Electronic catalog for ordering goods is a Torgsoft option that creates a catalog with prices, photos, and stock balances, where customers can independently view the assortment and place orders.

Wholesale buyers, sales representatives, or regular customers get access to the catalog through a separate client application. They see current product availability, prices, including individual wholesale prices, and create orders without a manager’s involvement. Orders arrive in Torgsoft and appear in the general list for processing.

The option is suitable for wholesale warehouses, distributors, suppliers, and manufacturers working with a network of regular buyers. Connection terms depend on the license and usage scheme — check the option requirements below.

What an electronic product catalog is

An electronic product catalog is a separate client program that you provide to your customers. The customer installs it on their computer and sees your assortment: product types, photos, descriptions, current stock balances, and prices. They independently specify the required quantity, create an order, and send it to the server. From there, the order is loaded into your Torgsoft database for further processing.

The catalog does not need a website, online store, or offline outlet. Data is updated through regular file exchange, so the catalog works faster than a typical online store and simplifies repeat orders for regular customers.

Who does not need it. If you sell only to occasional retail buyers through the sales floor or already have an online store for all customers, a separate catalog may duplicate existing channels. In that case, it is worth considering website synchronization instead of the catalog.

How it looks before and after

Before

The customer calls, the manager dictates availability and prices, writes down items manually, and checks stock balances in the warehouse. One large order takes time, and errors in quantities and names occur.

After

The customer opens the catalog on their computer, sees current stock balances and their prices, specifies the quantity, and sends the order. The manager receives a ready order in Torgsoft and issues an invoice.

How it works: 5 steps

Connect the option. The option is paid once, after which you can provide the catalog to an unlimited number of your customers without additional payments.

Configure the synchronization object. In the «Warehouse — Synchronization with online store» menu, create an object with the «Electronic catalog» category and specify FTP parameters for goods and photos.

Transfer data to the server. Click «Update», then «Synchronize» and «Transfer». Goods, prices, and photos are uploaded to FTP according to the configured update schedule.

The customer places an order. The buyer installs the client application, views the catalog, specifies the quantity, and sends the order to the server.

Receive the order in Torgsoft. In the «Remote customer order» mode, click «Accept order», issue an invoice, and switch to «Trade with invoice issuance» for sale and shipment.

Important. An invoice can be issued only to a registered customer. If the buyer has not yet been added to the database, first save their data from the order form. It is enough to specify the customer’s personal discount once — the program will then apply it automatically.

The scenario is illustrative. A wholesale warehouse of household goods works with regular stores in several regions. Previously, orders were taken by phone and in messengers: the manager dictated availability, wrote down items manually, and then transferred them into the program. No. First, you need to save the customer data from the order form and register them in the database. Only after that does the program allow issuing an invoice.
