Before March 8, prepare a small selection of gifts whose purpose, compatibility, total price including packaging, and exchange conditions your sales staff can explain. Shoppers should start with the recipient’s interests and specific wishes; store owners should review sales for a comparable period, current stock, and delivery times.

A practical process is to set a budget, shortlist several suitable options, check their specifications, and agree on when the gift will be received. Don’t assume a gift must relate to appearance, household tasks, or profession. If you don’t know what the person wants, offer a short list for them to choose from.

How to Help Shoppers Choose a March 8 Gift

Sales staff can ask four questions: What is the person interested in? What specific item would they like? How much is the shopper willing to spend, including packaging? When is the gift needed? Then clarify the specifications that determine whether the item will work for its intended use: the device model, size, material, contents, or a convenient time to attend an event.

Offer two or three options for each request and explain the differences. For example, for someone who draws or paints, you could show them the paper they need, individual supplies from their wish list, or a set for a technique they already know. Before making the sale, check whether they already have such a set and whether it suits the way they work.

Selection matrix: needs, budget, and checks before payment

Use the table as a conversation guide. The options below are suggestions to help with selection; explain the conditions of the specific purchase separately.

Learning or leisureA ticket or class on a topic the person choseWhether they want to attend, and their preferred location and timeAlso account for any required supplies and travelCheck the schedule, format, participation requirements, and venue accessibilityRead the rescheduling, cancellation, and refund terms before payment

If you don’t know the exact size or model, hold off on the purchase until you can check, or suggest choosing together. For a food gift, ask the shopper about the recipient’s dietary restrictions. Check the product label for ingredients, expiration date, and storage conditions so you can recommend a suitable item. Choose clothing, perfume, or personal care products based on the person’s specific wishes.

When a gift certificate is suitable

Offer a certificate only if the store has clear rules for using it and can provide them to the shopper before payment. Explain the validity period, which stores or channels accept it, whether partial payment is allowed, how to pay any balance, whether unused value can be carried forward, and whether it can be used for promotional items. Separately explain what to do if the certificate is lost, a purchase is canceled, or an item bought with it is returned.

Shoppers should check whether the store has items the recipient wants and whether they will be able to use the certificate before it expires. Don’t make a blanket claim that no certificates can be returned: assess each request based on the contract and applicable Ukrainian law. For a distance purchase, the seller must provide and confirm information about the terms and procedure for canceling the contract in accordance with Article 13 of the Law of Ukraine “On Consumer Protection”.

How to Choose Your Assortment and Stock Quantities

Start with your own sales from the previous preparation period before March 8. For comparison, use the same number of trading days, the same categories, and comparable operating conditions. If the store changed its hours, prices, or assortment, record that alongside the results: these changes affect how useful past sales are for planning.

  1. Gather data by product and category. Record units sold, revenue, returns, and stock remaining at the end of the period you selected. Separately flag items that were out of stock: few sales when there was no inventory do not show the full picture of demand.
  2. Recount usable stock. Check the condition, completeness, expiration dates, and availability for sale. Don’t count reserved or damaged units as available stock.
  3. Put together a short selection. First consider items with confirmed sales that can continue selling after the holiday. For new items, set a small trial quantity within the amount the store is prepared to tie up in inventory.
  4. Calculate the reorder quantity. Subtract usable available stock and confirmed deliveries due on time from the agreed quantity of goods to have ready for sale. If the result is negative, this calculation indicates no additional purchase is needed.
  5. Check supplier constraints. Confirm the minimum order, delivery time, whether partial delivery is possible, and how defective goods are handled. If the minimum order exceeds an acceptable stock level, narrow the selection or choose another item.

If you have no sales history, rely on actual shopper requests and confirmed orders. Set a maximum purchasing budget and check whether you can replenish quickly. The quantity the store decides to prepare remains a management decision; past sales do not guarantee it will sell.

How to agree on the supplier order date

Work backward from the date when the goods need to be ready for sale. Subtract the confirmed delivery time, time for receiving, inspection, labeling, and packaging, and your own buffer for delays. The date you get is your working deadline for placing the supplier order.

Illustrative schedule: A store wants its goods ready seven days before March 8. Delivery takes five days, receiving and preparation take two days, and the buffer is three days. The order must be confirmed at least 17 days before the holiday: 7 + 5 + 2 + 3 = 17. This is a suggested planning method, not a legally prescribed deadline. If the supplier counts business days, map each stage to specific calendar dates.

How to Calculate a Gift Set Price and the Return on Preparation Costs

Before purchasing, calculate the cost of one sale: the cost of goods, packaging, payment expenses, other variable costs, and applicable taxes. Separately record additional preparation costs that do not depend on how many sets you sell. The difference between the selling price and variable costs shows how much one sale contributes toward covering those additional costs.

Illustrative example for learning purposes; it is not a demand forecast or tax calculation. A store prepares up to 12 sets and packages them as they sell. The price of one set, including packaging, is UAH 500. The goods cost UAH 300, packaging costs UAH 30, and other variable costs, including assumed payment expenses and taxes, are UAH 20. Total variable costs are UAH 350, leaving UAH 150 from each sale toward additional costs: 500 − 350 = 150.

MetricCalculationResult
Additional fixed preparation costsIllustrative amountUAH 900
Sales needed to cover these costs900 ÷ 1506 sets
Result after 5 sales5 × 150 − 900−UAH 150
Result after 8 sales8 × 150 − 900UAH 300
Inventory remaining after 8 sales out of 12 sets prepared(12 − 8) × 3004 sets of goods costing UAH 1,200

In this example, six sales cover only the stated additional preparation costs. To assess the store’s overall result, you need to account for the rest of the business’s costs. Unsold goods remain in inventory and tie up money; selling them later also takes time and may require markdowns. Recalculate the model using your own costs and check whether the result is acceptable if you sell fewer sets.

How to Present the Offer, Packaging, and Pickup

For each set, show its contents, the final price with the selected packaging, and the price of each component separately. If shoppers choose packaging as an add-on, state its price before payment. For an offer of several goods at one price, also state the conditions for accepting it, its validity period, and all restrictions, including quantity limits. For an offer of several goods at one price, information about the contents, total price, individual prices, and restrictions is provided for by part three of Article 15 of the Law of Ukraine “On Consumer Protection”.

If you advertise a discount, specify which goods it applies to and how long it lasts, confirm that the price is below the usual price, and show the price before and after the reduction. For a sale, clearly identify the product group or state that it covers all goods in a specific location, and limit its duration. Sale prices must be below the usual prices; after a public announcement, inform shoppers of the prices before and after the reduction. These requirements are set out in parts four to six of Article 15.

  • Show verified availability. Update quantities after sales and reservations. Say “last few items” only when that matches actual stock.
  • Set available pickup times. Check how many orders staff can inspect, pack, and hand over in the chosen time slot. Once it is full, offer another time.
  • Confirm arrangements. In a message to the shopper, include the item or set contents, total amount, payment details, address, pickup time, reservation period, and a contact for changes.
  • Agree on substitutions. If the required color or model is unavailable, offer a specific alternative with its price and specifications, and get the shopper’s confirmation.

How to Explain Gift Exchanges and Returns in Ukraine

The rules below concern consumer protection in Ukraine under Law of Ukraine No. 1023-XII “On Consumer Protection.” The effective date of Law No. 3153-IX has been deferred until at least the termination or cancellation of martial law, pursuant to paragraph 1 of Section IX of that Law. When a shopper contacts you, first establish how the contract was concluded and the reason: the item did not suit them, it has a defect, or they are withdrawing from a distance contract.

If a non-defective item does not suit the shopper

Under Article 9, consumers have the right to exchange a non-food product of proper quality for a similar product from the seller who sold it to them if it did not suit them in shape, dimensions, style, color, size, or for other reasons cannot be used for its intended purpose. The exchange period is 14 days, excluding the day of purchase, unless the seller has announced a longer period.

To exchange the item, it must be unused; its marketable appearance, consumer properties, seals, and tags must be preserved, along with the receipt in the legally prescribed form, which may be electronic. Before promising an exchange of a non-defective product, check the list approved by the Cabinet of Ministers of Ukraine of goods that cannot be exchanged or returned under Article 9. Check whether the specific gift is on the list, and explain any restrictions to the shopper before payment.

Explain that exceptions to the right to exchange a non-defective product do not cancel their legal rights regarding defects.

If a similar product is unavailable at the time of exchange, the shopper may choose another product with a price adjustment, wait for the similar product to arrive, or terminate the contract and receive the amount paid at purchase. If the shopper chooses to wait, the seller must notify them on the day the similar product becomes available for sale. In that case, the refund is made on the day the contract is terminated or, if that is not possible, within an agreed period no longer than seven days. For a gift, the exchange period starts the day after purchase, so advise the shopper to take the date the gift will be given into account.

If the purchase was made remotely

Before a distance contract is concluded, the seller must provide their name and location, the procedure for submitting complaints, product characteristics, the price including delivery, payment and delivery terms, warranty information, the period during which the offer is open, and the procedure for terminating the contract. The information must be confirmed in writing or by electronic message; the seller cannot unilaterally change the confirmed terms.

These are the requirements in parts two to three of Article 13. For a holiday order, agree on a specific delivery date. Under part six of this article, unless the distance contract provides otherwise, the seller must deliver within a reasonable time and no later than 30 days after receiving the shopper’s consent to conclude the contract. If the contract cannot be fulfilled because the ordered product is unavailable, the seller must inform the shopper immediately and no later than 30 days from that point.

In general, a consumer may notify the seller of withdrawal from a distance contract within 14 days of confirmation of the information or receipt of the goods or first delivery. For the sale of tangible goods, returning them also indicates termination of the contract. If confirmation of the information does not meet the requirements of part three of Article 13, the period for terminating the contract is 90 days from receipt of that information, or, for tangible goods, from receipt of the goods or first delivery.

If the seller corrects the confirmation during this period, the shopper has 14 days from receipt of the corrected confirmation. Part five of Article 13 sets out exceptions to the right to terminate a distance contract, which apply unless the contract provides otherwise. For gifts, an exception may apply to goods made or altered to order when they cannot be sold to another person or selling them to another person would cause the seller substantial financial losses.

If you offer a class or another service, also consider the exception for a service already provided, with the consumer’s consent, before the withdrawal period ends, provided the consumer was informed of this in the confirmation. Part five of Article 13 also provides for an exception for supplying goods by electronic means of communication under these conditions. Simply assembling ordinary goods for a shopper does not establish that this exception applies.

For remote returns, also take into account part seven of Article 13 and parts five to nine of Article 12. The shopper must tell the seller where the goods can be returned, and the seller must reimburse the return costs. The contract may provide for return by post of goods sent to the shopper by post. The seller must arrange to receive the goods: the shopper’s obligation to keep them ends 60 days after receipt. If the seller takes no steps to reclaim the goods during that time, ownership passes to the shopper without any obligation to pay for them.

To terminate the contract, the shopper must keep the goods in unchanged condition. However, opening the packaging, inspecting or checking the goods, or their destruction, damage, or spoilage through no fault of the shopper does not deprive them of this right. If the purchase was financed by credit from the seller or a third party, that credit becomes void when the contract is terminated.

If a document or confirmation of information was not provided, part six of Article 12 requires the refund and reimbursement of return costs within 30 days after the seller receives the shopper’s notice that the contract is invalid. For late refunds, part nine provides for a penalty of one percent of the product’s value for each day of delay.

If the product has a defect

The seller must review the claim under the rules in Article 8. For defects discovered within the warranty period, the law provides, among other remedies, a proportionate price reduction, free repair, or reimbursement of repair costs. If, during the warranty period, a material defect attributable to the manufacturer, seller, or service provider is discovered, or the product is found to be counterfeit, the shopper may choose to demand a replacement or terminate the contract and receive a refund.

An expert opinion may be used to confirm the circumstances if necessary. The seller must accept a product of inadequate quality. Do not reject a claim solely because the warranty period has ended: part ten of Article 8 provides the right to demand free repair of defects caused by the manufacturer within the established service life, or, if none has been established, within ten years.

If this demand is not met within the time limits in part nine of Article 8, the consumer may choose another remedy under part one of that article. If the store sold a used non-food product on consignment, consider the special rule in part two of Article 8: the remedies under part one of that article are granted with the seller’s consent if the product’s warranty period has not ended.

If the shopper is entitled to a replacement and chooses that remedy, it must be provided immediately if the product is available, or within 14 days if a quality check is needed, unless the parties agree otherwise. If the product is unavailable, the replacement period is two months from the date the request is submitted. If replacement is impossible within this period, the shopper may choose another remedy provided by law; the seller cannot require them to wait indefinitely.

If you replace the product with the same product of the same brand, model, article number, and modification, do not adjust for a price change. If the shopper chooses a product of another brand, model, article number, or modification, recalculate the price: if the returned product’s price has increased, use its value at the time of exchange; if it has decreased, use its value at the time of purchase.

If the shopper is entitled to terminate the contract due to defects and chooses a refund, then if the price has increased, calculate the refund using the product’s value when the claim is made; if it has decreased, use its value at the time of purchase. Refund the money on the day the contract is terminated or, if that is not possible, within an agreed period no longer than seven days.

Under part five of Article 8, the seller or manufacturer pays to transport and return bulky goods, or goods weighing more than five kilograms, to satisfy claims about defects. If the shopper requests a free repair, defects must be corrected within 14 days from the date the product is presented, or within another period agreed by the parties. For each day a repair is delayed beyond the established period, the shopper is entitled to a penalty of one percent of the product’s value.

For goods on the Cabinet of Ministers of Ukraine’s list of products for which temporary replacements must be available during repairs, the seller or manufacturer must, upon the shopper’s written request, provide a similar product for the duration of the repair and arrange its delivery. A penalty of one percent of the product’s value also applies for each day of delay in fulfilling this request.

The seller may refuse the remedies set out in Article 8 if they prove that the defects arose because the shopper violated the rules for using or storing the product. If the shopper bought an unfit food product, the seller must replace it with one fit for consumption or refund the money. If the price has increased, calculate the refund using the product’s value when the claim is made; if it has decreased, use its value at the time of purchase. Refund the money on the day the contract is terminated or, if that is not possible, within an agreed period no longer than seven days.

As a practical measure, prepare a short claim form for staff: purchase date, proof of purchase, product name, problem description, shopper’s requested remedy, and contact information for a reply. Provide a receipt in the legally prescribed form no later than when the goods are handed over. Explain that, to review claims about defects, part eleven of Article 8 requires the shopper to present that receipt; for products with an established warranty period, it also requires the technical passport or a substitute document marked with the sale date. Do not use the terms of a holiday promotion as a reason to reject a shopper’s legal claim.

How to Review Sales Before March 8 and Check Stock in Torgsoft

To prepare your selection in Torgsoft, generate the “Товарний звіт за період” (“Product report for a period”) for a comparable previous period. The “Аналіз” (“Analysis”) menu includes sales analysis by product type and comparative revenue analysis by product type. Use this data to compare actual category sales and select items to review before purchasing. Make order quantity decisions based on stock, delivery times, and available funds.

In the “Склад → Стан складу” (“Warehouse → Stock status”) mode, you can check the product quantity, size, selling price, and cost, apply filters by product type and supplier, and view quantities as of a selected date. Before confirming a gift, check the required item against actual availability. For a store network, consider the license and how the stores connect. According to the official Torgsoft license comparison, “Старт” (“Start”) provides for one accounting center and does not include supplier orders or transfers between warehouses.

Multiple accounting centers, supplier orders, and transfers between warehouses are available in “Ультра” (“Ultra”) and the terminal version. “Ультра” is suitable for working on a local network. To run remote stores simultaneously over the internet with a shared database on a server, choose the terminal version. Also consider Torgsoft Online: according to its official description, the software and database are hosted on Torgsoft’s server, and the user pays for access by subscription.

After the holiday, run the report again for the actual sales period and reconcile it with returns and warehouse stock. For individual items, “Стан складу” (“Stock status”) provides product movement and a stock accounting card showing the balance after receipt, sale, return, or transfer. Use this data to decide what to keep in the regular assortment, which sets to break up, and which items to order in smaller batches next time.

What to Do with Stock and Returns After March 8

  1. Reconcile records with actual stock. Check sales, returns, uncollected reservations, damage, and set contents. Resolve discrepancies before placing the next order.
  2. Sort remaining stock by next steps. Return usable items with ongoing demand to the regular display. For sets, assess whether to sell the components separately. For goods with expiration dates, decide what to do in time based on their condition and storage requirements.
  3. Inspect returned goods. Before putting them back on sale, assess their condition, completeness, and the reason for return. Keep items with quality claims separate until the circumstances are clear.
  4. Keep reusable materials. Count neutral bags, boxes, and other reusable supplies. Record the quantity and storage location so you can account for them before your next purchase.
  5. Record the results of your preparation. Compare the quantity purchased and sold, returns, packaging costs, and other additional expenses. Separately record requests the store could not fulfill due to an unavailable model, size, or pickup time.
