Start preparing your store for holiday demand by counting your products. Investigate and correct stock discrepancies before the peak period. Then agree on replenishment with suppliers and check printers, scanners, their connections, and the tidiness of the sales floor.
The owner should assign a specific person to each task and set a deadline and priority. In the plan, name the expected result: counted stock, a clarified discrepancy, an agreed delivery, or a checked device.
Count stock before agreeing on a purchase
Ask the employee responsible for inventory to count the stock and compare the actual quantity with the recorded quantity. If you have several stores, arrange a check at each one. Leave time to investigate discrepancies before the planned peak workload begins.
For each discrepancy, record the product, storage location, recorded quantity, and actual quantity. Ask the responsible person to find out the cause and report the result to you. If the issue is still unresolved, keep it as a separate task with an owner and deadline.
To discuss replenishment, prepare a list of products with actual stock by store. Separately note the quantity you propose to order. Before approving the purchase, check whether the proposal relies on a discrepancy that is still being investigated.
Agree on deliveries and prepare an alternative
The owner or purchasing lead should confirm with the supplier which products they can deliver, in what quantities, and when. Record the agreements beside the relevant items. Do not mark a delivery as agreed while these questions remain open.
Prepare alternative suppliers in case the primary supplier cannot fulfill the delivery. For products you plan to order, check in advance whether you can switch suppliers. If a delivery has not been agreed, decide who must find another option and by what deadline.
Assign tasks and deadlines
Make a working list and name a specific employee beside each item. If several people perform one operation, decide who will report its outcome to you. Agree on deadlines with the people doing the work, and set the priorities yourself.
- Inventory lead — count stock and investigate discrepancies.
- Purchasing lead — agree on replenishment and alternative suppliers.
- Assigned employee — check printers, scanners, and connections.
- Sales floor lead — walk the sales floor and check displays and stock.
When reviewing the list, clarify what is complete, what needs your decision, and which deadlines must change. For any unfinished item, record the next specific action.
Check equipment and displays
Ask an employee to check that every printer and scanner used by the store works, and to check their connections. If a fault is found, assign someone to fix it and set a deadline for a follow-up check.
Walk the sales floor separately. Check that displays are orderly and review product stock. Based on the walk-through, give employees specific instructions: tidy a designated display or replenish it with available products.
Torgsoft: different stock levels for different stores
If you have several stores, set a stock level for each one separately. A stock level is a quantity you set as a reference point for monitoring inventory.
With the add-on option «Мінімальні та максимальні залишки за складами» (Minimum and maximum stock levels by warehouse), the same product can have different stock levels at different stores. In particular, the minimum stock level for one product can vary by warehouse. The option works with Torgsoft Ultra and Torgsoft Terminal licenses.
Use these levels when manually comparing against actual quantities and discussing replenishment. Do not treat a set level as a forecast of holiday demand. Make purchasing decisions separately, taking agreed deliveries into account.
Illustrative stock check
Suppose the owner sets a minimum stock level for one product: 8 units for the first store and 3 for the second. After counting, the first has 5 units and the second has 4.
The first store is 3 units below the set minimum: 8 − 5 = 3. The second store is 1 unit above its minimum: 4 − 3 = 1. Assign the purchasing lead the task of agreeing on replenishment for the first store. These illustrative numbers show how to compare stock with a set level; determine the order quantity separately.
