What reduces a store’s profit
A store can trade well and still earn little. Some causes are hidden in day-to-day operations: unnoticed shortages, stock mix-ups, purchases made without checking sales and stock levels, and discrepancies between cash on hand and the recorded till balance.
Start with three questions: Does the stock quantity match what is actually there? What is the next purchase based on? Has every difference in the till been explained? Below is a practical checking routine.
Shortages and stock mix-ups: check specific items
If an item appears in the records but is missing from the shelf or stockroom, find out why. We recommend checking goods receipt, sales, returns and stock transfers before drawing conclusions about a loss.
Pay particular attention to similar items. For example, if one size was sold but another was recorded, the total quantity may match while the stock levels for individual items are wrong. This is an example of a stock mix-up: one item shows a shortage and another an overage.
For regular checks, choose a few items that are easy to confuse and reconcile each one separately. Record the discrepancy, the documents checked and the decision made. This makes it easier to begin the next check with a specific question.
Purchasing: data first, orders second
Before placing an order with a supplier, we recommend comparing sales over the selected period with actual stock levels. A large batch is not automatically a good purchase: some of your money may remain tied up in goods that sell slowly.
Do not rely on total revenue alone. Check which specific items were bought, which remain in stock and whether there were any returns. For seasonal ranges, consider whether the season is approaching or ending. If stock figures seem unreliable, count the relevant items first, then confirm the order quantity.

Till: distinguish the recorded balance from the actual amount
In Торгсофт, you can generate a sales report for the day. The full daily report includes the amounts in the till at the start and end of the day. These figures should be reconciled with the actual cash, while checking the recorded transactions.
Cash withdrawals also need to be accounted for. In Торгсофт, cash collection reduces the recorded cash balance in the till by the specified amount. If the owner has taken cash, we recommend checking whether this action is reflected in the records.
Count the cash
Reconcile the till at an agreed time so new payments do not overlap with the check.
Compare the amounts
Compare the actual cash with the recorded balance and check the reasons for any difference.
Record the result
Write down the explanation for the discrepancy and decide what needs clarification or correction.
Make this a regular control: check stock item by item, base purchases on data, and review till discrepancies by transaction.
