To start selling through Facebook, create a store page, post products with prices and purchase terms, and set up a clear way for customers to contact you. To begin, organize order intake through messages or direct shoppers to your own website. Having a page does not by itself mean your store can use Facebook Shops or checkout within the platform: check whether these features are available for your specific account and region.
Before the first order, decide who will respond to customers, where staff will check stock, how they will confirm payment, and who will arrange shipping. Save each agreed order in your accounting system or a restricted log so another employee can continue serving the customer without collecting all the details again.
What to create for your store on Facebook
Create a Facebook Page to represent your store. A personal profile belongs to the person who manages the Page using the access granted to them. Professional mode on a personal profile and a group are separate formats, so select a public Page when setting things up.
Use the Page as a place where shoppers can check your store name, see your range, read your sales terms, and contact the seller. If you also run a discussion group, add a link to the Page there and explain where customers should send orders. This helps staff collect inquiries in one designated place.
How to create a Facebook Page on a computer
Sign in to your Facebook account and follow the steps in Facebook Help on creating a Page:
- Open “Сторінки” (“Pages”) in the menu on the left and click “Створити сторінку” (“Create Page”).
- Select “Публічна сторінка” (“Public Page”), click “Далі” (“Next”), then “Почати” (“Get started”).
- Enter your store name and business category. You can also add a bio—a short description of the store. Click “Створити сторінку” (“Create Page”).
- Fill in your contact details, location, and business hours, then click “Далі” (“Next”).
- Add a profile photo, cover image, and action button. Continue to the next step.
- Connect WhatsApp if needed. If your store does not take inquiries there, click “Пропустити” (“Skip”).
- When prompted to invite friends, choose whom to invite and click “Далі” (“Next”).
- Choose your notification settings and click “Готово” (“Done”).
After creating the Page, view it on a phone. Check that the name is readable, contact details are visible, and tapping the button opens the intended contact method.
How to set up the Page so customers can place orders
We recommend setting up the Page to answer customers’ specific questions: what you sell, where the store operates, how much a product costs, and how customers can receive it. Keep the information consistent across your Page, website, and staff responses so customers do not get different terms across channels.
| Page element | What to include | What to check |
|---|---|---|
| Name | The name customers know your store by. | Does it match your sign, packaging, and website? |
| Category and description | A category that matches your range, your main products, and your city or delivery area. | Is it clear from the first few sentences what customers can buy? |
| Contact details | Business phone number, email address, website, and order channel. | Is a specific staff member responsible for each channel? |
| Address and hours | The store or pickup point address, opening hours, and, separately, the hours when you respond to messages. | Can a customer visit this address without arranging it in advance? |
| Profile photo and cover image | A recognizable logo or store photo, and an image of current products or an offer. | Does the mobile layout crop any important text or the product? |
| Action button | Your main ordering method: message, call, or website visit, depending on the available options. | Does the button lead to a place where staff will actually take the order? |
If customers can only collect prepared orders, state this clearly: “Pickup after confirmation.” If the phone is answered only during store hours, say so next to the number. Put only offers on the cover image whose terms customers can find in a post or on your website.
Publish a post with purchase terms
Prepare a dedicated “How to order” post and make its link easy to find in the available Page fields and product posts. We recommend including:
- Seller information: who is selling the product and which contact details customers can use about an order or complaint.
- How to order: what the customer needs to send and when a manager will confirm availability.
- Prices and stock: where the price is shown, how discounts are applied, and when the seller checks available stock.
- Payment: available methods, how prepayment or payment on delivery works, and any possible fees.
- Delivery: available methods, the time it takes to hand the order to the carrier, how the cost is determined, and who pays it.
- Exchanges, returns, and warranty: where to contact you, what order details to provide, and how the seller handles the request.
Do not ask customers to post their phone number or address under a product post. In a comment, simply tell them where to inquire about the order, then collect any required details in a private message.
How to give staff access while keeping control of the Page
Under Facebook’s access rules, a person with full control can change settings, delete the Page, and grant or remove access, including for the person who invited them. At least one person must retain Facebook access with full control; otherwise, the Page is automatically deactivated and marked for deletion.
We recommend that the store owner retain full control and give sales staff and contractors access only to the tasks they need. For example, an order manager needs to handle messages, while an advertising specialist needs access to advertising tasks. Task access lets them work through Meta Business Suite or Ads Manager within their assigned permissions, but does not let them switch to the Page on Facebook.
- Each employee should use their own account. Do not share a common password in a work chat.
- Enable two-factor authentication: an extra sign-in confirmation helps protect the account.
- Check access to the email address and phone number used for account recovery. Keep backup codes in a secure place.
- When an employee or contractor leaves, review and revoke any access they no longer need.
Meta Business Suite lets you manage messages and notifications, create and schedule posts, stories, and ads, and view statistics. Assign someone to handle incoming inquiries on each shift so messages do not go unanswered during staff handovers.
How to manage an order from inquiry to delivery
We recommend assigning a number to each confirmed order. Keep the customer conversation with a link to or label for that number, and check the order contents, payment, and shipping against the relevant records. This lets staff see what has been agreed and what action to take next.
- Confirm the product. Record the SKU or product code, name, color, size, configuration, and quantity. If the customer sent a photo, match it to a specific inventory item.
- Check availability. Find out which warehouse has the required option and whether it is already allocated to another order. If the store uses stock reservations, set a reservation period and tell the customer.
- Agree on the total. State the unit price, quantity, discount, product total, delivery cost, and any known fees. If the carrier calculates the cost separately, explain this before payment.
- Confirm the payer and recipient. If they are different people, record them separately. For delivery, collect only the details you need: the recipient’s name, phone number, city, town or village, and carrier branch or address.
- Send a summary. Put the order contents, total, payment method, delivery, and dispatch timeframe in one message. Ask the customer to confirm that the details are correct.
- Verify payment. The employee responsible for payments should match the actual funds received against the store’s records. For payment on delivery, separately record how the funds are expected to be received.
- Pack and ship the product. Before packing, check the SKU, option, and quantity against the confirmed order. Record the shipment number and send it to the customer.
- Close the order. Record whether it was received, refused, canceled, or returned. Check the final payment and record the return of goods and money if applicable.
Sample order confirmation message
Illustrative example: “Order No. 125: T-shirt, SKU FT-18, blue, size M, 2 units at UAH 450 each. Product total: UAH 900. Delivery to the agreed carrier branch costs UAH 80, paid separately to the carrier. Total cost: UAH 980. Payment for the products: UAH 900 prepaid. Dispatch: the next business day after payment is verified. Please check the order contents and recipient details, then reply to confirm them.”
For internal work, you can use statuses such as “New inquiry,” “Clarifying,” “Confirmed,” “Awaiting payment,” “Ready to ship,” “Shipped,” “Completed,” and “Canceled or returned.” This is a recommended order log workflow. Add the responsible employee and the next action with a deadline to each record; for example, “verify payment by 3:00 p.m.”
Limit access to the log to staff who need it for their work. Do not publish screenshots of conversations, address labels, or payment documents containing customers’ personal information. For a post about a fulfilled order, use a product photo without those details.
What sellers in Ukraine should check before taking payment
This workflow is intended for a seller operating in Ukraine. Selling through Facebook does not exempt the seller from applicable Ukrainian requirements for consumer rights, taking payments, and documenting transactions. Before launch, agree with your accountant on payment procedures and the documents to issue for each method your store offers.
A practical step is to list each type of transaction: prepayment, payment on receipt, store pickup, and refunds. For each one, determine who receives the money, who checks that it has arrived, which documents the seller must provide to the customer, and whether a cash register or software cash register is required. Check whether any exemptions apply to your specific seller and payment arrangement before adding a payment method to the Page.
Also check the exchange, return, and warranty service rules for your product range and distance selling method. Give managers approved wording for the terms and a contact for complex cases. If a customer reports a defect or requests a return, the employee should record the order number, circumstances, and the customer’s request, then pass it to the person responsible for reviewing it.
What to post on your store’s Page
We recommend planning posts around questions customers ask before placing an order. Use photos of actual products, describe their features, and explain how to buy a specific item. Before publishing, a staff member should check the price and stock so the manager does not have to immediately revise the offer.
- Product offer. Show the product, list its SKU, price, available options, and how to order.
- Example of use. Explain what the product is suitable for and state any important limitations, such as size, compatibility, or care requirements.
- Help choosing. Compare several models using clear features and explain what information the seller needs to give advice.
- Answer to a common question. Show how to choose a size, arrange store pickup, or ask about a return.
- Customer review. Publish it with the author’s permission and without private information.
For a working plan, it is enough to record the topic, product, post objective, person responsible, and price review date. Update a post if the product sells out or promotion terms change. Choose a posting frequency that gives your team time to prepare accurate information and handle inquiries.
How to check advertising without unjustified spending
Test ads only after checking the entire order journey. Open the advertised product yourself, tap the contact button, and check whether the manager can confirm availability, the final total, and delivery terms. If orders are placed on your website, go through that process up to the confirmation step.
- Choose one offer. Use a product with verified stock and clear sales terms.
- Set the desired action. For example, an inquiry about a specific product or an order placed on the website. Choose the available ad settings that match this action.
- Set limits for the test. Decide in advance how long it will run, the maximum spend, and when you will review the results. Choose the amount based on your store’s finances and the potential loss from the test.
- Track the source of inquiries. Record which ad brought in the customer and link the inquiry to the order number. Put inquiries with an unknown source in a separate category.
- Assess completed sales. Before continuing the test, account for cancellations, returns, advertising costs, and the store’s costs of fulfilling orders.
For internal tracking, you can count an inquiry as qualified when the customer has named a product or need and can buy under the terms offered. Apply the same rule across the team so you can compare ad offers using consistent data.
Illustrative calculation: A store spent UAH 1,200 on advertising, received 20 qualified inquiries, and completed 6 orders. The cost per inquiry is UAH 1,200 ÷ 20 = UAH 60, while advertising costs per completed order are UAH 1,200 ÷ 6 = UAH 200. If UAH 1,800 remained from these orders after the cost of goods and other variable costs, UAH 600 remains after advertising. This amount contributes to fixed costs and profit; to calculate net profit, the other costs and taxes must also be included.
For regular reviews, record the number of qualified inquiries, completed orders, cancellations, returns, and the amount left after variable and advertising costs. You can also review likes as an additional measure of response to a post. Base decisions about further spending on actual orders and their financial results.
How to use Torgsoft to track sales from Facebook
Before confirming an order, a manager can check a product in “Склад → Стан складу” (Warehouse → Stock Status). It shows quantity, size, selling price, cost, and other details. We recommend checking the specific SKU and required warehouse, then recording the order agreed with the customer separately in the accounting system. This gives staff a basis for confirming the exact product option the customer requested.
Torgsoft includes “Аналіз активності покупців” (Customer Activity Analysis) for working with customers. You can view the number of purchases and sales figures for a selected period and accounting center, open a customer card, and create a contact and reminder. Use these records for agreed follow-up actions, such as checking in about a completed order. To assess a specific ad, also record the order source and account for returns: some figures in this view exclude them.
If your Facebook Page directs customers to your website, you can separately set up the paid additional feature “Синхронізація з Інтернет-магазином” (Online Store Synchronization) for it. Torgsoft should remain the main accounting system, and connecting the website requires help from its developer. The feature transfers product and stock data and lets the store receive orders for further processing; stock reservations and the source of prices depend on the settings. Automatic synchronization works when the software is running on the designated computer under the specified user. Set the interval no more frequently than once every 10 minutes, taking other synchronized items into account. Stock may change between updates, so check product availability before final confirmation.
What to check before you start selling
- The name, contact details, address, and opening hours match how the store actually operates.
- Customers can see prices, payment and delivery terms, and how to contact you about an exchange or return.
- The action button opens a working contact channel or the intended page on your website.
- The owner retains full control, and staff have the permissions needed for their work.
- The manager can check stock, record an order, confirm the summary, and pass it on for fulfillment.
- Staff know who verifies payment, prepares documents, packs products, and handles customer inquiries.
- The store tracks completed orders and costs to assess whether advertising is worthwhile.
