Referral program

Referral Program — is an additional Torgsoft option that manages an affiliate program with referral tracking: it records which partner brought each customer and helps calculate mutual settlements. It is needed when you attract buyers through external partners and want to see each partner’s result. As a result, you know how many customers each partner brought and pay remuneration based on actual results.

An option for businesses that build an acquisition channel through stylists, consultants, influencers, realtors, related stores, and other entrepreneurs. It solves the pain point when referrals come in, but it is difficult to calculate exactly who brought the customer and how much is owed to them: notes in a notebook or Excel get confused, and agreements rely on words.

With the option, each referred customer is linked to a specific referrer partner. In the partner report, you see the number of attracted customers, accrue remuneration, run joint promotions, and provide personal discounts for the partner’s customers.

What is a referral program

Unlike a one-time «Refer a Friend» promotion, a referral program is a permanent mechanism for working with external partners. A referrer is a partner or a partner’s employee whose recommendation brought a customer to the store. In Torgsoft, you link such a customer to a specific referrer, then view the attracted customers report and calculate the partner’s remuneration.

Who does not need it. If you attract buyers only through your own advertising without external partners, or want to run a single one-time «refer a friend» promotion, a separate promotion is enough for this, without full referrer accounting.

What it looks like before and after

Before

Partners bring customers, but accounting is handled verbally and in a separate file. At the end of the month, it is unclear who is owed how much, and which partner is actually working is also not visible.

After

Each customer is linked to a partner. The report shows the number of attracted customers for each referrer, and the remuneration amount is calculated based on actual purchases.

How it works: 5 steps

Add partners. Add referrers to the list: Settings → Referrer Partner. If needed, add them in Settings → Counterparty and Marketing → Intermediaries if you plan regular payments.

Add partner employees. If different people at the partner’s company handle referrals, add them in Settings → Referrer Employee.

Link the customer. When a customer comes by referral, create a card, issue a discount card, and link the customer to the referrer: Marketing → Customers → Other.

View the report. In Marketing → Customers, you see how many customers each partner and their employees brought.

Settle with the partner. Pay remuneration based on actual results: as a one-time payment linked to the sales invoice, as a percentage through Intermediaries mode, or as bonuses through the «Refer a Friend» promotion.

Important. For regular percentage payments, select the «Customer through intermediary» option in the invoice form. After the invoice is paid and the sales invoice is created, you will see the amount payable in Marketing → Intermediary → Balance with intermediaries.

Example

The scenario is illustrative. A cosmetics store works with several stylists. Previously, accounting was kept in a shared file: who brought whom got confused, and remuneration amounts had to be agreed again every month.

After activating the option, a referrer card was created for each stylist. Referred customers are linked to the stylist when issuing a discount card. In the partner report, the owner sees the number of attracted customers for each stylist and pays remuneration based on actual results, while joint promotions are launched for active customers.
