Setting up the operation of several individual entrepreneurs at one cash register
Working with several Sole Proprietorships at one POS: automatic distribution of receipts and payments
The functionality allows the cashier to scan products of different entrepreneurs into one cart, while the program automatically splits payments and prints separate fiscal receipts for each Sole Proprietorship. This reduces customer service time and removes the need to manually split one purchase into several operations.
When automatic sales distribution between Sole Proprietorships is needed
This setting is required when products are sold in one store and at one workplace on behalf of two or more Sole Proprietorships (for example, one sells clothing, another sells accessories), and each of them must process sales through their own software ECR and receive non-cash funds to their own current account.
What problems occur without this setting
-
The cashier has to manually create separate receipts (sales) for products that belong to different Sole Proprietorships.
-
Payment for products of different owners is credited to one shared bank account, which violates tax accounting.
-
One general fiscal receipt is printed for all products, regardless of their actual owner.
What is required for several Sole Proprietorships to work at one POS
For automatic distribution to work correctly, the following conditions must be met (if they are not met, the program will not be able to identify the product owner and split the payment):
-
License: Torgsoft «Ultra» or «Terminal» version. The basic «Start» version supports accounting for only one Sole Proprietorship.
-
pECR: availability of the additional «Software ECR» option for each POS separately (allows adding keys for both Sole Proprietorships).
-
POS terminal: availability of several terminals for each Sole Proprietorship separately, or one terminal connected to several current accounts of different Sole Proprietorships.
How to set up automatic distribution of receipts and payments
For the program to split a purchase into separate receipts during sale:
-
Creating companies. Add both Sole Proprietorships to the Torgsoft database as separate «Company» entities. Create current accounts for each of them and link them to the corresponding company.
-
Linking the Product Type. In the «Product Type» directory, specify which company (Sole Proprietorship) each category belongs to (for example, «Clothing» — Sole Proprietorship 1, «Accessories» — Sole Proprietorship 2).
Important: there is no direct link between a specific unit product and a Sole Proprietorship; distribution is performed only at the product category level. -
pECR setup. On the POS computer, add QES keys and configure pECR for both Sole Proprietorships at the same time. The program supports their parallel operation.
-
Terminal setup. Link the current accounts of each Sole Proprietorship to the corresponding merchants in the terminal connection settings in Torgsoft.
Alternative: if automatic distribution by product type is not suitable, the cashier can manually select in the sale form which Sole Proprietorship and pECR the specific sale is made on behalf of.
How to check that distribution works correctly
-
In the «Sale» form, scan products that belong to different Sole Proprietorships.
-
Click the «Pay» button.
-
The program should analyze the cart and sequentially send requests to the POS terminal(s): first to pay the amount to the account of the first Sole Proprietorship, then to the second one.
-
After successful transactions, two separate pECR fiscal receipts should be printed.
How to avoid errors in distribution between Sole Proprietorships
To avoid situations where a product is sold on behalf of the wrong entrepreneur:
-
When creating a new «Product Type», always specify the corresponding «Company» immediately.
-
If a product is not distributed at the POS, check whether its «Product Type» has been left without a link to a specific Sole Proprietorship in the directory.
What is important to remember
For several Sole Proprietorships to work simultaneously at one POS with automatic distribution, an Ultra or Terminal license is required.
