Consignor notification

Consignor notification — is an additional Torgsoft option that automatically notifies the consignor supplier about the sale of their goods transferred for consignment sale. It is needed when you take goods on consignment from several owners and need to report sales to each of them.

The option is suitable for businesses with consignment trade: second-hand stores, antique shops, art galleries, concept stores, and makers' markets. It removes the routine when, after each sale, you have to manually find out whose goods were sold, calculate the amount to be paid, and write to the supplier.

As a result, the program identifies the owner of the sold goods by itself, creates a message according to your template, and sends it by email or SMS. Sales notifications become transparent for both parties, and settlements with the supplier are easier to reconcile.

What consignment trade and consignor notification are

Consignment trade is when a store sells not its own goods, but someone else's goods taken for sale. The owner of the goods transfers them as a consignor supplier, and after the sale the store returns the agreed amount to them and keeps its commission. The more suppliers there are, the harder it is to manually track whose goods were sold. The «Consignor notification» option does not manage contracts and settlements instead of you — it handles notification: after a sale, it automatically creates a message and sends it to the owner of the goods.

Who does not need it. If you sell only your own goods and do not take anything on consignment, there is no one to notify — the option will not be needed in this case.

Before

After a sale, you open a spreadsheet, look for whose goods they are, calculate the amount payable, and manually write to the supplier in a messenger or by email.

After

The program identifies the owner of the sold goods, calculates the amount payable, and sends a ready-made message by email or SMS according to your template.

How it works: 6 steps

Activate the option. In the menu «Settings» → «Parameters» → «Additional functions», the «Consignor notification» block will appear.

Enable mailing. Activate the switch «Send a message to the consignor when goods are sold».

Create a template. Click «Directory» → «Add», select email or SMS, enter the text and insert variables: <Product name>, <Product SKU>, <Quantity of sold goods>, <Supplier amount of sold goods>.

Configure the channel. For email, configure Microsoft Outlook. For SMS, add a service (TurboSms, or AlphaSMS) and specify the SMS signature.

Save and restart. Click «Save», then restart the program for the settings to take effect.

Sell. During a sale, the program creates the mailing by itself and sends the message to the relevant consignor.

Important. To exclude a specific supplier from mailing, open their card in the menu «Settings» → «Supplier» → the «Additional» tab and disable the switch «Send a message to the consignor».

Second-hand store with dozens of consignors

Items are accepted from many people. After a sale, each owner immediately receives an SMS about the sale and the amount payable, so there are no queues at the checkout for reports.

Expensive individual items belong to different owners. An email notification records the fact of sale and the amount, which removes disputes during settlement.

Art gallery

Artists' works are on consignment. The author instantly learns that their painting has been sold and understands what amount they will receive.

Example

The scenario is illustrative. A concept store keeps goods from fifteen makers on display — jewelry, ceramics, textiles. Previously, at the end of the day, the seller manually wrote down what had been sold and sent a message to each maker.

After activating the option, the message is sent automatically at the moment of sale: the maker sees the product name, quantity, and amount payable. The seller no longer consolidates data manually, and the makers replenish the assortment with what sells better.
