Gift certificates

Gift Certificates — this is an additional Torgsoft option that allows you to issue, sell, and account for gift certificates with a set denomination, validity period, and the possibility of partial payment for purchases. It is needed when customers cannot decide on a gift, and it is important for you to control the sale and use of certificates by barcode.

The option is suitable for cosmetics, clothing, footwear, jewelry stores, bookstores, SPA and beauty salons — any business with seasonal holiday demand. It solves the buyer's problem of choice and at the same time protects you from counterfeits and repeated use of certificates.

As a result, you sell the certificate in advance, receive working capital, and the program keeps records of issued, sold, and used cards, controls the validity period and partial payment. Works with Torgsoft-Start, Torgsoft-Ultra, and Torgsoft-Terminal licenses.

What is a gift certificate

A gift certificate is a plastic, electronic, or scratch card with a fixed denomination that the buyer pays for in advance and the recipient uses for a future purchase. The idea is simple: the customer gives not a specific product, but the right to choose, so the chance of making a mistake with the gift disappears. For a business, a certificate is a sale in advance and replenishment of working capital.

Who does not need it. If you are a sole proprietor on single tax groups 1–3 and plan to accept certificates specifically as payment for goods, first consider the tax risk — the State Tax Service treats this as a non-cash-settlement form. Details are in the legislation section below.

What it looks like before and after

Before

Certificates are filled out on paper or recorded in a notebook. It is not visible who sold the card and whether it has been used, no one calculates the balance, and it is easy to counterfeit a paper form.

After

Each certificate has a unique barcode and status. Sale and payment are recorded, the validity period is controlled by the program, and the balance is visible in the usage analysis.

How it works: 5 steps

Batch issue. In Torgsoft → Marketing → Gift Certificates, generate a batch with unique barcodes, choose the type (money, discount, or product), denomination, and validity period.

Printing. Print the certificate directly from the program or stick the barcode on a postcard, booklet, or promotional product. The appearance is configurable.

Sale. The customer pays the denomination in cash or by card. For a fiscal sale, set the «Fiscal» attribute in the product type «Gift Certificate».

Payment for goods. The seller scans the barcode, the program checks whether the certificate has been sold and not used, and deducts its amount from the purchase.

Control. View usage history, unredeemed certificates, and validity period. A used card can be reissued and sold again.

Important. If the purchase price is less than the denomination of a certificate as money, the balance is not returned in cash but is recorded in the usage analysis. A certificate as product cannot be reissued and is not used in Trade with invoice issuing.

Legal nuances: RRO, VAT, and single tax

Below are practical taxation rules. A specific situation should be checked with your own accountant or through an individual tax consultation.

The sale of a gift certificate for cash or by card must be processed through RRO/PRRO for the full amount, just like any retail settlement: Law No. 265/95-VR requires issuing the buyer a fiscal receipt for the full amount of the transaction. In Torgsoft, for the fiscal sale of certificates accounted for «as product», a system product type «Gift Certificate» is created; for the receipt to be printed through a fiscal registrar, the «Fiscal» attribute must be set in this product type. The certificate sale receipt must contain the name, quantity, and price of the certificate. (Legislation of Ukraine)

When a customer buys goods and pays with a gift certificate, the RRO/PRRO receipt is issued for the full value of the goods, and payment by certificate is shown as «CASHLESS», specifying the type or means of payment — «gift certificate». If the certificate covers only part of the purchase, the receipt shows the amounts for each payment method separately: for example, goods 500 UAH, certificate 200 UAH, cash surcharge 300 UAH. In Torgsoft, the seller scans the certificate barcode, the program checks whether it has been sold and not yet used, and a line «Paid with gift certificates» can be added to the PRRO fiscal receipt template. For VAT payers, the sale of a certificate is the first event: on the date of payment or transfer of the certificate, VAT is accrued and a tax invoice is issued; when the customer later receives goods under the certificate, this is already the second event, but the nomenclature in the tax invoice must be adjusted to the goods actually transferred. For single tax payers, there is an important risk: the State Tax Service considers payment for goods with a gift certificate to be a non-cash-settlement form, so it is safer for single tax payers of groups 1–3 not to accept certificates as payment for goods without an individual tax consultation. Cosmetics store

Before March 8, the store issues a batch of certificates as money for 200 cards with denominations of 500 and 1000 UAH and a validity period of 6 months. Each card receives a unique barcode from Torgsoft.

Clothing chain

The certificate is accepted at several outlets in the chain. The program controls where it was sold and used and prevents one card from being redeemed twice.

Jewelry store

A certificate with a denomination for an expensive purchase is given when people do not want to guess the recipient's taste. A 6-month validity period motivates the recipient to visit and choose an item.

Example

The scenario is illustrative. Before the holidays, a cosmetics store issues a batch of certificates as money for 200 cards with denominations of 500 and 1000 UAH and a validity period of 6 months. Each card receives a unique barcode from Torgsoft.

The buyer pays the denomination at the checkout in cash, and a fiscal receipt is printed for the seller. The recipient comes in, chooses goods worth 1300 UAH, scans a certificate for 1000 UAH, and pays the remaining 300 UAH by card — the receipt shows two forms of payment.

At the end of the campaign, the owner opens the usage analysis and sees which certificates have been redeemed, which have not, and how much balance has «expired». This is a ready basis for evaluating the next campaign.

Can a plastic card be reused?

Yes. A used plastic certificate does not have to be discarded — it can be reissued in the program and sold again. The exception is a certificate as product; it cannot be reissued.

Yes. You can sell electronic certificates: after online payment, the manager sends the code to the recipient. This is convenient for long-distance gifts and for building a customer base.
