To create an OLX store, prepare your products and seller information, check the business packages available for your category, and purchase the package that suits you. Before paying, check the number of listings, validity period, available features, and final price in your account. Business page features depend on the offer you choose.
Start with a small part of your assortment and set a 30-day budget. Track inquiries, orders, products received by buyers, payments, and returns separately. Business status on OLX does not register you as an individual entrepreneur (FOP): state registration and arrangements for accepting payments must be handled separately from setting up the page.

How to choose a package and create an OLX business page
An OLX store brings together a seller’s listings and business information. In OLX’s official description, setting up a business page is linked to purchasing a paid package. It describes the “Start,” “Premium,” and “Mega” packages, which offer different features: for example, a banner and recommended listings are not available in every package. When purchasing, rely on the offer available for your specific category and account.
- Prepare a list of products for launch. As a practical option, choose 10–15 items with verified stock, clear cost prices, and photos ready to use. Calculate how many listings you need under the rules for the relevant category.
- Sign in to your profile or register. Use a phone number and email address controlled by the business owner. Before paying, check the seller status and business terms available for your category in your OLX account.
- Go to package selection. Check the available way to purchase a business package in your OLX account. If you cannot find a suitable offer, contact support through the official OLX website or app before paying. Select the actual product category and subcategory, the number of listings you need, and an available package. If your assortment spans several subcategories, check which ones the offer covers and whether separate packages are needed.
- Save the terms before paying. Record the price, how long you can use the listings, how long the ads will remain published, the included promotion features, and the renewal terms. Do not buy extra listings just because the price per listing is lower.
- Pay for the package and check that it is active. OLX’s official instructions identify the “Purchased packages” tab in the “My Profile” section as the place to check purchased services. Compare the available limit and end date with the terms of purchase.
- Set up the business page if it is included in the package. OLX’s official instructions identify the “Business page settings” tab. Create a custom store address: the subdomain name must contain only Latin letters and be no longer than 20 characters. Do not use names of well-known brands or obscene or discriminatory words. Enter the company name separately—it can be up to 70 characters—along with a description and contact details. Add a logo and any design elements included in your package, then check the page and its custom link.
OLX describes a 30-day period for using package listings, with unused listings not carried over, and a separate 30-day publication period for an ad. Before paying, confirm these terms for the specific purchase. Record the package end date and the ad end dates separately so you can decide in time which services to renew. According to the cited official OLX description, the business page remains active for another 30 days after the package expires; if payment is not renewed during that time, the page will be deactivated. Before taking a break from payment, check this term for your offer.
What seller details and contact information to provide
An entrepreneur selling goods in Ukraine must comply with Ukrainian e-commerce law. The consumer rights described below apply to individuals buying goods for personal needs unrelated to business activity or employment. The rules in Ukrainian Law “On Consumer Protection” No. 1023-XII apply until Law No. 3153-IX takes effect. Under its final provisions, this happens one year after publication, but no earlier than the termination or cancellation of martial law in Ukraine. The store name helps buyers recognize the business, while legal details let them identify the seller and contact them with a complaint.
Article 7 of the Law of Ukraine “On Electronic Commerce” requires sellers to provide direct, simple, and stable access to seller information. In your profile and in a sales terms section accessible from it, provide:
- the full legal name of a legal entity, or the sole proprietor’s surname, first name, and patronymic;
- the legal entity’s registered address, or the sole proprietor’s registered and actual residential addresses;
- an email address and/or online store address;
- the legal entity identification code or the sole proprietor’s taxpayer registration number; instead of this number, a sole proprietor who refused it on religious grounds must provide their passport series and number, provided they have officially notified the relevant tax authority and have a corresponding mark in their passport;
- the license series, number, validity period, and issue date, if the activity requires a license;
- information on whether taxes are included in the price and the cost of delivery.
As a practical matter, add the hours when you reply to messages, your shipping schedule, a contact for complaints, and instructions for return requests. Explain specifically which products you sell, how you check them before shipping, and what service terms you offer. Use your own logo, banner, and photos, or obtain permission from the rights holder. Add external links only where OLX’s rules allow them.

How to create a listing that enables buyers to place an order
Buyers need to understand exactly what they will receive, how much it costs, and when it will be shipped. Articles 13 and 15 of the Law of Ukraine “On Consumer Protection” require sellers to provide the product’s main characteristics, price, payment and delivery terms, warranty, and cancellation procedure for a distance contract before purchase.
- Title. State the product type, model, and a characteristic buyers search for, such as size, volume, material, or included items. The title must match the item for sale.
- Photos. Show the overall appearance, labeling, included items, and important details. For a used item, photograph scuffs, damage, and other visible defects separately.
- Condition and characteristics. State whether the item is new or used, and list its size, color, material, included items, and any usage limitations. For clothing, include actual measurements.
- Quantity. Clarify what the stated price covers: one item, a pair, a pack, or a set. Check that the available options match your stock.
- Total price. State the specific product’s price, including mandatory charges. Explain delivery costs and any other buyer expenses separately before confirming the order.
- Shipping and payment. List the available methods, preparation time, who pays for delivery, and how the buyer receives order confirmation.
- Warranty and requests. Provide applicable warranty terms and a clear way to contact you about defects, exchanges, or returns.
Sample description: “Backpack, new, 20 L, black. Dimensions: 45 × 28 × 16 cm. One backpack included. Price: UAH 700 per item. We check stock before confirming. Ships the next business day after the order is agreed. We confirm the delivery method, cost, and payment terms by message.” Before purchase, also provide the buyer with information about the manufacturer and its location, the date of manufacture, storage conditions, expiry date or service life, safe-use instructions, and any required warnings, taking into account specific requirements for your product category. State who receives complaints and carries out repairs and technical maintenance. Include this information in the listing or provide it by another available method specified for the relevant product.

How to distinguish listings, promotion, and sales
Package payment gives you the right to use the specified listing services. Paid promotion changes how a listing is displayed under the terms of the selected service. You need to track buyer orders, receipt of goods, and incoming payments separately. Views, messages, and advertising payments do not by themselves confirm a completed sale.
For your first test, it is recommended that you check listings without additional promotion: confirm that the category is correct, the price is clear, and the product details are visible. Then set aside a limited amount to promote a few items and record the dates it runs. Compare the number of meaningful inquiries and completed orders for each listing. This will help you decide which expenses to repeat, although you should not expect the same results in the next period.

How to handle inquiries, holds, shipping, and payment
Use a single order log. For each order, record the listing number, SKU, quantity, agreed price, payment method, hold period, shipment number, receipt of the goods, actual funds received, and any return. Assign an employee to update order statuses.
- Clarify what the buyer needs. Confirm the model, size, color, quantity, and required configuration. Collect only the details needed to fulfill the order; this is also a requirement under Article 7 of the Law “On Electronic Commerce.”
- Check stock and agree on a hold. Check availability in your inventory records and inspect the item if needed. Set a specific practical hold rule, such as holding it until an agreed time. When the hold expires, confirm the buyer’s intent and update the available quantity.
Confirm the order. Before the contract is concluded, send the buyer a list of items, quantities, prices, delivery costs, payment method, shipping time, the period during which the offer remains valid, and the contract cancellation procedure. If the contract provides for recurring deliveries, state its minimum duration. Under part 14 of Article 11 of the Law “On Electronic Commerce,” the offer, contract, and electronic messages must be in Ukrainian; at the buyer’s request, the parties may agree to conclude the contract in another language.
Under Article 11 of the Law “On Electronic Commerce,” the seller must promptly confirm receipt of the electronic order. The buyer must receive confirmation of the transaction when it is concluded or when the seller fulfills the obligation to deliver the goods. The confirmation must include the seller’s name and address, how to submit complaints, exchange and return terms, warranty obligations, and information about servicing and repairs.
If the contract term is not specified, include the cancellation procedure. The offer to conclude an electronic contract or the contract itself must also say how the buyer can obtain it in a form that prevents its contents from being changed. Under Article 13 of the Law “On Consumer Protection,” information about the distance contract terms must be confirmed in writing or by electronic message; the seller cannot change it unilaterally after that.
- Check the delivery arrangement. If you use OLX Delivery, open the official app or website yourself and check the order in your account. Follow the instructions and deadlines shown there for that order.
- Prepare the shipment. Under part 6 of Article 13 of the Law “On Consumer Protection,” unless the contract provides otherwise, the seller must deliver the goods within a reasonable period, but no later than 30 days after receiving the buyer’s consent to conclude the contract. If the contract cannot be fulfilled because the goods are unavailable, notify the buyer immediately, but no later than 30 days after receiving their consent to conclude the contract. Check the SKU, condition, included items, and quantity. Pack the item, include the required documents, and save the shipment number. A photo of the contents before packing can help resolve discrepancies.
- Check delivery and payment separately. Mark the goods as received based on the confirmed delivery status, and mark payment based on actual data from the payment service or bank. Check the amount after deductions against the terms of the selected payment method.
Article 13 of the Law “On Electronic Commerce” requires documentary confirmation that payment was received. Part 11 of Article 8 of the Law “On Consumer Protection” sets requirements for the payment document and requires it to be provided no later than when the goods are handed over. Agree with your accountant on the documents needed for your chosen payment and delivery setup; a business page does not resolve this matter.
How to protect account access and payment details
To check an order, open OLX yourself through the official website or app. Do not open buyer-sent links asking you to “receive payment,” “verify your card,” or make a third-party payment to release a transfer. Do not share your password, one-time verification codes, or the three-digit card verification code (CVV — Card Verification Value or CVC — Card Verification Code). Check a transfer screenshot against the actual funds received.
Before using a payment service, read its terms in your account: possible fees, payout times, and cancellation and dispute procedures. If a message seems suspicious, contact support through OLX’s official interface.
How to handle returns and complaints
When a buyer contacts you, record the date, order, reason, and request. Find out whether the issue concerns an exchange of a non-defective product, withdrawal from a distance contract, or a defect. The law sets different grounds and procedures for these cases.
A non-food product in good condition is unsuitable. Under Article 9 of the Law “On Consumer Protection,” the buyer has the right to exchange it within 14 days, excluding the day of purchase, unless the seller has announced a longer period. The product must be unused, retain its properties and saleable appearance, and have its seals, labels, and payment document. Before refusing an exchange, check whether the specific product is included in Appendix 3 to Cabinet of Ministers of Ukraine Resolution No. 172.
This list specifies goods of proper quality that cannot be exchanged or returned on the grounds in Article 9. It does not set the procedure for claims about defective goods. If an equivalent product is unavailable, the buyer may choose another product with a price adjustment, wait for the product to arrive, or cancel the contract and receive a refund. If the buyer chooses to wait, the seller must notify them on the day the required product becomes available for sale.
The buyer withdraws from a distance contract. Under Article 13, the buyer may notify the seller of contract cancellation within 14 days of receiving confirmation of the information or the goods or first delivery. Returning a physical product also indicates cancellation of the contract. If the information confirmation does not meet the legal requirements, the period is 90 days from receipt of the information, or, for a physical product, from receipt of the product or first delivery.
If the seller corrects the confirmation during this period, the buyer has 14 days from receipt of the corrected confirmation. Before agreeing to a withdrawal, check the exceptions in part 5 of Article 13. Unless the contract provides otherwise, the buyer cannot cancel on this basis if a service was provided or goods delivered electronically with the buyer’s consent before the withdrawal period ended, and the information confirmation stated this.
An exception also applies if the price depends on financial market quotations outside the seller’s control. The buyer cannot exercise this right for a product made or modified to their specifications if it cannot be sold to another person, or can only be sold with significant financial loss to the seller. Other exceptions cover audio or video tapes or software media supplied sealed and opened by the buyer, delivery of periodicals, lotteries, and other games of chance.
A defect is found. Under Article 8, during the warranty period the buyer may request a proportional price reduction, free repair of defects, or reimbursement of the cost of repairing them. If a significant defect caused by the manufacturer or seller is found during the warranty period, or the product is found to be counterfeit during that period, with expert confirmation where needed, the buyer may request a replacement or contract cancellation and a refund.
The significance of a defect is determined by the combined conditions in item 12 of Article 1 of this Law: it makes the product unusable or unsuitable for its intended purpose, was caused by the manufacturer or seller, and reappears after repair for reasons beyond the buyer’s control. At least one additional condition must also apply: the defect cannot be repaired, repair takes more than 14 calendar days, or it makes the product substantially different from what the contract provides.
Accepting the product and documents for a complaint. The seller must accept a product of improper quality. Under part 11 of Article 8, claims are considered after presentation of the payment document; for products with a warranty period, the buyer must also provide a technical passport or substitute document marked with the sale date. The payment document may be electronic; do not insist on a paper receipt only.
This part sets specific requirements for payment documents for medicines, medical devices, and technically complex household goods. The buyer has the right to take part in a product quality inspection personally or through a representative. For unfit food products, part 8 of Article 8 sets a separate rule: the seller must replace the product with one fit for consumption or refund the amount paid.
Repair and replacement deadlines and price adjustments. At the buyer’s request, defects must be repaired free of charge within 14 days of the product being presented, or within another period agreed by the parties. If the product is included in the list of goods for which temporary replacements must be provided during repairs in Appendix 2 to Cabinet of Ministers of Ukraine Resolution No. 172, the seller must provide a similar product, with delivery, while the repair is under way if the buyer requests it in writing.
Part 9 of Article 8 provides for a penalty of 1% of the product’s value for each day of delay in providing such a product and each day repair exceeds the specified deadline. If the product is available, it must be replaced immediately; if a quality check is needed, replacement must take place within 14 days or another period agreed by the parties; if the product is unavailable, replacement must take place within two months of the request.
If replacement is not possible within that period, the buyer may make another claim provided by law. When a product is replaced with one of the same brand, model, SKU, and modification, the price change is not taken into account. When it is replaced with a product of another brand, model, SKU, or modification, the price is adjusted: if the defective product’s price has increased, use its value at the time of exchange; if the price has decreased, use its value at the time of purchase.
The seller may refuse to satisfy claims under Article 8 if they prove that the defects arose because the buyer violated the rules for use or storage.
- Consignment goods and claims after the warranty period ends. For used non-food products sold through consignment retailers, part 2 of this article sets a special condition for satisfying claims with the seller’s consent; it applies to products with an unexpired warranty period. The end of the warranty period does not always end the buyer’s rights: under part 10 of Article 8, the buyer may request free repair of defects caused by the manufacturer within the established service life or, if none is established, within ten years. If this request is not fulfilled within the deadlines in part 9 of Article 8, the buyer may make other claims specified in part 1 of this article.
Send the buyer instructions with the return address and the order details required. As a practical step, record the reason for the request, amount, and refund date in writing, and assign someone to handle the payment. As a practical rule for ordinary withdrawal from a distance contract, refund without delay and, where possible, on the day you receive the buyer’s notice. If that is not possible, check the applicable statutory deadline before agreeing to another date: an agreement with the buyer does not override legal requirements.
Do not automatically apply the 30-day period below; it concerns notice that a contract is invalid because a document or information confirmation was not provided. Check the product, included items, and condition, but determine the procedure for returning the product and money based on the reason for the request. Under part 7 of Article 13 of the Law “On Consumer Protection,” parts 5–9 of Article 12 also apply to distance contracts.
When withdrawing from a distance contract, the buyer tells the seller where the product can be collected. The contract may provide for postal return of a product that was sent by post. The seller bears the return costs and reimburses the buyer. The buyer must keep the product in unchanged condition, but opening the package, inspecting, or checking the product does not by itself remove the right to cancel the contract.
The right is also retained if the product is destroyed, damaged, or spoiled through no fault of the buyer. The buyer’s obligation to keep the product ends 60 days after receipt: if the seller has not taken steps to collect it by then, ownership of the product transfers to the buyer with no obligation to pay for it.
If the buyer was not given a document confirming the transaction, that transaction does not create obligations for them. If a document or information confirmation was not provided, the buyer notifies the seller that the contract is invalid. Within 30 days of receiving such notice, the seller must refund the money and reimburse the buyer’s costs of returning the product. If a confirmation was provided but does not meet legal requirements, apply the rule on the 90-day withdrawal period in part 4 of Article 13, as described above.
Part 9 of Article 12 provides for a penalty of 1% of the product’s value for each day that the refund is delayed beyond the specified deadlines. Under Article 9, the seller refunds the product’s value at the time of purchase on the day the contract is cancelled or, if this is not possible, within an agreed period of no more than seven days. When a contract is cancelled because of defects under Article 8, the same refund deadline applies, but the amount is calculated differently: if the price has increased, use the product’s value when the claim is made; if the price has decreased, use its value at the time of purchase.
For defective goods, Article 8 places, among other things, the cost of delivering bulky products and products weighing more than five kilograms on the seller or manufacturer. Do not set a blanket rule for all claims that “the buyer always pays for delivery.”
30-day OLX store budget: how to calculate the result
Set a spending limit before launch. Enter the package price from the actual OLX offer, and list promotion separately. Add content preparation, packaging, payment costs, possible returns, and employee time. Product purchases require separate funding, even if some of the stock remains unsold.
Illustrative numerical example; this is not an OLX tariff or a sales forecast. Over 30 days, a store received 50 meaningful inquiries and shipped 20 orders. Buyers kept 18 orders and returned two. Each order contained one product priced at UAH 700 with a cost price of UAH 450. The returned products can be resold, so their cost remains in inventory.
| Expense | Illustrative amount |
|---|---|
| Listing package | UAH 900 |
| Additional promotion | UAH 600 |
| Preparing photos and descriptions | UAH 300 |
| Packaging for 20 shipments at UAH 20 each | UAH 400 |
| Payment costs for 18 completed sales at UAH 15 each | UAH 270 |
| Additional costs for two returns | UAH 300 |
| Total, excluding the cost of goods sold | UAH 2,770 |
Revenue from products buyers kept is 18 × 700 = UAH 12,600. Their cost is 18 × 450 = UAH 8,100. The contribution toward expenses after product cost, packaging, payment costs, and return costs is 12,600 − 8,100 − 400 − 270 − 300 = UAH 3,530. After the package, promotion, and content preparation, 3,530 − 900 − 600 − 300 = UAH 1,730 remains. This is the result before taxes, labor costs, and other fixed business expenses.
In this example, package and promotion costs per completed order are (900 + 600) ÷ 18 = UAH 83.33. Including content preparation, the figure is 1,800 ÷ 18 = UAH 100. Returns as a share of shipped orders are 2 ÷ 20 × 100% = 10%. In your own calculation, include actual fees, delivery costs, any loss in value of returned products, and all other seller expenses.
What to do during the test month
- Days 1–7. Publish the prepared products and check your contact and sales information. Record meaningful inquiries: questions about a specific product that show intent to consider a purchase. Count repeat messages from the same person about the same order as one inquiry.
- Days 8–14. Review buyers’ questions. If people repeatedly ask about measurements, included items, or price, update the listing. Correct any discrepancies with stock.
- Days 15–21. If you have a budget, test limited promotion on selected listings. Record expenses and results separately for each item.
- Days 22–30. Reconcile received orders, payments, cancellations, and returns. Keep shipments that are still in progress in a separate group and update the totals once they are closed.
Before renewing, compare package, promotion, and content preparation costs per completed order with that order’s contribution after subtracting product cost, packaging, payment costs, and return costs. In the example, this is UAH 100 in costs versus a contribution of 3,530 ÷ 18 ≈ UAH 196.11. Before deciding whether to renew the package, also account for taxes, labor, and other business expenses. If you receive inquiries but no orders, check the price, delivery terms, and whether the description is complete. If buyers return products often, investigate the reasons by SKU. Choose the next package based on the number of listings actually used and product results; any budget increase needs a separate justification.
How to track OLX inventory, sales, and returns in Torgsoft
Before confirming an order, the seller can check quantity, size, price, and cost price in the “Warehouse → Stock status” mode. If a photo is attached to the product, it appears in the form and helps confirm the correct item. A practical workflow is to match the listing SKU to the product card, check stock, and manually record the agreed hold in the order log.
A sale can be recorded in the “Document → Sale” form, where the product search method depends on the “Settings → Parameters → Inventory → Product search” setting. Check which search method is enabled: by barcode, SKU, name, or serial number. If several products match the entered barcode or SKU, select the right item from the list. A comment is available in the document settings.
For manual reconciliation, enter the OLX order or listing number there, and save the sale number in your log. A return can be recorded by the barcode on a receipt generated by Torgsoft or by manually entering the numeric code under that barcode. Another option is to select the relevant sale. Then specify the products and quantities the buyer is returning. Reconcile incoming and refunded payments against actual payment transactions separately from product documents.
This workflow involves manually transferring data between OLX and inventory records. When choosing a Torgsoft license, check which features you need: “Start” includes basic inventory accounting for one store, but does not support multiple accounting centers, transfers between warehouses, wholesale trade, or online store features. Also check the program’s maximum return period setting: a technical limit does not determine the buyer’s legal rights. After changing stock or price, the responsible employee must update the OLX listing separately.
