To start selling on ROZETKA, prepare your seller documents, agree on the terms of cooperation, create listings for permitted products, and check the payment and delivery process. Before publishing your assortment, calculate the costs for each product: purchasing, marketplace commission, payment processing, packaging, logistics, returns, and taxes.
A practical way to start is with a small part of your assortment that you can quickly check in your warehouse and ship to the customer. Assign someone to manage orders, set a process for reserving products, and check the full process through to receiving the money and handling any return.

Prepare your seller details and registration documents
Creating a ROZETKA account and registering as a sole proprietor in Ukraine (FOP) are separate procedures. State your actual seller status in the marketplace application. If you plan to trade as a business, separately address state registration, your tax system, and an account for business activity.
According to ROZETKA’s official list of required documents, sole proprietors in tax groups 2 and 3, legal entities, and individuals may register on the marketplace. Each status has its own set of required documents. The ability to create an individual account does not by itself determine the tax rules for future business activity.
| Seller status | What to prepare for ROZETKA |
|---|---|
| Sole proprietor (FOP) | A bank certificate confirming that a current account for business activity has been opened. |
| Legal entity | A bank certificate, minutes of the general meeting or a member’s resolution authorizing the director to enter into contracts, and a document confirming the director’s appointment. |
| Individual | A passport of a citizen of Ukraine, an extract confirming the place of registration or the relevant page of the passport, the taxpayer registration number, and a bank certificate showing the International Bank Account Number (IBAN). |
For sole proprietors and legal entities, the bank certificate must include the IBAN, the account opening date, the certificate issue date, and the bank’s stamp. ROZETKA requires a color copy of the original; the certificate must have been issued within the past year. For a legal entity, the minutes of the general meeting or a member’s resolution must authorize the director or general director to enter into or sign contracts with the Ukrainian limited liability company (TOV) “TERMINAL ROZETKA” without limits on the contract value. Use the sample in the marketplace documentation and submit a color scan or photo of the original director appointment document.
Send the documents and the completed table required by the instructions to the onboarding manager. Check that the seller’s name or business name, account details, and application information match. The marketplace may require additional documents for certain product categories.
Check the contract, commission, and other fees before launch
Before signing the contract, obtain the terms that apply to your seller account and assortment. For your calculations, use the commission rate for the relevant category and the marketplace’s actual offer. Separately confirm any recurring fees, paid services, or promotional costs under your chosen cooperation model.
We recommend keeping the contract, appendices, and agreed rates in one folder and noting down:
- the basis for calculating the commission and the event that triggers it;
- recurring fees and the conditions for keeping sales available;
- the payout process, deductions, and how to obtain reporting documents;
- how commission is adjusted when an order is canceled, not collected, or returned;
- available payment and delivery methods and order processing times;
- how rates can change and how cooperation can be terminated.
If a fee or rule is unclear, get an explanation through an official support channel before setting your price. In your cost sheet, record the source for each rate so an employee does not use the rate for a different category or service.
Choose products and a catalog upload method
Before preparing listings, check that the category, brand, and specific product are allowed under ROZETKA’s rules. If the category requires additional documents, collect them before uploading products in bulk. Do not buy a large batch just because a similar product is already in the catalog.
ROZETKA states that there is no limit on the number of products you can list. However, the marketplace may refuse to list a product that is already well represented by other sellers if the new offer gives shoppers no clear advantage, such as a lower price or free delivery. This is explained in the official overview of product upload methods.
Choose the catalog creation method based on where you manage product data and who will update it.
| Method | When it is useful | What to check |
|---|---|---|
| Adding products individually in the account | For a small initial assortment or individual new products. | Whether all required parameters for the selected category are filled in. |
| Importing a spreadsheet, including one prepared in Excel | For adding or updating many items at once. | Compliance with the ROZETKA template, the column structure, and the import result. |
| Extensible Markup Language (XML) catalog | When products, prices, and stock levels come from an accounting system. | The file structure, link availability, and the accuracy of prices and quantities. |
| Application programming interface (API) | For a large catalog, if you have a technical team to develop and maintain the integration. | Access to the required operations, compliance of the data with marketplace requirements, and the result of transmitting each item. |
According to ROZETKA’s documentation, data from an XML catalog is updated hourly. Account for this interval when selling the last units through multiple channels. As a practical measure, you can keep part of your stock out of the quantity available on the marketplace if your accounting setup lets you do that.
Check that each listing clearly identifies the product
An employee should be able to identify the product from its listing and find the exact variant ordered in the warehouse. To help them do that, check the name, SKU, brand, model, size, color, package contents, unit of sale, and photos. If you offer several products for one price, show what is included in the set, the number of items, the total offer price, and the prices of the products individually. Also state how long the offer is valid and any limits, including quantity limits. These details are required under Part 3 of Article 15 of Ukraine’s Law “On Consumer Protection.”
- Name and category. They must match the product and comply with the marketplace rules.
- Specifications. Enter verified data from the manufacturer’s documentation or product labeling. Do not fill in unknown parameters based on assumptions.
- Photos. Show the required model, color, set contents, and important features. Check that the images are available after import.
- Price. Check it against the selected sales terms and your actual cost calculation. Under Part 3 of Article 15, the price for the buyer must include all taxes and mandatory payments they pay when purchasing the product. Also check that the price is shown for the package or relevant unit of measurement and for a standard unit of the product.
- Stock. Exclude damaged, already reserved, and unavailable units.
- Purchase terms. Check the information about payment, delivery, warranty, and how to submit a claim.
Sales to consumers in Ukraine are subject to Ukrainian law. Articles 13 and 15 of Ukraine’s Law “On Consumer Protection” require you to provide accurate information before purchase about the product, the seller’s name and location, the process for accepting claims, the price including delivery, payment and delivery terms, warranty obligations, the period during which the offer is valid, and the procedure for terminating the contract.
Article 15 also requires the seller to provide, where applicable, information about the date of manufacture, storage conditions, safe use, the expiration date or service life, and what the buyer should do after it expires. Check this information against the product labeling and accompanying documents. Provide the name and location of the manufacturer, seller, and business that accepts claims and repairs and services the product.
If a product could be dangerous under certain conditions, explain the danger and possible consequences of use. Include any warnings and information about harmful substances required for that product. If special information requirements apply to a particular type of product, follow them; apply the general requirements of Article 15 to any matters those special rules do not cover. Under Part 3 of Article 13, the seller must confirm the terms of a distance contract in writing or by electronic message and may not change the confirmed information unilaterally.
Set up this confirmation for the buyer and keep a copy with the order documents.
After uploading, check the moderation result for each item. Fix the errors listed and review the published offer: uploading a file does not confirm that the product is available to buyers.
Calculate the economics of selling a specific product
For an initial estimate, subtract the purchase cost, commission, payment processing costs, packaging, seller-paid logistics, and expected return costs from the selling price. Add the tax burden that applies to your business and a share of fixed costs.
Illustrative training example. All amounts and percentages below are made up to demonstrate the calculation. They are not ROZETKA, bank, or carrier rates, or established tax rates.
| Item | Illustrative amount |
|---|---|
| Selling price | UAH 1,500 |
| Purchase cost | UAH 900 |
| Commission: illustrative 10% of the price | UAH 150 |
| Acquiring fee — processing card payments: illustrative 2% | UAH 30 |
| Seller-paid logistics | UAH 70 |
| Packaging | UAH 20 |
| Reserve for non-collection and returns | UAH 40 |
| Illustrative allocated tax burden | UAH 90 |
| Share of fixed costs | UAH 50 |
| Calculated balance | UAH 150 |
The example calculation is: 1,500 − 900 − 150 − 30 − 70 − 20 − 40 − 90 − 50 = UAH 150. If you lower the price to UAH 1,350 and keep the percentage costs at the illustrative rates of 10% and 2%, the commission will be UAH 135 and the acquiring fee UAH 27. If all other amounts stay the same, UAH 18 will remain.
This calculation helps you assess whether the reduced price covers the costs included. Before announcing a discount, also check Parts 4 and 6 of Article 15 of Ukraine’s Law “On Consumer Protection”: the discount must apply to products you sell directly, run for a specified limited period, and reduce the product’s regular price. After publicly announcing a discount, tell buyers the price before the discount started and the reduced price.
In your working cost sheet, include only costs actually incurred by the seller. In particular, check whether payment processing is included in another fee. Confirm your tax calculation with an accountant: the illustrative line in the table does not determine your tax liability.
Fulfill your first order from verification to shipment
Before launch, decide who checks orders, who picks and packs the parcel, who prepares the documents, and who reconciles the money. We recommend following the same sequence for every sale.
- Open the order in the seller account. Check the order number, current status, items, total, payment, and delivery. Use a buyer’s message or screenshot only as a prompt to check the details in the official account.
- Check actual stock. Find the required model, color, size, and package contents. Reserve the product in your records and mark it for this order so another employee does not sell the same unit.
- Check fulfillment terms. Use a payment and delivery method available for the order and covered by your cooperation terms. For prepayment, check payment confirmation; for cash on delivery, record the amount to collect.
- Check contact details and address. Verify the recipient, phone number, branch, or address. If you need clarification, record the agreed changes in the order.
- Inspect and pack the product. Match the SKU, quantity, package contents, and condition. For a product with a serial number, record it in the related accounting documents.
- Prepare the documents. Prepare the sales receipt and any accompanying and warranty documents required for the product and payment method.
- Hand the parcel to the carrier. Record the waybill number in the order and check that it belongs to that parcel. Update the status to reflect the action actually completed.
- Check delivery and payment. Track delivery, non-collection, or return. Complete your internal order check after reconciling the product, documents, and money.
If the product is unavailable, notify the buyer immediately and handle the next steps under the marketplace rules. Do not ship a different color or model without the buyer’s agreement. Under Part 6 of Article 13 of Ukraine’s Law “On Consumer Protection,” unless the distance contract states otherwise, the seller must deliver the product within a reasonable period and no later than 30 days after receiving the buyer’s consent to enter into the contract. If the contract cannot be fulfilled because the product is unavailable, the seller must notify the buyer immediately and no later than 30 days after receiving that consent. So report an out-of-stock product as soon as you confirm the inventory.
Check sales receipts and warranty documents
Part 11 of Article 8 of Ukraine’s Law “On Consumer Protection” requires issuing a sales receipt in the prescribed form and allows it to be provided electronically. The receipt must be issued or created electronically no later than when the product is handed over. For a product under warranty, check the technical passport or a replacement document and make sure it has the sale date marked.
Before your first shipment, agree with your accountant on how to document payments for each enabled payment method. If you use a cash register (RRO) or a software cash register (PRRO), check the product names, amount, payment type, and delivery of the receipt to the buyer. Keep the payment notification and waybill with the sales documents for later reconciliation.
Handle returns based on the reason for the claim
When a buyer contacts you, determine whether the request concerns a product of acceptable quality, withdrawal from a distance contract, or a product defect. Record the order number, receipt date, the buyer’s request, and the product’s condition. The handling process depends on this information. For a claim about a product defect, ask the buyer to present a sales receipt, including an electronic one, and, for a product under warranty, the technical passport or a replacement document marked with the sale date.
These claim review requirements are set out in Part 11 of Article 8 of Ukraine’s Law “On Consumer Protection.” For medicines and medical devices, the buyer must present a sales receipt required under Ukraine’s Law “On the Use of Cash Registers in Trade, Catering, and Services.” For technically complex household goods, the buyer must present such a receipt and the technical passport or a replacement document marked with the sale date.
If the buyer has lost the technical passport or its replacement, the law provides for its restoration under the procedure established by law.
Product of acceptable quality. Under Article 9, a buyer may exchange a non-food product of acceptable quality for a similar product from the same seller if the product does not fit in shape, dimensions, style, color, size, or for another reason cannot be used as intended. The exchange period is 14 days, excluding the purchase date, unless the seller has announced a longer period. The product must be unused; its appearance, properties, seals, tags, and sales receipt must be preserved.
The government has approved a list of exceptions, so check whether the specific product is on that list. If a similar product is not available at the time of exchange, the buyer may choose another product with the price adjusted, terminate the contract and receive a refund, or agree to an exchange when a similar product becomes available. If the buyer is waiting for an exchange, the seller must notify them on the day the product arrives.
For termination on this basis, the refund is calculated using the product’s price at the time of purchase.
Distance purchase. Article 13 separately provides the right to notify the seller of withdrawal from the contract within 14 days from the time specified by law for confirmation of information or receipt of the product. If the confirmation does not meet legal requirements, the period is 90 days from receipt of the information, or, for a physical product, from receipt of the product or first delivery.
If the seller corrects the confirmation during this period, the buyer has 14 days from receiving the corrected confirmation. Returning a physical product also indicates withdrawal from the contract. Unless the contract states otherwise, Part 5 of Article 13 sets out exceptions to the right to withdraw from a distance contract. These cover the provision of a service or delivery of a product by electronic means before the withdrawal period ends, if the buyer agreed and received the relevant notice in the confirmation of information; prices that depend on financial market quotations beyond the seller’s control; products made or altered to order that cannot be sold to others or can be sold only at a significant financial loss to the seller; sealed audio or video cassettes or computer software media opened by the buyer; delivery of periodicals; and lotteries and other gambling.
Before refusing a buyer’s request, check whether their case meets all the conditions of the specific exception.
Product with a defect. Under Article 8, during the warranty period the buyer may request a proportional price reduction, free repair of the defect, or reimbursement of repair costs. If you sell used non-food products through a retail consignment business, note the exception in Part 2 of this article: while the warranty period is still running, the claims provided for in Part 1 are satisfied with the seller’s consent.
The buyer may request a replacement or termination of the contract if a substantial defect caused by the manufacturer, seller, or service provider, or falsification of the product, is discovered during the warranty period; where necessary, this must be confirmed by an expert examination. The seller must repair defects within 14 days of the product being presented, or within another period agreed by the parties.
If a component or part with its own warranty period is replaced during repair, the warranty on the new part starts on the day the repaired product is given back to the buyer. Record this date in the documents. If the product is on the list established by the Cabinet of Ministers of Ukraine of goods for which temporary replacements must be available during repairs, the seller must, on the buyer’s written request, provide a similar product for the repair period and arrange delivery.
Article 8 sets a penalty of 1% of the product’s value for each day of delay in providing such a product and each day a repair exceeds the prescribed period. The buyer also has the right to take part in a quality inspection personally or through a representative. After the warranty expires, the buyer may ask the manufacturer or seller to repair defects caused by the manufacturer free of charge.
Part 10 of Article 8 allows this request to be made within the prescribed service life, or, if none has been set, within ten years. If the request is not fulfilled within 14 days or another agreed period, the buyer may make another request provided for in Part 1 of Article 8. If the product is available, a lawful replacement request must be fulfilled immediately; if a quality inspection is needed, within 14 days or a period agreed by the parties.
If the product is unavailable, the replacement period is two months from the date the request is submitted. If it is impossible to fulfill the replacement request within that period, the buyer may choose another request provided for in Part 1 of Article 8; the seller may not simply extend the wait without considering the request. When replacing a defective product with one of the same brand, model, SKU, and modification, the seller does not recalculate the price due to a price change.
When replacing it with a product of another brand, model, SKU, or modification, the seller values the returned product at its value at the time of exchange if the price has risen, or at its value at the time of purchase if the price has fallen. If the contract is terminated because of a product defect, the seller calculates the refund under Part 7 of Article 8: if the price has risen, use the product’s value when the claim is made; if it has fallen, use its value at the time of purchase.
The money must be refunded on the day the contract is terminated; if that is not possible, within a period agreed by the parties, but no later than seven days. For an unfit food product, Part 8 of Article 8 separately requires the seller to replace it with a fit product or refund the money under these calculation rules. A seller may refuse to fulfill a claim because the buyer failed to follow the rules for use or storage only if the seller or manufacturer proves that this caused the defect.
For bulky goods or goods weighing more than five kilograms, the seller or manufacturer pays for delivery to the location where the claim will be assessed and for return delivery.
The grounds and terms for these claims are set out in Articles 8, 9, and 13 of Ukraine’s Law “On Consumer Protection”. Check the exceptions for the specific claim. For example, restrictions on exchanging an acceptable quality product do not automatically determine how a complaint about a defect should be handled.
After receiving a return, an employee should check the product’s condition and package contents, record the inventory movement, and determine whether it can be offered for sale again. Process the refund separately and check any adjustments to marketplace payments under your contract. For a contract terminated under Article 9, the money must be refunded on the day of termination or, if that is not possible, within an agreed period of no more than seven days.
Withdrawal from a distance contract is also subject to Parts 5–9 of Article 12 by reference under Part 7 of Article 13. The buyer tells the seller where the product can be collected; the contract may provide for postal return if the product was sent by post. The seller bears the return costs and must reimburse the buyer’s related expenses. The buyer must keep the product in unchanged condition, but opening the packaging, inspecting, or checking the product does not by itself remove the right to withdraw from the contract.
The right also remains if the product is destroyed, damaged, or spoiled through no fault of the buyer.
The buyer’s obligation to keep the product ends 60 days after receiving it. If the seller has not taken steps to collect the product by then, it becomes the buyer’s property without any obligation to pay for it. So after being notified of a withdrawal, promptly agree on and arrange the return. If the seller did not provide a document or confirmation of information and the buyer notified the seller that the contract is invalid, the seller must refund the money and reimburse return costs within 30 days of receiving the notice.
If the purchase was financed by credit from the seller or a third party, Part 8 of Article 12 provides for the credit to end when the contract is terminated. Part 9 sets a penalty of 1% of the product’s value for each day the refund is delayed beyond the prescribed period.
Reconcile revenue, deductions, and actual payments received
Keep a single record for each order with its number, product total, payment method, commission, delivery costs, payout amount, and any returns. Link the sales documents and waybill to that record. This will help you find the reason for any difference between the purchase amount and the payment received in your account.
We recommend regularly comparing three sources: orders in your ROZETKA account, your accounting documents, and your bank statement or payment service report. For each discrepancy, record the reason and the person responsible: payment not yet received, commission deducted, product not collected, or return not yet completed.
Estimate return costs using actual data. Include return shipping, repackaging, and any possible loss in product value. Once you have enough of your own data, review the return cost reserve in your pricing calculation.
Secure account access and check suspicious messages
We recommend signing in through a saved official address. If a message asks you to confirm a payout, change account details, or enter your password urgently, open your account yourself and check the request through official support. Do not share passwords, verification codes, or integration credentials with buyers or other people.
Give each employee only the access they need for their work, using the service’s available settings. An order manager should not receive banking credentials just to check an order status. When a responsible employee changes, review access to the account, email, and accounting software. Check the recipient and details of any new service payment against the contract or through an official channel.
How to prepare Torgsoft for selling on ROZETKA
The additional paid “Integration with Rozetka.ua” option prepares a product catalog in Extensible Markup Language (XML), transfers prices and stock levels from Torgsoft, and supports order processing. Before connecting it, check the compatibility of your basic Torgsoft license: “Start” does not support working with an online store. Order processing requires authorized access to the seller account’s application programming interface (API), and the ROZETKA store’s entire assortment must be uploaded through a price list generated by this Torgsoft option. If products have already been added by another method, first coordinate the catalog preparation: according to the documentation, such a store is incompatible with this order processing mode.
To prepare the catalog, map product types in Torgsoft to ROZETKA’s leaf categories, fill in product data and specifications, and add photos. The price list and photos must be available without authentication at permanent addresses. Only products with photos are synchronized; services and products added to a product group through the “plus Products” tab are not supported. Assign the setup procedure, database requirements, and file checks to the employee who will configure the data exchange, following the full price list preparation instructions.
Assign a manager to check product availability, reservations, invoices, statuses, and actual payments. After the buyer confirms a new order, the manager issues an invoice; the operator records payment when it is actually made. Actions involving documents change statuses on ROZETKA, so the employee must check that they reflect the order’s actual progress. Order items are edited in the ROZETKA account while the order has the status “Being processed by manager.” After editing, check that the changes are downloaded into Torgsoft during the next synchronization or when an invoice is issued.
Avoid unnecessary status changes in the account, as they may disrupt subsequent synchronization of an order that has already been downloaded. Detailed procedures for processing, cancellation, and status transitions are provided in the order processing instructions. Before launch, we recommend using a test order to check products, prices, reservations, documents, payment, and cancellation so the responsible employee can identify discrepancies before daily operations begin.
| Condition stated in the documentation | What to consider before launch |
|---|---|
| ROZETKA reads prices and availability from the price list hourly. | Account for this interval when selling the last units and check reservations. |
| The minimum interval for automatic order downloads is 10 minutes; tasks with shorter intervals are ignored. | Coordinate the data exchange schedule and the responsible manager’s order checks. |
| New products, changes to names, specifications, descriptions, or photos, and price changes by a factor of five or more require contacting the ROZETKA manager. | Notify the manager of these changes and check that they have been applied on the marketplace. |
| Trial activation of the option lasts 30 days and allows a maximum of 10 products in the price list. | Use this period to test products with photos, price changes, zero stock, and order processing. |
