The bank terminal has been connected to Torgsoft, the bank has configured POS integration, and the merchants have been added. Before accepting payments from customers, you should test the entire process: whether Torgsoft can communicate with the terminal, whether funds are credited to the correct Sole Proprietorship's bank account, whether the sale is completed correctly in the software, and whether refunds work. This check is especially important after replacing the terminal, adding a new Sole Proprietorship, changing the bank account, or having the bank reconfigure the terminal.

What exactly needs to be checked

The fact that Torgsoft has established a connection with the POS terminal does not necessarily mean that the entire setup is correct.

You need to check each part of the process in sequence: terminal → merchant → bank account → payment → Torgsoft and PECR → refund.

What exactly needs to be checked?

A merchant is a bank identifier assigned to a business accepting payments. In Torgsoft, it is linked to a bank account and a Sole Proprietorship. If the wrong merchant is selected, the payment may be sent to another account, or a refund may fail. That is why the Torgsoft Knowledge Base recommends checking merchant settings after connecting a new terminal or changing a Sole Proprietorship or bank account.

Step 1. Check whether Torgsoft can communicate with the terminal

Open: Settings → Parameters → Bank Terminal.

For the configured terminal, use the «Get Terminal Information» function.

Its primary purpose is to check the connection and retrieve information available from the terminal, including merchant details. Torgsoft also recommends using this function regularly to verify the settings.

If the information is retrieved successfully, the next question is whether the merchants are configured correctly. Each Sole Proprietorship should have a clearly established relationship: Merchant ID → bank account → Sole Proprietorship.

For example, if two Sole Proprietorships operate at the same checkout, simply seeing two merchants on the terminal is not enough. You must make sure that each merchant in Torgsoft is linked to the correct bank account.

If Torgsoft cannot retrieve any information from the terminal, you should not proceed with payment testing yet. First, check the connection method, configured protocol, COM port, or network settings, depending on the equipment. The current Torgsoft documentation describes several methods of integrating bank terminals, so there is no universal configuration for every POS terminal.

Step 2. Make a small test payment

After checking the connection, process a payment in exactly the same way a cashier would during a normal sale. To verify the merchant configuration, the Torgsoft Knowledge Base recommends a test payment of UAH 1–2. For example, create a sale for UAH 2 in Torgsoft and select cashless payment through the connected bank terminal.

Check the entire process:

  1. Torgsoft automatically sent the correct amount to the POS terminal.

  2. The terminal accepted the card and confirmed the payment.

  3. The sale was completed in Torgsoft.

  4. If PECR is used, the correct fiscal receipt was generated.

  5. The terminal receipt shows the expected Merchant ID, if your terminal displays it.

  6. The bank credited the funds to the correct Sole Proprietorship's account.

 The last point is important. A successful «Paid» message on the terminal does not prove that the entire setup is correct. The terminal may accept the payment, but an incorrectly selected merchant may cause the funds to be credited to the wrong bank account. That is why Torgsoft recommends checking both the terminal receipt and the bank statement after the test.

If the store uses multiple Sole Proprietorships

The test must be performed separately for each Sole Proprietorship and bank account.

For example, Sole Proprietorship A and Sole Proprietorship B operate at the same checkout. A payment of UAH 2 is successfully processed for Sole Proprietorship A. This confirms only the configuration for Sole Proprietorship A.

You must make another small payment for Sole Proprietorship B and check which account receives the funds.

This test is particularly important after:

  • adding a new Sole Proprietorship;

  • changing the bank account;

  • replacing the POS terminal;

  • changing the PECR;

  • having the bank reconfigure the merchants.

The Torgsoft documentation explicitly states that an incorrect Merchant ID may direct a payment to another Sole Proprietorship or cause problems when processing a refund.

What to do if the money was debited but Torgsoft did not complete the test sale

Do not charge the card again until you have checked the first transaction. Start by verifying the actual transaction result on the bank terminal and with the bank.

The bank may have already processed the payment, but Torgsoft may not have received or processed the final result because of a connection failure. Trying again in this situation could result in a duplicate charge.

Torgsoft's documentation separately addresses situations where the POS terminal's result does not match the sale status in the software. In such cases, you should first determine the actual status of the bank transaction and only then decide how to complete the document in Torgsoft.

This rule applies not only to testing. Cashiers should also be informed about it before they start working.

Step 3. Test the refund

After a successful test payment, do not stop testing. The next step is to refund the same UAH 1–2.

This stage often reveals that payment acceptance is configured correctly, but refunds are not.

It is best to process the refund against the test sale you have just completed. In Torgsoft, find the corresponding sale, process the product return, and refund the money through the same bank account using the bank terminal integration.

After the transaction, check that:

  • the POS terminal accepted the refund command;

  • the bank confirmed the transaction;

  • the refund was completed in Torgsoft;

  • if PECR is used, a fiscal refund receipt was generated;

  • the refund relates to the same Sole Proprietorship and account used for the test payment.

Torgsoft specifically recommends performing a test refund after a test payment.

Why a payment may succeed while a refund fails

Payments and refunds are different banking operations.

For a particular terminal, the «Payment» and «Refund» operations may be configured separately, and how they work depends on the bank and protocol.

Therefore, a successful test payment does not confirm that refunds are configured correctly.

If a test refund fails, check:

  • whether the correct merchant is being used for the refund;

  • whether it is linked to the correct bank account;

  • whether the refund operation has been configured by the bank;

  • whether the terminal provided the original payment details required for the refund.

Some integrations have their own specific requirements. For example, certain banking libraries may not transmit the RRN automatically, while some terminals request additional details of the original transaction when processing a refund. These requirements should be checked for the specific bank and equipment rather than changing settings at random.

If the terminal refunded the money but Torgsoft did not complete the refund

The same rule applies as with payments: do not repeat the banking operation until its status has been verified.

If the POS terminal has already confirmed the refund, repeating the operation may refund the customer a second time.

Torgsoft supports a scenario in which the bank refund has already been completed, but the accounting transaction or PECR operation must be finalized separately. In this case, the refund is processed in the software without sending another command to the physical terminal, using the details of the banking transaction that has already been completed.

Does PECR need to be checked separately?

Yes, if the store uses PECR. The bank and PECR perform different functions: the bank processes the card payment, while PECR registers the payment transaction for fiscal purposes.

Therefore, during testing, you need to verify more than just that the money was debited. The entire process must be completed: payment processed → sale recorded in Torgsoft → fiscal receipt generated.

For a refund, the corresponding sequence is: refund accepted by the bank → refund document completed in Torgsoft → fiscal refund receipt generated.

If any of these stages is incomplete, the cause must be identified before you start serving customers.

When should you repeat the test?

You do not need to perform the full test every morning. It is necessary after changes that may affect payment processing:

  • connecting or replacing a POS terminal;

  • having the bank reconfigure the device;

  • adding a new Sole Proprietorship or merchant;

  • changing the bank account;

  • moving the checkout to another computer or server;

  • changing the POS connection method;

  • payments starting to arrive in the wrong account;

  • sales working correctly while refunds fail.

The Torgsoft Knowledge Base identifies these as situations in which merchant settings should be checked again.

Key takeaway

After configuring a POS terminal, do not limit your checks to confirming that Torgsoft can simply «see» the device.

A proper test must cover the entire process: «Get Terminal Information» → verify the merchant and bank account → make a payment of UAH 1–2 → check that the funds were credited correctly → refund the same amount → verify the results in Torgsoft and PECR.

If the store uses multiple Sole Proprietorships, this cycle must be repeated for each bank account. Only then can you verify not just the connection itself, but the actual payment process that cashiers will use during sales.
