ChatGPT for Your Store: Five Practical Use Cases with Result Checks

15.09.2026 10:00

Use ChatGPT to prepare drafts of product descriptions, customer replies, content plans, training materials, and preliminary sales analyses. For each task, provide verified input, define the desired result, and assign an employee to check it before use. If facts are missing, ask the chat to ask questions.

Start with one recurring task. Prepare a safe example with no personal data, run the prompt, and count all the time spent, including review and corrections. The model can make mistakes, so a responsible person must separately approve publishing text, sending a reply, changing prices, making purchases, and personnel decisions.

How to Prepare Data and Access to ChatGPT

For the use cases below, set a store rule: do not upload personal data about the owner, customers, or employees, passwords, service access keys, or other secrets. For text tasks, use verified product details and approved policies without information about specific people. For analysis, prepare sufficiently aggregated figures or a synthetic training example.

Removing a name does not always make a customer unidentifiable. Combining an exact purchase time, a rare item, an amount, a delivery address, or an order number can point to a specific person. Before working with the data, therefore, group it into broader categories and time periods, remove identifiers, and check that no unique orders remain. If safe aggregation removes the meaning of the task, do it inside the store without sending that data to the chat.

This is a practical rule for the suggested use cases. Legal requirements are broader: Article 6 of the Law of Ukraine “On Personal Data Protection” requires a specific lawful purpose, data relevance and proportionality, and a limited retention period in a form that allows a person to be identified. If the purpose changes to one incompatible with the original purpose, consent is required unless otherwise provided by law. Article 11 sets out the grounds for processing, including consent, performance of a legal transaction, compliance with a legal obligation, and protection of legitimate interests subject to the consideration of human rights required by that article. The fact that data is held by the store does not, by itself, establish that transferring it to another service is lawful.

If a task does involve transferring personal data, the person responsible for processing it must separately check the legal basis and conditions for that transfer. Article 14 of this Law provides for transfers with consent and, without consent, in cases and under conditions established by law. It also makes the party disclosing the data responsible for ensuring its protection. The five use cases below do not require transferring personal data.

Check which workspace your team will use. The official OpenAI security overview states that data in Business, Enterprise, and Edu workspaces is not used to train models by default and is encrypted in transit and at rest. This applies to the named workspaces; it should not automatically be assumed to apply to personal ChatGPT or understood as unconditional confidentiality for any uploads.

The workspace owner or designated administrator should check retention periods, access settings, permissions for connected apps, and available activity records. According to the same OpenAI document, features and controls depend on the plan, configuration, feature availability, and integrations. Before working with files, websites, or plugins, check that they are actually available in your environment and review their permissions. The prompts below are for preparing results for a person to review.

1. Product Descriptions Based on Verified Details

The product manager first checks product details against the manufacturer’s documentation or an approved product listing. Then they provide the chat only with confirmed properties and specify the structure of the description. This makes it easier for an editor to check every claim, including those about materials, compatibility, what is included, and care.

Illustrative example. The verified information says only “bottle, 600 ml, stainless steel, screw cap.” That is not enough to promise temperature retention, a completely leakproof seal, or dishwasher safety. These properties must be confirmed before publication.

Copy-ready prompt

Input: product — [name]; verified details — [list]; confirmed limitations and care instructions — [list]; customer and use case — [description without personal data].

Goal: Prepare a Ukrainian draft for a product listing: a short introduction, practical features, and specifications.

Constraints: Use only the facts provided. Do not add certifications, warranties, compatibility, medical properties, service life, or claims of superiority over competitors without confirmation. Do not invent user experience. If a needed specification is missing or the data conflicts, ask clarifying questions before writing that part. Do not publish anything or make changes to the website.

Output format: description, list of specifications, and a separate list of unverified information. After the description, provide a “claim — source fact” mapping for the editor to check.

Acceptance criteria: every factual claim is supported by the input; units of measurement and included items match; unknown properties are not presented as established facts.

Before publication, an employee checks the description against the specific product variant. They separately verify specifications that affect a customer’s choice: size, capacity, material, power supply, and usage limitations. The text is published only after corrections and approval.

2. Frequently Asked Questions and Draft Customer Replies

The store manager prepares an approved list of terms for delivery, payment, collection, and product enquiries. An employee phrases typical questions in their own words, without copying correspondence that contains personal data. Based on this, the chat can prepare a frequently asked questions section or a draft reply for a manager to review.

For a specific complaint, the responsible employee separately checks the order circumstances, applicable legal requirements, and the store’s authority to offer the proposed solution. A draft should not promise compensation, a replacement, or a specific completion date unless the person has confirmed those terms.

Copy-ready prompt

Input: approved store terms — [text]; typical situation without personal data — [description]; confirmed facts — [list]; questions the manager still needs to check — [list].

Goal: Prepare [five answers for the FAQ section / one draft customer reply] in Ukrainian, in a calm and clear tone.

Constraints: Rely only on the rules and facts provided. Do not invent availability, payment status, delivery times, grounds for refusal, compensation, or legal provisions. If information is missing, ask the manager questions first. Flag conflicting rules for a person to review. Do not send or publish anything.

Output format: draft reply, list of rules used, and questions for internal clarification. Keep internal notes separate from the customer-facing text.

Acceptance criteria: the reply explains an available next step; every promise is supported; unknown circumstances are not turned into facts; the manager approves the final text.

Before sending, the manager checks whether the store can carry out the proposed action. For delivery, they verify the current terms; for availability, they check the inventory records; for a product defect enquiry, they check the established circumstances and applicable requirements. Only an approved reply is sent to the customer.

3. A Short Content Plan Based on Customer Questions

Over a chosen period, sales staff record aggregated question topics: how to choose a size, how materials differ, or how to care for a product. Topics and the number of enquiries about each are enough for planning. Names, contact details, order numbers, and verbatim customer stories are not needed.

The marketer adds a list of products the store actually sells, available formats, and the number of posts the team can prepare. How often a question is asked can help prioritize a topic, but by itself does not prove that a post will increase sales.

Copy-ready prompt

Input: aggregated customer questions and number of mentions — [list]; product range — [categories]; verified facts for the planned content — [list]; team resources — [formats and number of posts].

Goal: Create a short two-week plan to help customers understand how to choose and use products.

Constraints: Use the questions provided. Do not invent research, reviews, promotions, seasonal demand, or product properties. If facts for a topic are missing, write a question for a store employee. Do not predict guaranteed sales. Do not publish anything.

Output format: table with “customer question — topic — format — key points — confirmations needed — person responsible for review.” Rank topics by question frequency; for topics with the same frequency, rank them by how readily the team can prepare them using available materials.

Acceptance criteria: each topic corresponds to a specific question; the plan’s scope matches team resources; for each unverified point, specify what needs to be confirmed.

The editor selects topics backed by reliable materials and a responsible subject-matter expert. Before publication, they check the facts, advertising claims, and rights to use other people’s writing and materials. To evaluate usefulness, the team can decide in advance on a metric, such as the number of visits from a piece of content to the relevant product category. Changes in the metric should be considered alongside other store conditions.

4. A Training Guide for Sales Staff Based on Approved Rules

The manager provides the chat with an approved procedure for one task: checking availability, explaining delivery terms, or escalating a complex enquiry to an administrator. The text should not include employees’ personal data, passwords, or performance information. Use fictional situations for exercises.

First, check the procedure itself. If different parts say different things about who approves a discount or handles a complex enquiry, the manager must resolve the conflict. Employees need a clear process with well-defined authority.

Copy-ready prompt

Input: approved procedure — [text]; roles and authority — [list]; cases requiring a manager — [list]; employee’s experience level — [general description without information about a specific person].

Goal: Prepare a training guide for a new sales assistant and three fictional practice scenarios.

Constraints: Do not add your own rules, penalties, discounts, legal conclusions, or authority. If the procedure has a gap or conflict, ask the manager a question. Do not evaluate specific employees or suggest personnel decisions. Do not send anything to anyone.

Output format: sequence of actions; situations requiring a manager; three exercises; answers with references to the relevant points in the provided procedure; questions for clarification.

Acceptance criteria: every action follows the approved rules; the sales assistant understands the limits of their authority; answers can be checked against the source procedure.

The manager works through a fictional enquiry with the sales assistant using the guide. If the employee cannot identify the next step, the manager clarifies the wording. A person approves the final guide; exercise results must not automatically determine pay, disciplinary action, or other personnel decisions.

5. Analyzing Aggregated Sales in a CSV with an Independent Recalculation

CSV is a text format for tabular data. For a first task, prepare a small table with one row for each product category, period, and store. Provide only the necessary metrics, without customer, employee, document, or individual order data. Also check whether a very narrow category could reveal a unique purchase.

Add definitions for the columns. Record which transactions are included, how returns and discounts are handled, whether taxes are treated consistently, and which currency and units of measurement are used. Do not combine a category total with the totals of its subcategories; that would double count. A missing value should not automatically be treated as zero.

The official OpenAI guide to analytics requests recommends first defining the question, metrics, sources, and time boundaries, identifying missing data, and then having a person check the calculations. It specifically warns against assumptions about metric definitions, joining tables, and missing values. For a store, this means agreeing on what each column means before drawing conclusions.

Copy-ready prompt

Input: aggregated table — [safe CSV or its text]; period — [date range]; store — [coded name]; one row represents — [definition]; column definitions, currency, and rules for accounting for returns, discounts, and taxes — [description]; control totals — [values from a verified report].

Goal: Identify the categories with the highest revenue after returns and their shares of total revenue. For this task, revenue after returns equals sales amount minus return amount.

Constraints: First check the structure, duplicates, missing values, and whether the figures match the control totals. Do not replace missing values with zero or change definitions. If there are inconsistencies, ask questions and stop calculating the affected metric. If total revenue is zero, do not calculate shares. Do not call revenue profit or explain the reasons for changes without additional data. Do not change accounting records, prices, or orders.

Output format: list of checks; calculation table with formulas; comparison with control totals; limitations of the conclusions; questions for the owner to investigate further.

Acceptance criteria: totals match the control totals; all formulas are visible; differences are explained; conclusions apply only to the period, store, and metrics provided. A person checks the final result in a spreadsheet.

Illustrative numerical example for checking the formulas

The amounts below are synthetic. Assume the categories do not overlap, all metrics use the same accounting rules, and returns have not yet been deducted from sales amounts.

CategorySales amount, UAHReturn amount, UAHRevenue after returns, UAHRevenue share
A30 0002 00028 00070%
B15 0003 00012 00030%
Total45 0005 00040 000100%

Check: 30 000 − 2 000 = 28 000 UAH; 15 000 − 3 000 = 12 000 UAH; 28 000 + 12 000 = 40 000 UAH. Category A’s share: 28 000 ÷ 40 000 × 100% = 70%. Category B’s share: 12 000 ÷ 40 000 × 100% = 30%. Without cost of goods and other expenses, these calculations do not show the store’s profit.

The owner or analyst independently repeats the formulas in a spreadsheet and compares the result with the accounting records. If a number does not match, they first check the data selection, duplicates, return rules, and formulas. They make a purchasing, financing, or product range decision only after checking the additional data needed for that specific decision.

How to Prepare a Torgsoft Report for Sales Analysis in ChatGPT

In Torgsoft, open “Аналіз → Аналіз реалізації за видами товару” (“Analysis → Sales analysis by product type”) and select the required period and the store’s accounting center. According to the official instructions, the report shows results by product type, including sales quantity and amount, returns, and revenue, defined as the sales amount minus the return amount for the period. Configure the required columns and check the filters before exporting. If automatic refresh is off, click “Оновити” (“Refresh”) after changing the filters. Select categories at the same level so you do not count both category totals and their subcategory totals. To open subcategories, double-click the desired product type. According to the instructions, selecting a leaf product type with no subcategories opens an empty form. To export, select the level showing the required categories and click “В Excel” (“To Excel”). Before analysis, check the sales and return records and confirm that the period matches your question.

First, process the exported file locally in a spreadsheet. Keep only the required categories and metrics, aggregate the data manually, and remove identifiers if they are present in the file. Check whether narrow categories and amounts could reveal an individual order. Prepare a separate safe CSV, add column definitions, and keep control totals for an independent check. Do not treat the “Виручка” (“Revenue”) column as profit without confirming its definition and how it is calculated. The process described involves exporting a report and manually preparing the data; it does not confirm a direct integration between Torgsoft and ChatGPT. The responsible employee checks the result provided to the chat against the source report.

How to Evaluate the Benefits After Review

Compare tasks of similar difficulty using the same quality criteria. Include time spent preparing safe data, writing the prompt, reading the response, reviewing it, correcting it, and giving final approval in the total time for using ChatGPT. Separately record errors that made the result unusable without changing facts, formulas, or promises to a customer.

Illustrative example. Preparing a product description manually took 25 minutes. With ChatGPT, the employee spent 7 minutes on data and the prompt, 10 minutes reviewing it, and 5 minutes making corrections. That is 22 minutes in total, a difference of 3 minutes. If two out of 10 drafts contained at least one factual error, the share of such drafts is 2 ÷ 10 × 100% = 20%. These figures describe one trial series and do not guarantee the same result in the future.

For the selected use case, record who prepares the data, who reviews the result, and who approves its use. If review regularly takes longer than completing the task as usual, narrow the task, improve the source materials, or leave it to an employee. Repeat the use case only when the team can check the result against clear criteria and correct errors before publication, sending, or a management decision.
