How to Prepare a Trade Show Booth Design for Your Store

Start with the purpose of participating and the products to display. Use this as the basis for preparing a booth plan, a brief and a budget estimate. Before ordering fabrication, check the design against the specific organizer’s rules and clarify what services are included in suppliers’ proposals.

Review the design against your store’s needs: which products to show, where visitors can look at them, and how a staff member will demonstrate them. Record these decisions in the brief and use it to approve the design.

Define the purpose and products to demonstrate

Design decisions should support the store’s business objectives. Write the purpose of participating in one sentence. For example: introduce a new range or show how products are used.

Make a list of samples. For each one, note what needs to be demonstrated: its appearance, what is included, or how it works. Give the designer photos and product dimensions. If the demonstration requires equipment, add it to the list.

Get the organizer’s requirements

Ask for a plan of the allocated space, build rules and a list of equipment. Before ordering equipment, clarify whether display structures and equipment are included in the booth price.

Ask the organizer:

  • What requirements apply to the dimensions and height of structures?
  • How do you order a power supply for the planned equipment?
  • What is the setup and dismantling procedure?
  • What accessibility requirements should be taken into account?
  • Does the design or drawing need approval, and by what deadlines?

Add the requirements you receive to the brief. Use the parameters in the documents for your specific exhibition.

Mark display areas and visitor flow

Furniture placement can divide a small booth into functional zones. Mark areas for products, demonstrations and conversations. If you need storage for packaging or spare samples, include it in the plan.

Describe the planned route: a visitor approaches the booth, looks at a product and stops by the demonstration area. Check the design to make sure furniture or equipment does not block this route.

If a 3D visualization of the exhibition space is available, use it to check visitor flow before setup. For a design of your own booth, ask to see views from the planned approach directions. Make feedback specific: move the table, clear the approach to a sample, or change the demonstration area’s location.

Check the signage and lighting

Place the sign so it is visible from a distance and does not obstruct movement around the booth. Check the design to make sure products and equipment do not block it.

Prepare the store name and a short description of the range on display. Check the text before sending the files for production.

Lighting should help visitors examine the products. Mark the samples that need lighting. After the equipment is installed, check that the details planned for demonstration are visible.

Prepare materials about the product range

Prepare printed and digital materials for visitors. Check that product names, photos and descriptions match across versions. If you include prices or ordering terms, check them before printing.

You can place a QR code on the booth that links to a product page. Test it with a phone before producing the sign and after placing it on the booth.

Approve the brief and design

Gather the following in one document:

  • the purpose of participating and the list of products to demonstrate;
  • the floor plan and the organizer’s requirements;
  • the placement of products, furniture, signage and lighting;
  • the text and images for the design;
  • the list of materials the supplier must provide;
  • deadlines for submitting the design, making revisions and sending files for production.

Assign someone from the store to approve the design. Agree with the supplier on the number of options, the revision process and the scope of work. Before fabrication, check the design against the brief and record the approved version.

Prepare a budget estimate from supplier proposals

Allow for the space, booth design and fabrication, staff, marketing, graphics, handouts, on-site services, travel and accommodation.

Based on proposals from the organizer and contractors, clarify equipment, power supply, internet, delivery, setup and dismantling. For each item you need, record the service scope, cost and supplier. Mark what is included in the package and what is charged separately. Compare proposals using the same list of work.

Check the completed booth before opening

  • Compare the structures and equipment with the approved design.
  • Walk the planned route to the products and demonstration area.
  • Check that the sign is visible from the approach directions.
  • Examine the samples under the installed lighting.
  • Check the materials against the product range and test the QR code.
  • Run a practice demonstration with staff.
