At the end of the workday, the cashier must run a separate reporting operation on the bank terminal and generate a fiscal Z report in the fiscal cash register (RRO) or software fiscal cash register (PRRO) if settlement transactions took place during the day. The bank Z report sends the terminal’s summary data; it does not replace the fiscal reporting receipt or close the PRRO shift. Use an X report to check amounts during the day.
Before finishing work, reconcile successful card payments and refunds with the corresponding fiscal receipts for the same period. Check settlements to the bank account separately, taking into account the fee and the timelines in your agreement with the bank. Choose the button sequence based on the terminal model and installed software: below are the steps from PrivatBank manuals for the PAX S800 and Android PAX A930.
Which reports cashiers and store owners need
A bank payment terminal, or POS terminal (Point of Sale), processes payment transactions. An RRO or PRRO records settlement transactions and generates fiscal documents. Even when both functions run on one device, the cashier must check the result of each one.
| Document | What to use it for | What to check |
|---|---|---|
| Bank X report, or “Х-баланс” (“X balance”) | Check the terminal’s current totals. For the PAX A930, the bank explicitly defines it as a daily report that does not clear the information in operational memory. | The period, number and amounts of transactions available in the report. |
| Bank Z report, or “Z-баланс” (“Z balance”) | Send the terminal data at the end of the shift, as required by the bank. | Whether the operation completed successfully and the report was received. |
| Fiscal X report | Review the current RRO or PRRO totals without ending the fiscal shift. | Sales, refunds, and the breakdown of amounts by payment method. |
| Fiscal Z report | Generate a fiscal reporting receipt with the daily totals and end the fiscal shift. | The report generation result and shift status in the cash register software. |
| Bank statement and acquiring transaction details | Check the actual settlement of funds, fees, and transactions that still need clarification. | Which payments the payout relates to, when it was processed, and which amounts were deducted. |
The definition of a fiscal reporting receipt and daily report appears in Article 2 of Ukrainian Law No. 265/95-VR. The purpose of bank reports is described in PrivatBank’s manuals for specific terminals.
How to generate an X or Z report on the PAX S800
This sequence follows Section 9 of PrivatBank’s PAX S800 manual. Check the device model before starting: the presence of arrow buttons alone does not mean the instructions apply to another terminal.
- Press the down arrow key to open the operations menu.
- For the end of shift reporting operation, select “z-звіт” (“Z report”). For an interim check, select “x-баланс” (“X balance”).
- Press the green confirmation key.
- Wait for the operation to finish. Check the terminal message and the report you receive before switching off the device.
If the screen offers an additional choice of recipient or account, check it against your store’s settings. Reconciliation requires data for all recipients whose payments you are checking, but their amounts must be accounted for separately. Do not select an account at random; if needed, confirm the procedure with the bank’s support team.
How to get “Z-баланс” (“Z balance”) and “Х-баланс” (“X balance”) on the Android PAX A930
PrivatBank’s Android PAX A930 manual describes these operations separately:
- Section 9.1 — data after the end of the day. At the end of the shift, press “Z-баланс” (“Z balance”). According to the manual, the receipt prints automatically, and the operation is intended to send the terminal data.
- Section 9.2 — daily report. Press “Х-баланс” (“X balance”). The receipt prints automatically; information in operational memory is not cleared.
Use these steps if the menu on your PAX A930 matches the manual. The installed banking software and method of integration with the cash register may affect access to these operations. PrivatBank distinguishes between tight integration, where the cash register initiates financial transactions, and loose integration, where payments can also be initiated from the terminal. The terms are described on the cash register integration page.
Do not disconnect the “Касове суміщення” (“Cash register integration”) app just to repeat instructions intended for another setup. If the required menu item is missing or unavailable, confirm the procedure for your configuration with the bank and your cash register software provider.
What owners of Ingenico, Verifone, Newland, and other models should do
Find the model name on the device casing or in the equipment documents, then open the relevant material in PrivatBank’s training system. The bank provides manuals and materials on generating reports, refunding payments, and working with the transaction archive on this page. Do not apply the PAX S800 sequence to all Ingenico models, or use F1/F4 combinations on every Verifone without checking that model’s manual.
If you cannot find the relevant material, contact the bank through “Виклик банку” (“Call the bank”) → “Служба підтримки” (“Support service”), if those options are available, or call 3700 and provide the terminal number. For integration questions, PrivatBank lists 0 800 500 030. Have the device model, terminal number, and exact on-screen message ready.
When to generate a fiscal Z report
For entrepreneurs in Ukraine who use an RRO or PRRO, Clause 9 of Article 3 of Law No. 265/95-VR requires fiscal reporting receipts to be created daily in paper and/or electronic form if settlement transactions took place. For RROs, the law specifically excludes vending machines for goods and services. The recommendations below apply to a standard store cash register.
No sales does not necessarily mean no settlement transactions: the cashier may have processed a refund during the day. Check the cash register’s actual transactions. If there were none, this provision does not impose an unconditional requirement to generate a zero Z report every calendar day. Also check an open shift against the rules for using your RRO or PRRO.
Clauses 1 and 2 of Article 3 of this Law require settlement transactions to be processed for the full amount and the buyer to receive the appropriate settlement document in paper and/or electronic form. A bank terminal receipt alone does not replace that document. At the same time, Clause 158 of Regulation No. 164 of the National Bank of Ukraine (NBU) allows certain paper bank receipts not to be issued—for example, if the buyer declined one or received a settlement document with the receipt’s required details. This does not remove the obligation to provide a fiscal document when one is required.
Practical recommendation: make two separate steps part of the cashier’s work procedure: complete the bank reporting operation and generate the fiscal Z report. After each step, the cashier checks the result in the relevant system. Having a printed bank report does not confirm that the fiscal shift has ended.
How to reconcile the terminal with the fiscal cash register
For daily checks, it is useful to review three groups of data: terminal payments and refunds, the corresponding fiscal documents, and actual settlements to the bank account. This sequence helps distinguish a cashier error from a difference in reporting periods or a deducted fee.
- Set the reconciliation boundaries. Record the period’s start and end times, terminal number, payment recipient, and fiscal cash register. If one terminal serves several recipients or one register works with several terminals, separate the data accordingly.
- Total successful card payments. Use the bank report and transaction details. Do not include declined attempts in successful payments; set transactions with an uncertain outcome aside for a separate check.
- Total refunds and cancellations separately. Confirm each transaction’s status with the bank. A matching difference between the overall totals is not enough: check the payments and refunds themselves too.
- Match the relevant fiscal receipts. Compare with the terminal only the card portion of payments made through that terminal. Separate cash, payments through another terminal, and other non-cash methods.
- Check the bank payout. Match it to the relevant acquiring transactions, fee, and settlement timelines. Record any unexplained difference together with the staff member responsible and the next action.
The bank session and fiscal shift may cover different periods. For example, if the terminal report is generated earlier and the cash register continues accepting card payments afterward, the totals will cover different transactions. So when reconciling, check the time and the transactions included, not just the date on the report. Do not assume every report automatically covers the period from midnight to midnight.
Example with cash, card, and split payment
Illustrative example. The store processed the following transactions during the same period. The example includes no other sales, refunds, or payment channels.
| Transactions | Total amount | Cash portion | Card portion through the terminal |
|---|---|---|---|
| Sales paid in cash | 4,000 UAH | 4,000 UAH | 0 UAH |
| Sales paid by card | 8,000 UAH | 0 UAH | 8,000 UAH |
| Purchase with split payment | 2,000 UAH | 500 UAH | 1,500 UAH |
| Total sales | 14,000 UAH | 4,500 UAH | 9,500 UAH |
| Refund for an earlier purchase, made to a card during this period | 1,000 UAH | 0 UAH | 1,000 UAH refunded |
The cashier checks 9,500 UAH in card payments and 1,000 UAH in card refunds separately. Their difference is 8,500 UAH. Across all payment methods, sales minus refunds total 14,000 − 1,000 = 13,000 UAH. It would be incorrect to compare that 13,000 UAH with the total from a single bank terminal because the figure includes 4,500 UAH in cash.
For the split payment, the cashier checks the full fiscal receipt amount of 2,000 UAH and its breakdown: 500 UAH in cash and 1,500 UAH by card. Only 1,500 UAH goes into the terminal reconciliation. If the store also accepts other non-cash payments, do not automatically add them to the turnover of this terminal.
Why a different amount may reach the account
Under Clauses 45 and 47 of NBU Regulation No. 164, the agreement for acquiring services sets the procedure and timelines for settlements with the merchant. The agreement also sets the fee; its payment is governed by Clause 56. Therefore, successful generation of a bank Z report does not confirm that the full amount has been credited to the account immediately.
Illustrative payout calculation. The bank included 10,000 UAH in payments and 1,000 UAH in refunds in one payout, then deducted a 150 UAH fee under the terms of this example. If there are no other adjustments, the payout is 10,000 − 1,000 − 150 = 8,850 UAH. This illustrates the arithmetic; it is not a PrivatBank fee. Check your agreement and bank transaction details for the actual fee calculation base, when the fee is deducted, and which transactions are included in the payout.
What to do if amounts do not match or a receipt did not print
Start with the specific transaction that caused the difference. To find it, have the date, time, amount, terminal number, receipt number, and any available transaction identifier or authorization code ready. Find the fiscal receipt for the related cash register transaction. Clause 160 of NBU Regulation No. 164 specifies the details on a bank receipt.
| Situation | What the cashier or owner should do |
|---|---|
| The bank receipt did not print, but the terminal may have accepted the payment | Do not process the payment again just because the paper receipt is missing. Check the transaction result and use a receipt copy or transaction archive. If the outcome is uncertain, contact the bank. |
| The terminal showed a connection error or the result is unknown | Record the message and time. Confirm the status with the bank before trying again to avoid a duplicate charge. |
| The bank shows a successful payment, but there is no corresponding fiscal receipt | Check the cash register software log and RRO or PRRO documents. Find out whether the document has already been created before generating a new one. If it has not, involve the person responsible for the register to document the transaction correctly and fix the error. |
| There is a fiscal receipt for a card payment, but the bank does not confirm the payment | Check other terminals, recipients, and the actual payment method. Decide what to do next after the bank confirms the status and the cash register document is checked. |
| The reports differ by the amount of a refund | Find the bank refund and the fiscal refund document. Check their status and the period in which they appear in the reports. |
| Payments and refunds match, but the payout to the account is lower or has not arrived yet | Check the fee, payout details, and contractual settlement timeline. If the deadline has passed or a deduction is unclear, send the bank a list of transactions to review. |
| An error occurred while generating the bank Z report | Save the error text and contact support. Separately check and complete any necessary fiscal shift steps. |
For the PAX S800, Section 10 of the manual describes reprinting through “Копія чека” (“Receipt copy”). For the PAX A930, Section 10 lets you select the last receipt or one of the last ten. A copy confirms a transaction that has already been processed; printing it does not charge the card again.
Use the bank’s official channels when contacting support. Do not ask the buyer to disclose their personal identification number (PIN). Do not photograph the card or record its full number in a work log. For reconciliation, use the receipt details as provided by the bank’s system. Clause 64 of NBU Regulation No. 164 requires merchants to follow security procedures, not disclose cardholder data to third parties, and not copy a payment instrument or its details.
How to check a refund after generating a Z report
Generating a bank or fiscal Z report does not by itself refund money to the buyer. A refund requires the relevant payment operation to be processed under the bank’s procedure and the refund to be properly documented through the RRO or PRRO, where applicable. The acquiring agreement must set the procedure and timeline for the merchant to initiate a refund, as provided by subclause 11 of Clause 45 of NBU Regulation No. 164.
In the PrivatBank manuals for the PAX S800 and PAX A930, cancellation operations involve searching by receipt number or RRN, the reference number for a payment transaction. Follow the procedure for your model, payment service, and agreement. After processing, check the status with the bank and confirm that a fiscal refund document exists. If the purchase and refund fall in different periods, note the link between them in your reconciliation so you do not look for both transactions in only one daily report.
Reconciling card payments and fiscal reports in Torgsoft
In Torgsoft, sending bank payment data to a fiscal receipt depends on the integration settings and the supported fiscal register. To exchange data with the terminal automatically, activate the additional “Інтеграція з банківським терміналом” (“Bank terminal integration”) feature. To work with a hardware fiscal register, you must also activate the paid “Інтеграція з фіскальним реєстратором” (“Fiscal register integration”) feature; PRRO terms are covered below. According to the official help documentation, the terminal must return merchant receipt information—the bank receipt—to the cash register, and the corresponding data transfer must be enabled in the software.
If there is no automatic connection, the help documentation provides for manually entering the details from the bank receipt, provided the settings are correct. Before using this option, check that your register supports it and that the payment types are configured correctly.
To use a PRRO, activate the additional “Програмний РРО” (“Software RRO”) feature for the required number of workstations and configure the register and cashier key. The software provides separate actions for an X report and a fiscal Z report. The bank report remains a separate operation. In Torgsoft’s PRRO settings, you can distinguish payments made through a terminal from other non-cash payments; the cashier should also check the selected payment method when processing a refund.
For period checks, Torgsoft provides a summary report based on Z report data. It shows the number and amounts of sales and refund receipts, broken down by payment method. By default, the software uses data from the tax service server; you can also generate a report from the local database, though the help documentation warns of possible differences after outages. To reconcile with the bank, select the relevant period, check card payments and refunds, and confirm the fee and actual settlement using bank documents.
Cashier’s end-of-day procedure
You can use the following sequence as an internal store procedure:
- Finish current payments and refunds, and confirm the status of transactions with errors.
- If needed, get bank and fiscal X reports for a preliminary check.
- Reconcile card payments and refunds for the same period, terminal, and recipient. Record differences along with the transaction details.
- Run the bank reporting operation according to the model’s manual and check the result.
- Generate a fiscal Z report if settlement transactions took place, and check that the shift has ended in the cash register system.
- Pass the reports and any unresolved issues to the responsible staff member. Once the payout is due, check the settlement and fee against the bank statement.
