Several tools are available in Torgsoft to control price changes. They allow you not only to record the fact that a product price was changed, but also to track who made the change and when. The main mechanisms are the Repricing Log, the Repricing Act, and the Sales Price Change reports.

Below is detailed information on how these tools work and how to set up responsibility for edits.

1. Repricing Log

This mode is intended for automatic recording of information about products for which any retail price change has occurred.

  • How it works. The log displays a list of products that were repriced at a specific Accounting Center for a selected period. You can see the product, the old and new price, as well as the stock quantity at the time of repricing.

  • Settings. To make the log collect data, you need to activate the setting. Go to Settings — Parameters — Accounting and enable the switch «Include product quantity in the repricing log (generate repricing log)». If this switch is disabled, the log will remain empty.

  • Login control. You can configure the program so that a window with the repricing log is displayed at login, allowing employees to see price changes. This is configured in Settings — Parameters — General — «Show repricing log at login».

If you want to prepare price changes in advance and apply them at a specific moment, use the Repricing Act (Document — Repricing Act).

  • Responsibility. Each repricing act stores its history: document number, date, and executor, that is, the user who created the act.

  • Process. You create the act, add products using a scanner or from the warehouse, and specify new prices or discounts. The changes take effect only after clicking the «Apply repricing» button. After application, the product is also automatically added to the Repricing Log.

If a price changed "suddenly" and you need to find who did it, Torgsoft has dedicated logs and reports:

A. «Sales Price Change» report 

This is the most direct way to find the history of changes.

  • Path. Warehouse — Sales Price Change.

  • What it shows. This report displays sales price changes for a selected period by Accounting Centers.

  • How to find the responsible person? Technical support recommends using this exact form to see when the selling price of a product was changed and by whom.

B. User Actions Log 

This is a global event log in the system (File — User Actions Log).

  • It records actions such as a new receipt, a sale, label printing, and so on. Errors and changes to important parameters may also be recorded here. Records in this log are created automatically and cannot be edited or deleted by users, which guarantees data reliability.

C. Document Change Log 

If changes were made inside a document, for example, the price in a goods receipt was changed retroactively, this is recorded here (File — Document Change Log).

  • Condition. You need to enable the «Keep document change log» switch in the settings (Settings — Parameters — Access).

To prevent unauthorized price changes, user roles should be configured correctly, for example, for sales staff:

  1. Prohibit price changes in sales. In the role settings (Settings — Users), make sure the following switches are disabled for the required user:

    •    «Allowed to change price from the price list in sales».

    •    «Allowed to change sales price in sales».

This will prevent the salesperson from changing the preset price to their own during the sale.

  1. Prohibit editing product types. Disable «Allowed to edit Product Types» so that staff cannot change markup or rounding rules.

  2. Control across the network. If you have a chain of stores, enable the option «Maintain the same prices at all retail outlets» (Settings — Parameters — Retail Network). This ensures that prices are changed centrally and synchronized automatically.

For daily control, use the Repricing Log to review the list of products and the Sales Price Change report to identify the specific employee who made the changes.
