Working with seasonal storage boxes in Torgsoft: inventory, product search, and return to the main warehouse
At the end of the season, stores may have goods that need to be removed from the shelves and placed in storage to make room for a new collection or assortment. For this purpose, Torgsoft provides the additional option «Seasonal Packaging and Storage of Goods», which allows you to pack goods into seasonal storage boxes, move them to a virtual warehouse, and systematically control their availability.
Where do the goods go after packaging,
how can you quickly find a specific item in a third-level warehouse,
how can you unpack a box or remove only one item from it,

Answers to these practical questions are provided below.

Automatic transfer of goods to the box warehouse (third level)
When you create a new box, specify an accounting center, and add goods to it, the software automatically creates a pending internal transfer from the current warehouse to the warehouse for goods included in a set. After you click the «Pack Goods into Box» button, the box is officially received into the warehouse, and the pending transfer becomes active. This means that the goods are actually moved from the main accounting center to the temporary storage warehouse (third-level warehouse). A corresponding icon appears next to the name of the packed box in the table, confirming successful packaging. If you also have the «Product Storage Location» option activated, you can specify the exact physical location of the box itself (for example, a shelf number), which makes it much easier to find it in the actual warehouse.
Searching for goods in a third-level warehouse
Since the packaged goods have been removed from the main warehouse, it may be difficult to find them through the regular warehouse status. To find out exactly where the required item is stored, use the «Search Which Box Contains the Product» action on the «Seasonal Storage Box» tab. In the window that opens, you can search by product name or barcode.
In addition, on the «Warehouse Status» form, you can use the «Seasonal Storage Box» filter to display a list of all available boxes. Warehouse workers can print a list of boxes and their contents.
Unpacking a box and returning goods to the main warehouse
When the new season begins, the goods need to be returned to the sales floor. To completely unpack a box, use the «Unpack Goods from Box» button. When you click it, the box is written off from the warehouse and deactivated, while all goods are automatically moved from the temporary storage warehouse to the accounting center that you specify in the dialog box (by default, the accounting center where the box was stored is suggested). If you only need to remove one item, you do not need to unpack the entire box. Simply use the «Remove Product from Box» button to unpack the selected product and move it to the specified accounting center.
You can also move an individual product from one box to another using the «Move Product to Another Box» button. However, there is a restriction to consider: goods can only be moved between boxes stored at the same accounting center.
Consequences of deleting closed-period statistics
When performing the procedure for deleting archived data (closed-period statistics), the software correctly processes seasonal storage boxes. Packed and unpacked boxes whose packing date falls within periods later than the period being deleted are not removed from the system. Product movement related to the internal transfer to the third-level warehouse is retained until the period in which the product is no longer present is deleted. Instead of old movement documents, the software creates a receipt document resulting from the deletion of statistics, which records the current stock balances.
Solutions to other common questions about box inventory:
There is a separate mechanism for inventorying packaged goods. You need to create an inventory statement and select «Goods in Box» in the «Invoice Type» field. Then, in the inventory window, click «Add Box to Inventory» and scan the box barcode — its contents will be automatically added to the statement. When the box barcode is scanned, its contents are added to the statement rather than the box itself as a separate product.
No. To ensure correct inventory accounting, the software prohibits the sale of a seasonal storage box (through a sale or invoice issuance); it cannot be received into stock, added to a customer order, or returned to a supplier.
