Plan expenses around how your store operates
There is no single budget that fits every store. To calculate your automation budget, describe the number of tills and retail locations, the equipment you already have, and the tasks you need to address.
Divide future expenses into three groups: what you already have, what you need to buy to get started, and what you can plan for later. This will help you prepare a specific request for software and equipment recommendations.
What to include in your calculation
Software and workstations. Count your stores, tills and computers that sales staff, other employees and the owner will use. Specify which workstations need to be in use at the same time. Before placing an order, ask the supplier to confirm the licence, number of connections and total cost of the proposed configuration.
Retail equipment. Start your checklist with a computer, inventory management software and a barcode scanner. Then decide whether you need a receipt printer, label printer, scales or a data collection terminal. For each device, note the task you plan to buy it for.
Fiscalisation. If your transactions require fiscal receipts, include an RRO or PRRO in your request, as well as receipt-printing equipment if you plan to issue paper receipts. Confirm whether fiscalisation is required with your accountant or tax adviser, and decide on the checkout setup when selecting a solution.
Additional tasks. List website synchronisation, marketplace operations, payroll, production and delivery separately if your business needs them. Ask what solution is proposed for each task, what its price includes and what terms of use apply. Do not assume the same terms apply to every item without checking.
Two examples to help prepare your budget
Imagine a store that already has a working computer and receives goods with factory-applied barcodes. For this scenario, you could start your request with software and a scanner. Keep the existing computer on the equipment list for assessment: if it is suitable for the chosen solution, you do not need to include a replacement purchase in your budget.
Another store labels its own products and plans to fiscalise sales. In this case, consider adding a label printer, an RRO or PRRO, and equipment for printing the required receipts to your request. Confirm the final list after describing your labelling process, payment methods and how receipts are issued.
That is why two stores of the same size can have different budgets. Use these examples as a starting point for your own list, then choose the final setup after checking your equipment and work requirements.

Launch budget = software + missing equipment + required connections + agreed services.
How to prepare a quote request
List the equipment you already have
Write down the models of your computers, scanners, printers, scales and bank terminals. Note where they are used and whether they work properly. Ask for their suitability for the proposed solution to be checked.
Describe your processes
Specify the number of locations and tills, who will work with the accounting system, how goods arrive and how they are labelled. Add payment methods, required receipts, online sales and delivery.
Divide expenses into stages
Set aside what is essential to get started. Plan the remaining tasks for a later stage and request a separate estimate. Clarify the terms for future expansion and any possible additional costs in advance.
The result should be a list of purchases and work, with the purpose and purchase timeline clear for every item. Check that suitable equipment you already own has not been included as a repeat purchase.
Confirm the setup and support costs
If you plan to engage specialists, factor in the support terms. After activating a demo version for the first time or purchasing your first Torgsoft licence, up to 2 hours of free technical support are available within 30 days. Include any further assistance in your budget according to the current support terms.
