solves the most difficult problem: how to sell a finished product while writing off only the raw materials from the warehouse.

The option is ideal for selling hot drinks (coffee or tea) and ready-made gift sets (for example, a pastry + a greeting card, a ceramic cup + a box of signature chocolates, a pack of ground coffee + a set of macarons). 

The program creates one product from several components, but keeps track of all ingredients: if it is a cappuccino — 60 g of milk, 100 g of water, 14 g of coffee, 1 paper cup; if it is a gift set — each component of the set separately.

Accounting for ready-made kits

In the warehouse, such a kit is always kept in a quantity of 0. When a kit is added to a sale, it is assembled automatically: the components are written off from the warehouse, and the kit is entered as incoming stock and immediately sold. If the customer changes their mind and cancels the item, the kit is automatically «disassembled», and the ingredients are returned to the balance.

Placing/reserving advance orders from your dessert catalog, cakes for celebrations (cake order accounting), office coffee breaks, or simply for tomorrow morning/evening is guaranteed profit that cannot be lost because of a misplaced note in a notebook.

Order placement and prepayment: the customer chooses items from your assortment (for example, 20 macarons or a ready-made cake from the catalog). The cashier records the order in the program for a specific date and accepts an advance payment (deposit). When the order is handed over, the system will automatically show the exact remaining amount to be paid.
Protection against accidental sales (hard reservation): how can you guarantee that the macarons set aside for a customer will not be sold by another cashier during rush hour? Torgsoft virtually moves the reserved product to a «temporary storage warehouse». It disappears from the active display stock balances, so another seller cannot ring it up, and it does not interfere during stocktaking.
Nominal reservation: for goods that you always have in sufficient quantity, the program allows you to make a «soft» reservation. The product remains in normal circulation, but the system controls that the required quantity will definitely be available by the time the order is handed over.
Pickup schedule: instead of dozens of stickers, the administrator has a single document indicating which catalog items and for what time must be prepared in the store for handover to customers.
