Rules for processing mixed payment (Cash + Card)

Mixed payment allows a customer to pay for one receipt partly in cash and partly by bank card. To process this operation without errors, follow this algorithm:

  • Check the print mode. Mixed payment is not possible if «Mixed receipt printing mode» is enabled in the program settings (when fiscal and non-fiscal goods are automatically split between different printers). The receipt type for mixed payment must be strictly «Fiscal» or «Non-fiscal».

  1. Add the goods to «Sale» and click the Pay button (F6).
  2. In the payment window, be sure to select the «Cashless payment» checkbox.
  3. In the cash payment field «Amount due», click the calculator icon.
  4. In the drop-down calculator, enter the amount the customer gives in cash and click «=». The program will automatically and accurately recalculate the remaining amount that needs to be charged to the card and display it in the cashless payment field.

 Important warning: when processing mixed payment, be careful with the keyboard. If you accidentally clear the «Cashless payment» checkbox (for example, by pressing the spacebar when the checkbox is focused), the entire receipt amount will be recorded in Torgsoft as cash, which will lead to a cash shortage in the cash register.

2. How amount rounding works

To avoid problems with small change and to form fiscal receipts correctly, it is important to understand the rounding logic:

  • Only for cash. According to Ukrainian legislation, rounding to 10 kopecks (or to 50 kopecks) applies only to the cash part of the payment.

  • Cashless payments without rounding. Payment by bank card is always processed exactly to the kopeck, without formal rounding of the receipt amount.

  • Display on the receipt. If the cash amount is not mathematically divisible by 10 kopecks, a «ROUNDING» block will automatically appear on the PECR fiscal receipt, and the «AMOUNT DUE» line will show the final amount with this rounding applied.

  • Distribution between Sole Proprietorships. If a mixed or cash receipt is split between several businesses (Sole Proprietorships), the program will automatically distribute the rounding so that the total change amount is correct (one receipt may be rounded down, and another one — up).

3. Main reasons for amount discrepancies and how to avoid them

Most often, discrepancies between the bank terminal, the Torgsoft cash register, and PECR occur due to human error or haste.

Situation 1. The sale went through the terminal but did not get into PECR.

  • Reason. The cashier processed the payment through the bank terminal but forgot to click the «Receipt» button (or «Print fiscal receipt») in the program.

  • How to avoid it? Always pay attention to completing the operation in the program. If a terminal is used, set up mandatory receipt printing after payment so that this step is not missed.

Situation 2. The amount in the program differs from the amount on the terminal.

  • Reason (haste when deleting). If the customer refuses an item, the cashier deletes the item from «Sale» and immediately presses the «Pay» button (F6) without waiting for the item to disappear from the screen. This causes a system error («resource deadlock»). The terminal may charge the old amount, while the program generates a receipt for the new one.

  • How to avoid it? After deleting an item from the receipt or changing its quantity, wait until the screen is fully updated, and only then proceed to the payment window. In the latest versions of Torgsoft, hotkeys are blocked while an item is being deleted to prevent this error.

Situation 3. Manual amount entry error on the terminal.

  • Reason. The cashier manually enters the amount on the POS terminal and makes a digit error, or charges the money while telling the customer there was a «failure».

  • How to avoid it? Use automatic connection of the bank terminal to Torgsoft. In this case, the program itself sends the exact amount due to the terminal, which eliminates manual entry errors and fraud.

Situation 4. The payment was recorded as cash instead of card.

  • Reason. The seller forgot to change the payment type to «Cashless payment», and the entire amount was recorded in Torgsoft as cash, even though the customer paid by card.

  • How to avoid it? Always check that the «Cashless payment» checkbox is selected before confirmation. If the error has already occurred, the receipt must be reprocessed in the program by changing the financial document type to cashless (this operation does not require reconnecting to the terminal).

Cashier action algorithm for unexpected failures:

  1. Connection to the terminal disappeared during payment. If the customer tapped the card, but the program returned an error (timeout or no connection), do not rush to cancel the receipt or process it again. Check whether the terminal printed a slip receipt to avoid double charging the customer.

  2. The terminal returned a decline (insufficient funds). Make sure that Torgsoft also recorded the decline. In older versions or on some terminals (for example, InpasEcrCom), the program could close the receipt as paid even when the bank declined the transaction. If the receipt was closed by mistake — cancel the sale.

  3. «Cash day is closed». If this error appears when trying to settle with a customer, contact the administrator or open a new cash day, because operations in a closed period are blocked by the security system.
