Exporting reports to Excel: OLE errors, large reports, OpenOffice, and column misalignment

Reports from Torgsoft can be saved to Excel for further work with data: to send them to an accountant, filter products, perform your own calculations, or prepare a table for analysis.

In most forms, the «Report» button is used for this. Some reports have a separate «Save to Excel» or «Export to Excel» action.

If the file is not created, an Excel-related message appears, the report contains a large amount of data, or the data in the table is positioned incorrectly, check the situation in the order described below.

How to export a report from Torgsoft

In forms where the standard «Report» button is used:

  1. Generate the required list of products, documents, or transactions.

  2. Set the period and the required filters.

  3. Click «Report» - «Data Export Settings».

  4. Select the columns to be added to the document.

  5. Click «Print to Printer or Create Excel Document».

  6. In the «Data Export Settings» form, select how the data should be arranged and generate the document.

Torgsoft allows you to select columns for export separately. Therefore, before creating a large report, you can leave only the data you need.

For reports with subordinate tables, there are two layout options:

  • vertical layout of subordinate tables;

  • horizontal layout of subordinate tables.

The structure of the final Excel table depends on this setting.

If an error appears during export

First, remember or take a photo of the message text. It is difficult to determine the cause from the single word «Excel».

Then perform several checks.

| 1. Restart Torgsoft

Close the software, open it again, and generate the report once more.

This is a simple check that sometimes resolves the problem. In a technical support case from November 2025, a data identification error occurred during export. After restarting Torgsoft, the export to Excel completed successfully.

| 2. Check another report

Try exporting a small report from another form.

If another file is created successfully, the problem may relate to a specific report or data set.

Torgsoft has already encountered such a case in practice: in the Analysis → Company Sales Analysis form, a Range check error occurred during export. The issue was reproduced on the client’s database, after which the developers registered a separate task. While the issue was being investigated, the client was offered another report to obtain the required data.

Therefore, if the same error consistently occurs in one specific form, it is better to provide technical support with:

  • the name of the form;

  • the filters applied;

  • the error text or a screenshot;

  • information about whether export works from other forms.

| 3. Check the Torgsoft version

Keeping the software updated is important for proper export operation.

For example, version 2026.0.5 fixed an issue in: Document → Sale → Save → Excel File.

If the required Invoice (without VAT).XLT template was missing from the working directory, previously the user might not receive a message explaining the cause. After the fix, Torgsoft reports the missing file.

If the export problem occurs in an older version of Torgsoft, first check whether an update is available.

What to do if an OLE error or Microsoft Excel message appears

When creating certain Excel documents, Torgsoft interacts with the installed office suite. Therefore, errors containing OLE, Excel.Application, Workbooks, or messages indicating that Excel is missing may be related to this connection.

For the user, the recommended troubleshooting sequence is:

  1. Restart Torgsoft.

  2. Check whether Microsoft Excel starts separately.

  3. Try creating another small report.

  4. Check for Torgsoft updates.

  5. If Microsoft Excel is not installed on this computer, configure reporting through OpenOffice.

  6. If the error persists in the current version, send the error text to technical support.

There is no need to modify the Windows registry, change ODBC settings, or execute SQL queries yourself to resolve an export error.

If Microsoft Excel is not installed

Torgsoft supports generating reports through OpenOffice. This option is built into the standard reporting mechanism.

A practical technical support case from March 2026 was as follows:

  • an error appeared when exporting the «Stock Status» report;

  • after another check, Torgsoft reported that Excel was not installed;

  • the «Print in Open Office» print type was selected for the user;

  • Torgsoft was restarted;

  • the repeated export completed successfully.

Therefore, if OpenOffice is used on the workstation, in the Main Form Settings on the Additional tab for the current user, select «Print in Open Office», save the settings, and restart Torgsoft.

If column headers are not visible in Excel

For Microsoft Excel 2016 and newer, Torgsoft has a separate setting: Settings → Options → Service → Use Microsoft Excel for additional report compression.

According to the Torgsoft help documentation, this setting:

  • reduces the report file size;

  • helps when column headers are not displayed in Excel 2016 and newer.

Therefore, if the problem specifically concerns column headers, check whether this setting is enabled.

What to do with a very large report

The report size depends on the period, number of products, documents, and selected columns. For reports containing photos, image size also affects the amount of data.

Current sources do not specify a universal limit such as «Torgsoft stops exporting after 100,000 rows».

For a large amount of data, start with the report itself:

  • shorten the period;

  • select the required accounting centers;

  • apply a filter by product, product type, supplier, or another available parameter;

  • leave only the required columns in «Report Settings»;

  • if necessary, create several files for different periods or data groups.

For very large custom reports, a text format may be used. In April 2026, technical support worked with a large custom report that, due to the amount of data, was exported to TXT and then loaded into Excel.

This method should be used in forms where the corresponding export format is available.

If a large report contains photos

Photos increase the amount of data that must be prepared when generating a document.

Torgsoft has the following setting: Settings → Options → Product → Compress photos in reports.

When this option is enabled, the software changes the photo resolution according to the size of the field in the report. The help documentation explicitly states that this helps prevent errors caused by insufficient memory when generating and exporting reports.

The setting is used for the following reports:

  • «Product Availability in Retail Network Warehouses»;

  • «Stock by Models»;

  • «Price List with Photos»;

  • «Labels»;

  • «Invoice»;

  • «Commercial Offer»;

  • «Product Report for a Period».

If the problem occurs specifically when generating one of these reports with photos, enable «Compress photos in reports» and repeat the export.

If columns are positioned incorrectly in Excel

First determine what exactly happened.

Data is arranged in several levels or blocks

For reports with subordinate tables, check «Data Export Settings».

Try another option:

  • vertical layout;

  • horizontal layout.

This is a standard Torgsoft setting that determines how related tables are arranged in the finished document.

Values have actually shifted into the wrong columns

For example, a product name appears under the price, quantity under the SKU, or the table structure becomes incorrect starting from a certain row.

In this situation:

  1. Repeat the export with a small amount of data.

  2. Check which product or document the problem starts with.

  3. Check whether the Torgsoft version is up to date.

  4. Save the resulting Excel file.

  5. Send the file and the report name to technical support if the error repeats.

In the NotebookLM draft, column shifting is explained by Enter and Tab characters in product names and descriptions, so unnecessary characters should be removed from the corresponding product card fields for the products causing the problem.

If the Excel file was created but looks incorrect

For testing, it is convenient to generate a short test report:

  1. Select a short period or several products.

  2. Leave 3–5 required columns.

  3. Export the file.

  4. Check the column names and values.

  5. Then gradually add the required columns and increase the period.

This helps determine whether the problem depends on the amount of data, a specific column, or the report itself.

If the report could not be generated, check the following in this order:

  1. Restart Torgsoft and repeat the export.

  2. Try exporting a small report from another form.

  3. Check the Torgsoft version and available updates.

  4. If Excel is not installed, select «Print in Open Office» and restart the software.

  5. For a large report, shorten the period, apply filters, and select only the required columns.

  6. For reports with photos, enable «Compress photos in reports».

  7. If the problem concerns the layout of subordinate tables, check the vertical and horizontal export options.

  8. If the same error repeatedly occurs in a specific report, save its text and contact technical support.

This sequence allows you to first check the settings that the user can change independently and, if the error concerns a specific report, provide the specialist with enough information for investigation.
